SIIH Volunteer Policy
The SOUTHERN ILLINOIS ICE HAWKS YOUTH HOCKEY PROGRAM is a volunteer run
organization, including and not limited to all past and present board members, coaches, team
managers, team parents and friends of the Ice Hawks. Volunteers are essential to sustaining
a strong quality youth hockey program.
Registration fees and fundraising fund the SOUTHERN ILLINOIS ICE HAWKS YOUTH
HOCKEY PROGRAM. The organization is staffed with volunteers and depends on parent
involvement to make everything happen. Your volunteerism sets a great example for our
players. Please take a moment to review the following volunteer requirements. We hope that
you enjoy your time volunteering for the Southern Illinois Ice Hawks.
Volunteer Requirements
In an effort to make volunteer work more equitable for the entire program, a $100 DEPOSIT
per family will be required. A check made payable to Southern Illinois Ice Hawks in the amount of
$100 will be held as a deposit by the organization until family volunteer requirements have been
completed. The volunteer check will be returned during the end of year banquet in providing
volunteer requirements have been completed. The deposit check WILL NOT BE CASHED
unless your family does not satisfy the volunteer requirements by the end of the season.
Your deposit needs to be received by the organization before your participant can take the
ice during tryouts. The $100 volunteer deposit check MUST be turned in at the time of tryouts.
Who can volunteer?
Any players and any family members, which are age appropriate, can volunteer for any Ice
Hawks event to satisfy the family volunteer requirement.
Who is exempt?
Minis, Midgets, Coaches, Team Managers, Board of Directors, and Past Board of Directors that
fulfilled three years or more are exempt from the family volunteer requirement.
Volunteer Fee Opt-out Donation
The Ice Hawks require a $100 per family donation if your family chooses not to volunteer for
any organization events leading up to the start of the season or during the season. This fee is
payable at the time of team tryouts via personal check or cash per family, not per child.
During tryouts notify us that you are taking the Volunteer Fee Opt -out and date check
at current date. Once you opt-out your family will not be required to volunteer for any events
during the season.

What are the volunteer requirements?

t h e y e a r . These opportunities will be available for players and any family member,
per event, that is age appropriate. If a family member does not sign up for volunteer hours
in Dibs then their check will be cashed at the end of the season. It is the parent’s responsibility
to find a replacement or trade with another parent for a shift if they cannot make it. If a
family members fails to show up for an assigned shift that family risks forfeiting the
$100 volunteer deposit check if no other volunteer opportunities exist.
All Volunteer Opportunities will be listed on our website. The listings will be created by
our Volunteer Committee Chair, Mrs. Deanna Lucas, volunteers@icehawkshockey.org. If a
volunteer cannot meet their obligation at the assigned date and time, it is the volunteer’s
responsibility to reschedule by making arrangements to switch assignment times with another
volunteer. If a switch is made but that person is a no show it is still the original shift
volunteer’s responsibility if the change was not made on the website prior to the event or
coordinated with the Volunteer Committee Chair.



Volunteers should register on Dibs prior to event.
Volunteers should check-in with the event organizer and sign the sign-in sheet to get
credit for their volunteer opportunity.
At completion of the volunteers shift their hours will be credited to the required (8) hours
by the Volunteer Chair.

How are volunteer requirements determined?
The Volunteer Chair will assign volunteer requirements to each event and the number of hours
that will be credited. Depending on the event and the work required will depend on the amount
of hours you can get credit for.
How are volunteer requirements assigned?
The Team Managers will be provided a list of opportunities from the Volunteer Chair. The
Team Managers will publicize this information along with the volunteer requirements to all
eligible members of the team with a deadline for signing up for the volunteer shifts.




All assigned shifts will be updated in the Dibs system.
Team Manager meetings will occur to ensure our volunteer hours are accurately
identified.
Every effort will be made to give each volunteer time, throughout the year, to
accomplish their hours.
Rescheduled shifts will need to be coordinated with the Team Manager and updated in
Dibs.
How are requirements tracked?

Volunteers are required to check-in with the event coordinator, the Volunteer Committee
chairperson or the person managing a particular event will have a sign-in sheet or roster for
the volunteer to sign. Volunteers will be responsible for signing their name on the list to verify
completion of their recorded shift. The completed volunteer shifts will be updated on the
website by the Volunteer Committee chairperson to show completion. Parents or members can
get to the website to verify completion. The completion of the mandatory volunteer
requirements is the sole responsibility of each family and NOT the board. The Volunteer
Chair will not be sending out periodic notifications of hours completed throughout the year,
but if you are unsure, please make a request via your Team Manager volunteer.
What is Dibs?
The Ice Hawks have an online volunteer system. The online system improves our ability to
offer and manage volunteer requirements. The Volunteer System is called Dibs and can be
accessed by clicking on the Dibs tab on the upper right hand corner of the website home
page. You will need to be registered for the current season to access the Dibs Volunteer
system. Members will use Dibs to view available shifts, sign up (“claim”) and keep track of
volunteer shifts for the upcoming season. More information on Dibs is available on our
website.
Volunteer Fee Refund
Volunteer fees will NOT be refunded if the member family does not complete the required
volunteer requirements by the end of the season. Volunteer fees will be returned during the
end of season banquet provided volunteer requirements have been. All volunteer fees will
be refunded to a member who dis-enrolls prior to the start of practice and will be returned to
the party who originally issued the Volunteer Deposit.
THE GOAL OF THE VOLUNTEER POLICY IS TO DISTRIBUTE THE WORKLOAD AMONG
ALL OF THE SOUTHERN ILLINOIS ICE HAWKS YOUTH HOCKEY PROGRAM FAMILIES.

Volunteer Agreement
I have reviewed the volunteer policy and understand the commitment necessary to run a
strong youth hockey program.
I understand that before my child is placed on a team, each family is required to:
Provide a personal check made payable to Southern Illinois Ice Hawks in the amount of
$100.00 per family. This check will be held as a deposit and WILL NOT BE CASHED
unless the family does not satisfy its volunteer requirement by the end of the season.
Upon completion of the volunteer requirement, the deposit check will be returned or
destroyed per the family’s request.
Families who failed to satisfy the volunteer requirements will have their volunteer deposit
check deposited on or after March1st.
