Special Takeback/Collection Events This document details the processes related to special takeback or collection events (referred to as “Collection Events”.) Guidelines: 1. In order to augment the existing collection network and enhance collection opportunities of obligated electronic waste in Saskatchewan, SWEEP/EPRA Saskatchewan offers Collection Events to communities, organizations or businesses (referred to as “Entity”) upon request. 2. SWEEP/EPRA Saskatchewan will make all necessary and reasonable attempts to identify, contact and communicate the obligations, standards and operational details, to the Entity requesting a Collection Event and undertake any steps necessary to ensure the successful collection of ewaste generated at a Collection Event. 3. SWEEP/EPRA Saskatchewan will make all reasonable efforts to accommodate the specific needs of an Entity holding a Collection Event insofar as these accommodations do not violate any of SWEEP/EPRA Saskatchewan’s policies or standards. 4. SWEEP/EPRA Saskatchewan will only accept regulated products, generated in the province of Saskatchewan through residents or businesses, for recycling through an approved SWEEP/EPRA Saskatchewan processor. 5. SWEEP/EPRA Saskatchewan will operate Collection Events in accordance with SWEEP/EPRA Saskatchewan Packaging and Transportation standards. 6. SWEEP/EPRA Saskatchewan will conduct all Collection Event operations with integrity, respect and professionalism. 7. Note that an Entity may be required, at the sole discretion of SWEEP/EPRA Saskatchewan, to enter into a subsequent agreement with SWEEP/EPRA Saskatchewan in order to undertake a Collection Event. 8. Note that these guidelines, responsibilities and procedures are subject to change by SWEEP/EPRA Saskatchewan at their sole discretion at any time. Responsibilities: Applicant: 1. The applicant organization will review the details of a Collection Event and determine if they can meet the requirements to provide such a service. 2. The applicant will submit a completed application form to SWEEP/EPRA Saskatchewan, providing the necessary details for hosting a Collection Event. 3. The applicant will work with SWEEP/EPRA Saskatchewan representatives to assure standards are adhered to in order to facilitate a safe and successful Collection Event. 4. It is the applicant’s responsibility to advertise the event and communicate which products can be accepted to the applicant’s customers/residents. SWEEP/EPRA Saskatchewan will provide the applicant with the appropriate communication materials at no charge (brochures, posters, etc...). 5. The applicant will provide, at minimum, one employee (or volunteer) to assist with the collection of electronic waste at the event. 6. The applicant must also provide a secure indoor storage area in the event that the electronic waste need to be stored overnight. This applies especially in the case where the event spans sever days. 7. Failure to follow procedures and standards may preclude an Entity from being allowed to hold
future Collection Events. SWEEP/EPRA Saskatchewan: 1. Follow up on all requests for a Collection Event. 2. Make all reasonable efforts to aid Entities in understanding the applicable obligations, standards and operational details that preclude a SWEEP/EPRA Saskatchewan Collection Event. 3. Ensure that all communication with the Entity be properly documented and retained. 4. Work closely with the Entity in logistical and operational matters in order to provide the best and most efficient service possible. 5. Cover the costs associated with packaging, transportation and processing of obligated electronic waste. 6. Follow the procedures outlined in the Procedure section below. Procedure: 1. Request In order to process a request for a Collection Event the Entity requesting the pickup must fill out a Special Takeback/Collection Event Request Form. In the case where the request is received by telephone or another means the Entity will be directed to fill out the request form on the www.recyclemyelectronics.ca/sk/ website ensuring that the following information is obtained: a. b. c. d. e. f. g. h. i. j. Name of Organization/Business Name and Contact information of Contact Person Address of Organization/Business Address/Location of Pickup Note if a loading dock is available Availability of a forklift or pallet jack Use of an indoor secure storage facility Requested event date(s) and an alternative date(s) Suggested event hours (minimum of 3 hours) Any other relevant details 2. Contact with Organization/Business upon receipt of application Once an application has been received for a Collection Event by SWEEP/EPRA Saskatchewan the Entity will be contacted and kept informed of relevant details regarding the Collection Event. All reasonable efforts to cooperate with the Entity on logistical details will be made in order to provide the safest and best service possible. 3. Presence of SWEEP/EPRA Saskatchewan Representative SWEEP/EPRA Saskatchewan will discuss with the Entity if a SWEEP/EPRA Saskatchewan representative is required to attend the Collection Event and/or aid in packing and loading the material. 4. The following materials and information will be provided by SWEEP/EPRA Saskatchewan: - A list of obligated electronic products that SWEEP/EPRA Saskatchewan accepts for recycling - Communication materials such as brochures for promotion of the event. - SWEEP/EPRA Saskatchewan’s packing standards (where applicable) - Appropriate packing materials (Shrink wrap, pallets, mega bags, etc.) (where applicable) - Contact information of SWEEP/EPRA Saskatchewan’s representative managing the event. 5. Transportation of electronic waste from event to a suitable depot. a) If a SWEEP/EPRA Saskatchewan representative will be attending the Collection Event with the intention of transporting the electronic waste on SWEEP/EPRA Saskatchewan’s behalf, the rental of an appropriate vehicle (typically a 1-ton truck) will be scheduled for the day of the Collection Event. Alternatively, a courier/trucking company will be contracted by SWEEP/EPRA Saskatchewan to transport the electronic waste to a depot. b) In the event that a courier/trucking company will be contracted by SWEEP/EPRA Saskatchewan to transport the electronic waste to a depot, SWEEP/EPRA Saskatchewan will: i) Inform the contracted transportation company of SWEEP/EPRA Saskatchewan’s packing and transportation standards ii) Inform the contracted transportation company with all relevant contact and logistical information regarding the Collection Event iii) Ensure that the contracted transportation company confirms the pickup of the material and delivery to the depot or consolidation site with the appropriate SWEEP/EPRA Saskatchewan representative. 6. SWEEP/EPRA Saskatchewan Representative will notify Depot of event SWEEP/EPRA Saskatchewan Staff will: a) Contact depot to arrange drop-off of collected materials when arranging date with applicant b) Ensure that the depot is capable of handling the material on that date c) Reconfirm the drop-off at least five business days prior to the event 7. Event and Follow up Once the event has taken place, whether it was attended by a SWEEP/EPRA Saskatchewan representative or not, the following information should be collected and organized for documentation purposes: a) Description and quantity of electronic material collected b) Method of transportation (courier, truck rental, etc.) c) Confirmation of pickup and delivery to a depot d) Follow up with Entity contact to enquire about satisfaction e) Follow up with the depot (or a consolidation site) to determine the exact weights of the material f) Follow up with the transportation company (if applicable) to obtain billing information. g) Any other relevant details of the Collection Event.
