COMPUTER LIFECYCLE REPLACEMENT (CLR) PROGRAM 2015/2016 Butte College will be offering a computer lifecycle replacement (CLR) program for 2015-2016. The intent of this program is to replace antiquated and unsupported computers, and to implement new standards for desktop computing. The departments will have the ability to participate in the process in conjunction with the IT Services & Support (ITSS) teams. IMPORTANT NOTES FOR 2015/2016 Computers will be allocated based on the age of the computer being replaced. We will be targeting computers 7+ years and older. This year’s program will include a Butte College Custom Dell Optiplex 3020 PC: Intel Core i5-4590 processor--Quad Core, 3.30GHz Turbo, 6MB cache 500GB hybrid SSD drive 1 GB video card 8GBs of RAM 8X Slimline DVD+/-RW drive Burner 5 year warranty Windows 7 (64bit) Office 2013 Adobe Suite (including Acrobat Pro, Photoshop, etc.) Allocations cannot be combined and used to purchase fewer/more expensive computers. PROGRAM DETAILS The following guidelines will assist you in determining what, who, where and how much when allocating your resources for computers. Computer Replacement 1) The intent of this program is to replace as many existing substandard computers as possible. 2) One trickle per new machine will be allowed. 3) Departments determine their machine replacement strategy according to their allocations, and in consultation with the IT CLR program lead. a) NO distinction will be made between full or part time, tenure or non-tenure Faculty and Staff. i) Provided the replacement falls within the guidelines, the ultimate decision for replacement is up to the department. A laptop must go towards replacement of a desktop or primary laptop computer---it cannot be used as a secondary or department shared machine. Laptops offered are configured to be a desktop level replacement. Computer Lifecycle Replacement Program Guidelines v1 Page 1 Upgrade Options Upgrade options are available through this program. Laptop, tablet, and Macintosh computers are available—the department will be required to fund these upgrades. Supported Computer Minimums Current Minimally Supported computer levels: All PCs i3 processor and above, 4Gb RAM All Intel based Macintoshes i3 processor and above (iMac 2010+), 4 Gb RAM The following machines will be targeted for replacement either through the Lifecycle Replacement program or by department procurement of new equipment. Trickles When someone gets a new computer and the department wants to swap their old computer with someone else’s, we refer to this as a trickle. In an effort to speed the delivery of new computers and to encourage the surplus of aging computers, trickles will be scheduled within the program. 1) If a department is going to trickle a computer, it must be included in the CLR plan. 2) Departments are responsible for storing the computer to be trickled in a safe location-ITSS will not store computers slated for trickle. a. ITSS will not be responsible for any missing parts when re-installing a trickle. 3) Trickled computers will be considered a lower priority than installation of new computers. 4) Trickles slow down the entire process. a. All data must be removed from the computer. b. We try to make absolutely sure the previous user has all of their files before we wipe the trickled computer clean and install a new software image. c. We usually give the user 2 weeks before wiping the trickled computer clean. d. ITSS is not liable for any data left on the old machine beyond 2 weeks. File and Data Transfers 1) Users are expected to move all data files to either OneDrive or the campus DFS. OneDrive should be used for individually accessed files, the DFS should be used for shared department files. ITSS techs will assist users in this task, but this task needs to be completed prior to install of any computers. 2) It is the responsibility of the user to inform ITSS of any installed specialized software or work-related data locations other than the desktop or ‘My Documents’ folders prior to computer install. 3) It is the responsibility of the user to ensure that their files are moved correctly. ITSS technicians can assist in this process but will not be held liable for any omissions. 4) If machine recipients are unavailable during the installation, it slows the process down. ITSS reserves the right to schedule other department installations should we encounter difficulty in scheduling time with any given recipient in the program. Computer Lifecycle Replacement Program Guidelines v1 Page 2 5) ITSS will not transfer personal files, such as iTunes libraries, photos, video’s, etc. The user must perform their own backup and restore for their personal files. Application Installation IT Services & Support will install all supported applications. Media and proof of licensing for non-campus licensed products will be required (e.g. FileMaker Pro, Dreamweaver, etc.) 1) IT Services & Support will not be held liable if the hardware or the operating system does not support the application Procurement 1) ITSS will work with Departments on a first come, first served basis for three procurement cycles. a) The first purchase is planned so that installation begins mid-Fall. b) Deadline for first Department Plan submission: November 20h. c) Another purchase is planned so that installation begins early spring. d) Deadline for second Department Plan submission: February 11th. e) The final purchase is scheduled so that installation begins late Spring. f) Deadline for final Department Plan submission: April 1st. 2) Departments that solidify their plans with ITSS first will be scheduled to get their computers first, depending on their faculty and staff availability. Apple VS. PC The recommended platform of computers for this program and in general is the PC unless programmatic needs require an Apple. Some PC and all Apple configurations will cost the department extra within the program. Getting Help! ITSS will have staff available to assist the departments with their replacement strategy.
