FORTH SECTOR JOB DESCRIPTION POST: Business Support Assistant RESPONSIBLE TO: HR Manager PURPOSE OF THE ROLE: The purpose of this role is to provide administrative support to Forth Sector’s businesses, assisting with activities that promote development and growth of both businesses and people KEY RESULT AREAS Business Administration Staff Administration Meetings and Events Support Business Development KEY PERFORMANCE INDICATORS Business Administration Manage and update database content Collate survey and feedback programme results Maintain business records Where appropriate, assist with business-related fundraising Assist with the development of work-activity plans for key staff in the businesses Update business websites regularly People Administration Administer all aspects of staff training, including collating training needs, scheduling training events, maintaining the training database and producing regular progress reports May 2014 1 Provide administration assistance to all stages of the recruitment process Organise physical and digital filing of correspondence and records Assist with the preparation of staff-related management information reports Provide other administrative assistance as required by HR Manager Meeting and Event Administration Arrange and minute Senior Management Team meetings Arrange and minute board sub-committee meetings When required, arrange all aspects of events When required, arrange staff meetings Business Development Administration Work on discreet, business development projects When required, undertake specific market research Organisational Responsibilities Contribute to the overall achievement of Forth Sector’s mission and objectives Undertake such training and personal development as may be required to provide an effective service and to ensure compliance with the law or contractual requirements, and, where appropriate, share training expertise with colleagues Attend and participate in team meetings Actively participate with own performance reviews and appraisal. Criteria Essential Skills Good levels of numeracy and written English Good interpersonal skills Ability to work with a wide variety of people at all levels and to engage constructively with customers and suppliers Ability to develop, implement and follow procedures Awareness of health and safety procedures Ability to work flexibly as determined by service need Excellent organisational skills IT skills, particularly the use of Microsoft Office Good team-working skills; liaising with internal and external customers and suppliers Knowledge Knowledge of standard office procedures Awareness of the importance of high quality customer service and its impact on the organisation’s reputation Awareness of the need for confidentiality in respect of business, employee and client information Experience Experience of Sage Line 50, including the production of standard reports Experience of administering business systems and processes Experience of managing business critical information May 2014 3 Desirable
