Major Duties:
The Role
The Faculty Administrator will lead the administration so as to deliver operational excellence across all of its
activities, help formulate the strategy, manage the finance office and budgeting cycle, and act as Faculty Secretary
overseeing the Faculty’s governance.
The Faculty Administrator is a member of the executive team, the Dean’s Steering Group and in conjunction with
the Dean and the Associate Deans for Finance, Undergraduate Studies, Postgraduate Studies, Research and
External Relations, plays a role in formulating the strategy of the Faculty within the guidelines laid down in the
University’s strategic planning process. The Faculty Administrator also supports the Dean and senior faculty in all
aspects of the administration and management.
The Faculty Administrator is responsible for a team of approximately 80 support staff, whose main functions are:









Administration of research grants, funding opportunities and research related activity.
Career advice and job placement for students
Finance, accounts, and management information
Managing the delivery of academic teaching programmes
New business development
Promoting the network of alumni
Quality assurance and validation
Student recruitment
Supporting the delivery of executive education
Key Responsibilities
Staff Management
 Leading and motivating an administrative team that will deliver excellent support services for the entire
range of Faculty activities.
 Managing and developing administrative, secretarial and clerical staff.
 Ensuring that administrative procedures comply with University policies and procedures, and implement
the strategic intent of the Faculty.
 Being responsible fir the strategic development of support resources.
 Monitoring and developing the support staff HR Strategy.
 Encouraging staff development and career opportunities for support staff.
Organisational Excellence
 Managing support services dedicated to – student recruitment, delivery of teaching programmes, career
services, events, executive education, alumni services, external and corporate relations, finance, quality
assurance and HR.
 Promoting and developing best practice in faculty administration.
 Managing the relationship between those support services provided centrally by the University and those
provided within the Faculty.
 Ensuring the Faculty complies with all health, safety, equal opportunity and diversity polices.
 Supervising the Faculty’s accommodation requirements, space planning, and reporting of such information
both to the Dean and Heads of Department.
 Representing the faculty as necessary on other University committees.
Strategy and Policy
 Being a member of the Dean’s Steering Group
 Being a member of, and developing policy options for, the Policy and Resources Committee.
 Providing management information, e.g. staff student ratios, staff workloads and student recruitment, to
better inform decision making on resource allocation.
 Providing support for policy development in support of the strategic plan.
 Communicating and monitoring the implementation of the strategic plan.
 Undertaking strategic reviews.
 Playing a major role in delivering international accreditation
 Being a member of the IT Strategy group.
Finance
 Supporting the Dean and Associate Dean for Finance in negotiations with the University to establish
budgets.
 Being responsible for the oversight and practical regulation of the Faculty budget, including development
of policy, monitoring and reconciliation.
 Contributing to the financial planning and risk management process by producing business cases and
financial models to support new and expanded Faculty activity e.g. new posts and buildings.
 Being a key authorising signatory for financial transactions for faculty level activity and to deputise for
Heads of Department when necessary.
Governance
 Acting as Faculty Secretary ensuring that the Faculty’s committee structure complies with the University
quality assurance and validation procedures.
 Providing advice and information on University and Faculty policy and procedures.
 Providing systems and procedures for accommodating the governance of externally funded units within the
Faculty’s structure.
 Ensuring the proper servicing of numerous committees in conjunction with the senior administrative team
e.g. Advisory Board, Equal Opportunities Working Group, Policy and Resources Committee.
Resources
 The management of the facilities and fabric of the buildings including allocation of accommodation, new
building plans, consultative exercises, minor works, upgrading and maintenance.
 Supporting the development of the Faculty’s Human Resource strategy.
 Managing the development of recruitment procedures within the Faculty in line with University policy.
Support
The Faculty Administrator is responsible for providing support to the Dean and to the executive team in relation to
internal management and communication issues and external activities such as relationship and fundraising.
