Position Description
Official Title: Director of Alumni Relations

Summary
Function: Supervises the university’s Alumni Affairs function, including coordinating communications
with alumni, promoting the Alumni Association, supporting the Alumni Board, and maintaining record
keeping system.
Scope: Supports Sul Ross State University’s 25,000 alumni and coordinates all activities and efforts
related to alumni development.
Duties
Essential: The Director will be responsible for the management and supervision of the operation and
general administration of the department, assuring that planning for alumni development complements
the mission of Sul Ross State University; develop and submit an operations plan to the Vice President
for External Affairs defining internal plans, long-range strategies, and budget needs for the upcoming
year; oversees the alumni publications and correspondence; organizes alumni chapters; coordinates the
activities of an alumni board with the goals and objectives of the University; plans and coordinates
homecoming, and other special alumni events such as reunions, and receptions; disburses scholarship
monies provided through the office of Alumni Relations; works closely with University deans to support
and enhance alumni activities; maintains alumni database and coordinates social media; seeks out
revenue programs which will provide funds beyond membership dues; and develops programs which
will encourage and enhance new and renewed memberships; assists alumni in contacting and locating
classmates, professors, and with inquiries about the college or university and the Alumni Association;
assists the News and Information Department in development and preparation of articles for alumni
purposes, including preparing press notices, submitting alumni news items, and assisting in the content
and publication of Alumni Board newsletter; organizes and evaluates meetings of the Alumni
Association; assist in organizing and maintaining alumni chapters locally, nationally, and in foreign
nations; plans, organizes, and executes alumni programs such as Annual Membership Drive and Alumni
Homecoming. Performs other duties as assigned. Department heads are responsible for content and
maintenance of their department web pages. Responsible for personal safety and the safety of others;
must exercise due caution and practice safe work habits at all times.
Supervision
Received: The Director of Alumni Affairs reports directly to the Vice President for External Affairs.
Given: The Director will supervise support positions and coordinate the efforts of alumni serving in a
voluntary/advisory capacity.
Education
Required: Bachelor’s Degree.
Preferred: Master’s Degree; SRSU Graduate.

Experience
Required: Minimum of two (2) years experience in a progressively responsible position in one or more
of the following areas: alumni relations, association management, public relations, development, or a
related field; or a combination of education, experience, and training that would produce the required
knowledge and abilities. Additionally requirements are: working with computer applications, data
bases and social media.
Preferred: Experience in marketing, fund development, and public relations.
Equipment/Skills
Required: Computer applications and data bases; excellent oral and written communication skills,
including English, journalism and practices and procedures in public relations, and be able to establish
effective work relationships with diverse groups and individuals which will include but not necessarily
limited to university administrators, faculty, staff, student, and with visitors and guests including
distinguished and honorable personalities; knowledge of college or university mission and college or
university community; ability to organize and direct major work projects; knowledge of practices and
procedures in fund raising.

Working Conditions
Usual: Requires evening and weekend work, and frequent travel. Position is Security Sensitive.
Special:
Any qualifications to be considered in lieu of stated minimums require the prior approval of the Human
Resources Director.
