PRINCIPAL’S CHECKLIST
Campus: ___________________________________________ Year: _2012__-_2013_
BEFORE TEST ADMINISTRATION:
Designate Campus Testing Co-Coordinators (CTCs)
Review the most current state Assessment Calendar with your Administrative Team, CTCs,
Diagnostician, SpEd Facilitator, Section 504 Coordinator, Bil/ESL Dept. Chair, SIOP Facilitator,
and Master List Clerk. Set “cut-off” dates for ARDs, LPACs, MDRs, and so forth before each
testing cycle.
Meet with your CTCs and attendance clerk/registrar to develop a plan for tracking the enrollment
of new students before each testing cycle
Designate a room/location on your campus for securing, distributing, and collecting test materials.
(Room must have limited access by faculty and staff.)
Advise office staff to notify CTCs when test materials are delivered to the campus. If a CTC is
not on campus at the time, advise them to notify you or your designee. Materials must be signed
for upon delivery and secured immediately.
Supervise/review the designation of Test Administrators.
Supervise/review the designation of Monitors and Relief Staff.
Supervise/review a tentative schedule that your campus will follow on testing days
Remind Test Administrators of what they can/cannot do each morning before testing begins:
YES – “pep talks”; NO – they can NOT give reviews or remind students to use strategies.
Attend at least one Test Administrator training session conducted on your campus by your CTCs.
Initial the “Oath of Security and Confidentiality for Principal” and return it to the CTCs. At the
end of the testing cycle (spring), record your final signature.
Read the Test Administrator Manuals your campus utilizes.
Review arrangements for testing locations and organization of test sessions.
Walk your building and review all areas to be used as testing locations.
Designate an “Extended Day” testing location for students allowed to test beyond four hours.
Review the staff assigned to this location and the policies for receiving students and accepting
completed tests.
Provide assistance to your CTCs with their “regular” duties as much as possible. Many days are
needed to prepare training materials, test materials, rosters, and so forth. Interruptions = Errors.
Minimizing interruptions for the Coordinators allows for greater accuracy on testing days.
Greater accuracy reduces the possibility of testing irregularities at your campus.
Turn the bells off or arrange for them to be silenced on test administration days. Ensure that the
Bell Schedule Change Request form is emailed to Joyce Boyd two weeks prior to testing.
Evaluate and re-organize seating arrangements in the cafeteria if test groups differ from the
regular lunch groups.
Notify Guidance Center to send your students back to your campus.
Confirm with your Coordinators that all Satellite locations (Summit, JJAEP, Homebound, etc.)
have the information, test materials, and accommodations (if applicable) that your students in
those programs require.
Confirm with your Cafeteria Manager that s/he has a list of all testing days and the plan for
feeding the students, including snacks, if provided.
Confirm with your Custodian that there are no activities planned at the campus which would be
distracting on testing days.
Collaborate with your Coordinators to conduct “First Hour Check” for each day of testing.
PRINCIPAL’S CHECKLIST (continued)
Establish procedures for determining who is absent on testing days, calling home to see if student
is able to come to school and test, and resources for picking up students and bringing them to
school, if necessary.
If you have parent volunteers who regularly assist at your campus, advise them that they are not
allowed to be on campus on testing days, with the exception of dropping off/picking up students.
Make certain the staff and faculty know what to do in the event of an emergency – both in their
testing group and campus-wide.
Be certain someone knows how to use the defibrillator AND the batteries work
DURING TEST ADMINISTRATION:
It is strongly recommended that you remain on campus throughout the entire testing day. You
must be available to answer questions and solve problems.
Monitor test administrations. Be visible during testing. Circulate the halls and observe all test
administration room/locations, confirming that Test Administrators are following all procedures.
Confirm that Test Administrators have a “Testing – Do Not Disturb” sign on each door.
Confirm that Test Administrators are ACTIVELY MONITORING. Model this for them during
testing.
Report any problems to Karen or Susan, 713-740-5248 or 713.740.5249.
Ensure that classrooms remain silent as some students finish earlier than others. Do not allow
post-test activities that would be an incentive to finish early. Students may read, relax silently, or
leave the room. No other activities are permitted after a test.
AFTER TEST ADMINISTRATION:
Facilitate the return of test materials to CTCs – they are required to have a one-on-one check-in
with each Test Administrator.
Check with your CTCs to see if they need assistance in preparing/sorting test materials for the
next day.
Keep all testing information confidential. Do not read, discuss, copy, or comment on test items
before, during, or after a test.
When all testing has been completed and checked in, relieve your CTCs of their regular duties so
they can focus on preparing the scorable materials for return to the Assessment Department. The
schedule for shipping materials to Pearson is extremely tight. Errors or omitted information on
scorable materials affects your accountability rating.
I affirm that all items on the checklist have been completed.
