PROFESSIONAL POSITION DESCRIPTION

Position Title: ESOL Coordinator

Division: School of Education

Department: English as a Second Language

Location: 101 Payson Smith Hall, Portland campus; possible work on all three campuses

Schedule: Monday – Friday, 8:00am – 4:30pm, evenings and weekends as necessary

Reports to: Director of ESOL

STATEMENT OF THE JOB: The Program Coordinator of ESOL assists the Director in the running of the ESOL Program and teaches in the program. Research, secure and allocate funding to support ESOL students with scholarships and advise and tracks all recipients; assist program director in monitoring the ESOL Program’s budget; teach and advise ESOL students and respond to program inquiries; manage databases and create reports to track students and program data; assist the Director in the development and evaluation of the Program’s curriculum, marketing and advising.

ESSENTIAL FUNCTIONS:

Teach two ESOL courses per semester which focus on the academic English skills of writing, vocabulary development, reading of college-level texts, listening and oral presentation.

Teach one course of the Intensive ESL summer session

Provide information about the program to both enrolled and potential students, handling walk-in/email/telephone inquiries, including university admissions and financial aid processes

Compile and process international applications (including handling deposits) and submit to the ESOL Program Director and the Office of International Programs

 Oversee the granting of ESOL scholarships (both internal and external to USM), e.g. the

Portland ESOL Scholarship Fund awards and USM general funds. Answer inquiries, interview and test all applicants; handle scholarship funds; monitor and advise scholarship recipients throughout the semester of their awards

Assist the Director with revision of course schedules, including ensuring that MaineStreet listings are up-to-date and submitting changes to the system when needed

 Assist with student assessments, creating records of all scores, as well as assisting with class placements at the beginning of each semester

Assist the Director in implementing training workshops for USM tutors at the Learning

Commons

 Assist the Director in implementing marketing initiatives, including developing advertising materials and delivering promotional presentations in outreach

Participate in relevant community events, e.g. those organized by USM’s Multicultural

Center, as well as events sponsored by community organizations serving local immigrants

Research and apply for external scholarships to support ESOL students

Track inquiries to the program: online/ walk-ins,/telephone calls

 Assist the Director as needed with ELB reports and tracking

Create spreadsheets and analyze data relevant to the ESOL program, e.g class schedules, test scores, enrollments, budget

 Participate in regional and national professional conferences and workshops

Support the Director of the ESOL Program in all programmatic efforts, including participating in relevant university-based committees.

 Carry out other duties as reasonably assigned by the Director of the ESOL Program

SPECIAL ESSENTIAL FUNCTIONS/RESPONSIBILITIES*:

Authority to commit financial resources of $25,000 or more as provided in the campus

Signature Authority matrix and/or MaineStreet Marketplace

 Responsibility to regularly handle cash or cash equivalents

 Broad access, including but not limited to master key or swipe card access, to University facilities, residences, or apartments

 Direct responsibility for safety and security of employees, students, minors, and/or visitors or property

 Direct responsibility for care, safety, and security of minors (under 18), incapacitated persons, or persons with developmental disabilities who participate in Universitysponsored programs

 Control over, access to, or security of restricted levels of information technology systems that would allow the person to harm the IT systems or the information contained in them

Ability to drive a University vehicle and provide proof of a valid driver’s license

Ability to drive colleagues, students or others and provide proof of a valid driver’s license

Ability to provide own transportation (fully-insured vehicle), provide proof of a valid driver’s license, and compliance with Maine law regarding vehicle insurance

Work on federally funded projects

SUPERVISORY RESPONSIBILITIES:

 Advise and assist new part-time temporary ESOL instructors

 Assist the Director in orienting/supporting part-time/adjunct ESOL instructors throughout the semester

BUDGET RESPONSIBILITIES:

Monitor the budget for the ESOL department. Collaborate with the Director on maintenance of the ESOL budget. Coordinate, submit and track all orders for department purchases

PUBLIC AND PROFESSIONAL ACTIVITIES RELATED TO JOB PERFORMANCE:

Represent USM’s ESL program in the community as required for community outreach and recruitment

Participate in regional and national professional conferences and workshops

INTERNAL AND EXTERNAL CONTACTS:

Internal: Office of International Programs, Office of Multicultural Students Affairs,

Student Billing, Student Success (advising), Orientation Office, Summer Session,

Registrar, University Advancement, Learning Commons, Computing Services

External: Portland ESL Scholarship Fund; other external funding contracts (e.g. Career

Center, Town & Country Credit Union); other relevant community programs and agencies

KNOWLEDGE, SKILLS, AND ABILITIES:

Demonstrated ability to work closely and effectively with refugees and immigrants, collaborate with community agencies, communicate effectively with diverse audiences; develop and coordinate community outreach and marketing

 Strong written and oral communication skills, including the ability to communicate effectively with diverse populations

 Strong organizational skills

QUALIFICATIONS:

Required:

Master’s Degree or Graduate Certificate in Teaching English as a Second Language

At least 3 years’ experience teaching English for Speakers of Other Languages in higher education, including teaching abroad and at least one year in a university setting

Knowledge of a university-based ESL program, including elements of curricular and program development and evaluation

Experience interviewing, advising, and teaching international and refugee/immigrant students;

Demonstrated ability to work closely and effectively with refugees and immigrants, collaborate with community agencies, communicate effectively with diverse audiences; develop and coordinate community outreach and marketing;

Strong written and oral communication skills, including the ability to communicate effectively with diverse populations

 Strong organizational skills

License/Certifications:

Valid motor vehicle driver’s license

Preferred:

One year teaching ESOL abroad

Experience developing marketing strategies and materials

Experience with database applications and website development, social media

Familiarity with managing a budget

Experience seeking grant opportunities, writing grant proposals and securing funding

Knowledge of Greater Portland’s refugee and immigrant population
