A “flock” is a group of housing authorities working toward migration at the same time. Working in flocks allows housing authorities to learn together and more efficiently migrate to WinTen2+. Each Flock Call will begin by addressing outstanding concerns for Tenmast and the HA’s. After this dialogue, we will cover the special topic for the week and wrap up with Q&A. After many years of data entry, there is no such thing as perfect data. For this reason, a primary objective of your WinTen2+ migration will be Data Cleansing to ensure your data will migrate successfully to WinTen2+. Though you are responsible for your data cleanup, Tenmast provides several useful tools and guidance to assist: Pre-migration Reports – These show potentially problematic data in WT2 prior to migration o Please review Tenmast University Course 601 for further details Data Validation –During this process you will be asked to compare your WT2 data to your migrated data to identify potential discrepancies o Please see the Validation Tab of our website for more information Post-Migration Reports – These reports show common data issues in your test WT2+ environment o Please review the Validation Report Breakdown Go-Live Preparation Once the data has been validated and approved the HA, it is time to prepare for Go-Live! All rights reserved. 120 WT2-WT2+ Migration Syllabus Job Aid WT2-WT2+ Migration Syllabus Version 1.1 Revised 1/28/2016 Definitions Migration Preparation – This includes delivery, review and analysis of all homework documentation as defined in this Syllabus. Data Migration Iterations – These are the physical conversions of your data from WinTen2 to WinTen2+. The first two conversions are included as a benefit of your support contract. Additional runs are $3,000 for the development, coaching, and IT resources required System Configuration – This is the basic configuration of your system that is required to make it functional with the data converted from WinTen2. Additional custom configuration will be charged at $120/hour. Validation Coaching – This is the time spent with your coach during your pre-final data runs. The purpose of this time is to help expedite and guide your data validation and data correction processes. Dedicated Go-Live Coaching – This is the time your coach spends with you after Go-Live. This typically includes process validation assistance, data validation assistance, data correction assistance, and Q&A. You may opt to charge custom system configuration against this time as well. We exclude the following coaching tasks from this time – System Configuration, Test Init/Check-Run; Dedicated Init/Check-Run Assistance – as these are separate processes. Test Init/Check-Run – After your System Configuration is complete, your coach will perform a Test Init/Check-Run in a copy of your data. The purpose of this test is to validate that your system configuration is complete and will not cause init/check-run issues. Your coach is not responsible for correcting data issues in this test. Dedicated Init/Check-Run Assistance – At the end of your first month in WinTen2+, you will Initialize into the following month and issue checks/ACH files. While you will always receive urgent support for initialization issues, we also offer dedicated assistance from a coach to help walk your staff through the first init/check-run in WinTen2+. Training – This is the dedicated WinTen2+ training. Our trainers can travel to your housing authority or provide web trainings. We strongly encourage every housing authority to purchase at least 4 days of training. We have found that most housing authorities that do not have at least 4 days of training struggle to effectively use the software in the first few months. Data Entry – During Phase III of your Go-Live (Data Correction), you will be required to validate all data in your system and correct any errant data. We will identify some of the most common errors for you and provide standard data cleanup instructions for most of these. For the errors identified in the Tenmast Post-Migration Reports, we have staff on-hand that can enter this corrective data for you at an hourly rate. This is encouraged as an add-on prior to Go-Live if your expected data cleanup effort exceeds staff availability Server for Data Runs – Tenmast will be providing the server for your data runs. You will have one dedicated server for use through the migration process. Every housing authority will have a virtual server for data runs and validation. You may optionally upgrade to a high-end physical server for your data runs which can reduce run-time by up to 40%. This equates to less downtime during Go-Live. 5 ©2014 Tenmast Software.
