The Palais des Festivals have requested that all exhibiting stands including Shell Scheme's complete a Safety
File. This is a form that asks questions about the items within your stand area. These items would be what
you have bought to the exhibition including posters, furniture, banners and stand decoration. This does not
include anything supplied by the official contractors including the walling, carpet , furniture or electrical
connections

All Exhibitors are obliged to carefully read the Safety Regulations within section Regulations in the
exhibitor manual.
Some materials are exceedingly dangerous as they allow fire to spread very easily and therefore their use within the
Palais des Festivals is strictly regulated, especially plastic and synthetic materials. The Palais des Festivals reminds the
Exhibitors that only materials approved and recognized by French or European laboratory shall be allowed.
All Exhibitors must put together a Safety File and return it to the Safety Department.
The Safety File has to include the following documents:

The Safety/Electricity Questionnaire duly filled in and signed by the Exhibitor or his representative.
The documents that need to be provided according to the overview on page 23 of the Safety Regulations
(Fire Safety Department – Section 1.01 – Technical Information)
All the official material test reports issued by approved French laboratories or their European equivalent and
(or) the fireproofing certificates drawn up by duly approved companies.
In case Exhibitors do not have these above-mentioned test reports and certificates, they are required to provide any
other relevant document that might help the Fire Safety Marshal to make a decision that shall be transmitted to
relevant administrative authority for appraisal. These are:

Non-approved test results
Translation of foreign language test reports
Physical and chemical information regarding the nature of the materials
Any technical specification
In any case and without fail, a sample of the materials used

Exhibitors who do not provide the Safety File might not be allowed to use the internal installations of the
corresponding stands (cutting off of electric power supply, telephone, air conditioning, etc.). For any questions please
contact the Fire Safety Department

NB: Report: Report from an approved laboratory in accordance with French Decree of the Ministry of Interior dated 30
June 1983 as amended and its annexes. Alternatively, by an officially recognized equivalent of any report
corresponding to European standards called Euroclass NF EN 13 501-1 applicable in member states of the union.
NB: Relative to self-certification of manufacturers of wood, said latter may be only be considered only as an
information item with the Safety Manager, its validation or refusal shall be decided by the relevant administrative
authority.

Exhibitor's Responsibilities
An exhibition stand is a workplace covered by Health and Safety legislation. As the exhibitor it is your responsibility
to ensure that a suitable and sufficient risk assessment is completed. Failure to do so could lead to delays or
ultimately the closure of your stand.
The template is for a simple shell scheme exhibition stand which does not require any structural approval from the
organiser or the venue. More complex stands will require a more detailed risk assessment and if you are in any
doubt you should contact the organiser.
