Assistant Administrator: Job Description and Person Specification

Responsible to:
£13,520 - £16,900 per annum (3 months probation)
20 – 25 hours per week by negotiation with some evening
work.
Vicar (and in his absence Churchwardens)
Role Summary
To work with the St. Mary’s Church Administrator to deliver the following:
Church and Polygon Bookings
 To manage the church diary and all external bookings, plus the
partnership with London College of Music.
 To oversee all necessary arrangement for each booking.
 To keep music and performance licences and records up to date.
 To help implement the St. Mary’s Health and Safety Policies and the
Environmental Policy within the church and with external users.
Management of the church office and church administration.
 To be a welcoming and friendly presence in the church office and on the
telephone and handle all enquires in a courteous and efficient manner.
 To enable St. Mary’s Church to be open during office hours.
 To process church administration via paper and online.
 To order necessary office and church supplies.
 To develop a St. Mary’s Membership Software Package
Management of the Church premises and property.
 To provide assistance to the Vicar, Warden’s and Administrator in
overseeing the maintenance and repair of the church premises, grounds
and property.
Promotion of St. Mary’s
 To be responsible for development and delivery of St Mary’s external
publicity, including updating the Web-site, notice boards and posters.
Health and Safety under the supervision of the Church Warden’s.
 To keep a copy of the St. Mary’s Health and Safety Policy to know its
contents and assist the Wardens to ensure compliance is observed at all
times.
Person Specification
Essential
 Ability to work collaboratively as a member of a team.
 Excellent interpersonal skills and ability to deal effectively with a wide
range of people, including visitors, hall and church uses and volunteers.
 Excellent oral and written communication skills.
 Good computer skills in MS Outlook & Office.
 Ability to prioritise and organise own tasks to meet deadlines with
minimum supervision and able to use your own initiative.
 Friendly, patient and professional manner.
 Adaptable, flexible and reliable.
 Active Christian faith
Desirable
 Experience of Health and Safety procedures, preparing risk assessments
and ensuring compliance with data protection legislation.
 Experience of Website maintenance and development.
 Experience of building maintenance.
