Assistant Director of Alumni Relations
Institutional Advancement
SUMMARY:
The Assistant Director of Alumni Relations reports to the Associate Director of Alumni
Engagement. In partnership with the Associate Director, the Assistant Director manages
the alumni volunteer engagement program, including close coordination and support
for affinity programs, including the Tiger Club (Oxy Athletics). The Assistant Director will
share in the duties of officially representing the Office Alumni Relations at on-and-offcampus events. While staying focused on independent programs and projects, the
Assistant Director will work in a team setting where responsibilities of planning and
implementing initiatives involve volunteers, other Alumni Engagement staff and
colleagues across campus.
RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
Alumni Volunteer Management (40%)
 In coordination with the Assistant Vice President for Alumni Engagement and the
Associate Director of Alumni Engagement, develop a comprehensive volunteer
engagement program, including identification, training, management and
stewardship.
 Identify and implement metrics tracking success and opportunity.
 Cultivate volunteer to serve on behalf of Oxy.
Young Alumni Outreach Program (GOLD) (30%)
 Develop and implement an engagement plan for graduates of the most recent
academic year.
 Partner with GOLD planning committee of the Board of Governors to develop and
support GOLD focused programming, both locally and regionally.
 In partnership with the Associate Director of Alumni Engagement, maintain
tracking metrics measuring program success.
 Support and manage the 5th and 10th year reunion volunteer programs with an
emphasis on increasing the number of volunteers and class-wide engagement in
the reunion process.
 Support and manage young alumni volunteer network with an emphasis to
increase the number of volunteers and increase class-wide engagement.
 Assist in the coordination and creation of young alumni communications.
 Provide coding, reporting and analysis of GOLD engagement.
 Coordinate GOLD events, supporting locally and helping ready staff and
volunteers for regional events.
Affinity Program Management (15%)
 Work directly with and support efforts of the Tiger Club (Oxy Athletics), ALOED
and OCLAA affinity groups.
 Volunteer recruitment, training, management and stewardship of affinity alumni.
 Affinity programming development, planning and implementation.
 Affinity programming at the Samuelson Alumni Center.
 Help to develop and implement metrics to measure success of programs.
 Other duties as assigned.
Current Student Program Management (10%)
 Support undergraduate initiatives that help to reinforce alumni engagement
programming and growth.
 Support welcome weekend and student sendoff events.
 Work closely with Annual Giving staff to coordinate senior programming.
 Provide support for spirit week, senior week, and class traditions activities.
 Act as liaison to Admissions Ambassadors and Student Life staff.
 Support student representatives of the Alumni Board of Governors.
 Provides coding, reporting and analysis of undergraduate engagement.
 Acts as advisor and support for the Student Alumni Relations Committee.
Additional Duties (5%)
 Support and assist in development of event strategies and implementation for
Alumni Weekend, Homecoming and other key alumni engagement events.
 Provide staff support for Alumni Board of Governors.
 Represents the Alumni Office as needed at regional events; occasionally visit
alumni to identify, cultivate and recruit volunteers.
 Other duties as assigned.
KNOWLEDGE/EXPERIENCE REQUIREMENTS:








Bachelor’s degree required.
Excellent oral and written communications skills
Outstanding work organization and time management skills.
Personal initiative and an ability to manage projects simultaneously, to set
priorities and follow-through on projects.
Willingness to work evenings and weekends and travel.
Demonstrated ability to effectively motivate, train and support volunteers.
Ability to work effectively in a team environment – with a mix of deans, faculty,
parents, alumni and staff colleagues. Excellent interpersonal skills and a strong
customer service orientation.
Knowledge of modern data management practices and techniques including
data-based computerized information systems, data modeling, and models of
analysis that leads to effective decision making on behalf of the program.
