Marketing & Fundraising Coordinator – VIC & SA
The McGrath Foundation is based on the North Shore in Sydney and we are looking
for an outstanding Fundraising Coordinator in Melbourne to work a minimum of
three (3) days per week and work remotely with our headquarters in Sydney. The
ideal candidate will be a self-starter who can work both independently and as part
of a team to achieve real results by developing and hosting successful events in the
local community, not only raising invaluable funds but building an ever deeper
relationship between the Foundation and the communities we work within. The key
responsibilities include, but are not limited to:

developing overall events strategy and events for VIC & SA
identifying, championing and executing appropriate fundraising opportunities
developing relationships with potential and existing partners as well as Foundation
Friends
grow our reach into new markets
managing event sponsorships and logistics
developing appropriate promotion materials in line with events
building and coordinating the ongoing activity of a working friends group for the
States whilst identifying and building key relationships with potential Corporate Friends
managing event costs to ensure budget targets are met
working with key members of the team back in Sydney to ensure national relationships
are being leveraged
ensuring the consistency of all messages delivered to partners outside the Foundation
ensuring all events uphold the Foundation’s values
To join the McGrath Foundation family you will have:

About McGrath Foundation
Established in 2005 by Jane McGrath and her cricketing husband Glenn, the
McGrath Foundation aims to both raise money to place McGrath Breast Care
Nurses in rural and regional Australia, while at the same time educating young
women about the importance of being breast aware.
McGrath Breast Care Nurses are specially trained nurses who act as patient
advocates, coordinating care for women with breast cancer, their families and
carers. In doing so, they work to ensure the physical, psychological and basic
support needs of these women, and their families, are met. The Foundation needs
to raise approximately $350,000 to place a McGrath Breast Care Nurse in a
community for a three year period.
There were over 13,600 new breast cancer cases diagnosed in 2010 and a projected
incidence of 15,409 women by 2015. One in nine Australian women will be
diagnosed with breast cancer by the age of 85 but not all of them will be fortunate
enough to have access to a breast care nurse.

About McGrath Foundation, Head Office, Sydney
The McGrath Foundation shifted its head office function from Tracy Bevan’s home
to the current offices in Northbridge at the end of October 2007. These offices now
constitute the national headquarters for the Foundation. It is from these offices that
the following functions are driven:
o Strategy, business planning and management for the overall Foundation
o Strategy, business planning and management for the McGrath Breast Care
Nurse program and Youth Education
o All financial management
o All media relations
o All community relations & communications
o All merchandising
Our team members (known as family), come from diverse backgrounds, and work
to both engage and deliver results for our corporate, business and government
supporters, while at the same time maintaining close ties to the grass roots
community that supports us. In this capacity we all work to support those people
within the community who reach out to us with offers to coordinate events or other
fundraising activities.
At all times we all work to continue to deliver a high degree of intimacy with the
Foundation – that is the people that contact us know, without doubt, how grateful

In addition to the above we all also seek to support and promote the invaluable
role of a McGrath Breast Care Nurse within the communities in which they live and
in this context we maintain close links with our nurses helping foster a strong sense
of family within their ranks.
It is hoped that in the longer term this national team will be supported by Groups
of Friends and Fundraising Coordinators in the major states (outside NSW) who will
be responsible for working within their immediate geographies to drive fundraising
and profile raising initiatives locally.
About the Role
The Marketing & Fundraising Coordinator role in Melbourne is responsible for
working with the Community Friends Manager on developing and mapping the
overall Victorian & South Australian events strategy and subsequently the
implementation across the state with the primary region of focus being Melbourne
and Adelaide as well as our potential growth areas. This is a part-time role,
requiring 3-4 days per week to drive and enable the growth of events across the
States. This role also requires travel to rural parts and other towns in both States.
In this context the role is responsible for meeting the following key objectives:
1) To successfully coordinate the execution of a Ladies High Teas to coincide
with Breast Cancer Awareness Month (October each year) as well as grow
the potential in rural areas.
2) In consultation with the Community Friends Manager, working to develop
sustainable growth in the targeted regions.
3) Building relationships within the racing and other industries with an eye to
successfully tapping the potential for future events in each year.
4) To identify, champion and execute further unique fundraising opportunities
which would be appropriate to the state including a specific approach to
rural and community areas in Victoria & South Australia.
5) To liaise with those people within the immediate local community who may
already be doing their own events with the offer for support or guidance on
matters related to leveraging the McGrath Foundation IP and logo as widely
as possible.
6) To facilitate the establishment and then coordinate the ongoing activity of a
working Friends Group for the States made up of dedicated and passionate
volunteers from across the region who are prepared to assist the Officer in
the execution of the aforesaid events.
7) To identify, approach and engage local Corporate Friends to foster discreet
support for events within the states.
8) To work with key members of the team back in Sydney to ensure national
relationships (with corporate friends, volunteers and Foundation Friends) are
all being leveraged through the state as appropriate.
9) Ensuring consistency of all messages delivered to partners outside the
Foundation
10) Ensure events (including fundraising mechanisms at Foundation Events)
adheres to all state fundraising legislation
11) Ensuring the Foundation is seen as an ethical and responsible business
partner
The Marketing & Fundraising Coordinator works under the direction of the
Community Friends Manager and in cooperation with the Corporate Friends
Manager and the Marketing and Fundraising Director. Performance is based on the
ability to work with the Community Friends Manager on establishing key events
across the calendar in VIC & SA; achieving identified financial year income targets
as per the overall strategy for VIC & SA; building a local supporter base, and the
successful coordination and management of volunteers throughout the state.
Key Deliverables:

Success through Community and Business Events
o Work with the Community Friends Manager to brainstorm ways in
which existing Community and Business events can be enhanced or
leveraged further
 Monthly recording and tracking of events
 Attendance at events as required

General Business Management
o Foster relationships with key suppliers of the Foundation in your local
geography to ensure strong, mutually beneficial relationships.
o Where appropriate manage queries as they relate to community or
Foundation events, merchandising, volunteering, and general
enquiries as they apply to specific events within VIC & SA.
o Work with the Office Manager in Sydney to ensure you have
appropriate general office supplies for your work.
o Championing the maintenance of an accurate filing system for all of
your work on behalf of the Foundation within VIC & SA.
o Organise and manage the flow of all postal and courier items in and
out of the Foundation operations for your function.
o Complete weekly timesheets and reporting as per the processes in
place.
o Report on weekly activities in weekly catch-up meetings as required.
o Visit the Sydney Head office once every 8 weeks

Merchandising
o Take primary responsibility for the management of all merchandising
items in your procession including, but not limited to:
 Managing all stock on hand.
 Liaising with the Merchandise Manager to facilitate the
distribution of additional stock on consignment as appropriate.

Community Relations
o As appropriate work with the Community Friends Manager and the
Communications Manager to support those within the community of
VIC & SA who chose to fundraise on behalf of the Foundation. This
may include:
Follow up appropriate documentation to support the event as
requested.
 Liaising with organizers to offer access to merchandise and
promotional materials.
 Assisting in the reconciliation of both stock and monies raised
through events.
 Collaborating to ensure appropriate commentary on the
Foundation website and in the quarterly e-Newsletter.
 Working with the Community Friends Manager to ensure all
costs for any event are accurately projected/budgeted for,
recorded/captured and processed
As appropriate, work with the Community Friends Manager and
Marketing and Fundraising Director to assist in the running of specific
Foundation Fundraisers
Attend events where required
Contribute to the maintenance an annual calendar of events which
provides details of upcoming events in your home state
Manage volunteers within your region including (as appropriate):
ensuring all details for volunteers are recorded on the Foundation’s
central database, ensuring all appropriate insurances are current and
shared as necessary, regular contact with the volunteers to build a
sense of team, and supervising volunteers whenever they are working
on behalf of the Foundation.


Foundation Communications
o As requested work with the Community Friends Manager and the
Communications Manager to provide input into both the
Foundation’s website and the quarterly e-Newsletter.
o Work with the Community Friends Manager as required assisting in
the production of marketing materials e.g. consumer brochures,
corporate material.

Corporate Partnerships
o As requested work with the Community Friends Manager and
Communications Manager to support strong, mutually beneficial
relationships with key corporate supporters. This will include working
to identify appropriate potential corporate friends within your region,
making an initial approach and then reconnecting the partner with
the Head Office in Sydney.

People Development
o Contribute to performance appraisal process for peers and managers,
by providing appropriate comments.
o Identify and attend training and development programs that support
the development of your career.

Financial Planning and Management
o Ensure all costs associated with any activities undertaken during your
normal work processes are accurately recorded and monitored.
o Ensure all project disbursements are approved and lodged with
finance, according to finance timeframes, to be claimed in the next
project/ corporate partners invoice.

Leadership
o Ensure the Foundations values are understood and lived at all times.
