Industry Guest Speaker Messages
Suggestions for Extra Impact

If possible, use a signature block with your school’s logo for all emails.

Check spelling, grammar, and punctuation carefully. Pay extra attention to the speaker’s
name and the name of her or his business. Make sure you get these right!

For messages after the invitation, you may also use only the speaker’s first name – rather
than Mr. or Ms. and the last name. Even on the invitation this is okay if you know the
speaker personally. When you use only the speaker’s first name in the greeting, use only
your first name in the signature.

For maximum impact with Message 4, write it by hand on nice Thank You note stationery,
and send it within one week after the presentation.

If you wish to have the same guest speaker again in the future, you can use the same basic
communication process and messages sequence. You need to do a little editing and updating
to reflect the previous event and your existing relationship. For example, you could change
the beginning of Message 1a to read: “Last year you spoke to my Jewelry Arts class at
[school’s name] and I am writing to invite you again this year. …”
