NMUPA Meeting Minutes Monday, September 14, 2015 The meeting was called to order at 7:03pm by Brad Bruce, President of the Association. The minutes of the previous meeting were deferred as they were not available at the time of this meeting. Kathy Merlo was previously elected as Recording Secretary of NMUPA. Due to conflicts in her schedule, she is resigning her position. Nancy Rudolph Myers was nominated to the position. A motion was made by Sherri Delmonte and seconded by Cindy Rhodes to accept Kathy’s resignation and elect Nancy to the position. The Treasurer’s report - Mary DeMonte. A copy of the Treasurer’s Report is hereby attached to these minutes as part of the permanent record. Total liabilities and Equity at this time is $16,831.34. The Treasurer’s Report was filed for audit. Correspondence – Lisa Morales. Paperwork for scholarships is coming in and is in the review process. Vice President – Tracy Crary. Tracy will be keeping track of volunteer hours as well as credits to individual student accounts. If you have any questions, please see her. President’s Report – Brad Bruce. Brad welcomed everyone to a new year at MUPA. First performance at Lenape went well, and the committees are working to improve and expand on the props and costumes for the show. Director’s Report – Ms. Klek – She was pleased with the performance at Lenape. Phillies game performance was well done. The folks at the Phillies Organization were impressed with our students and our unit and would like to invite us back in the future. Band practices will continue to be Tues & Thurs with sectionals as needed. Band Front practices will continue to be Mon-Thursday. Upcoming competitions and events are October 17 at Hopewell Valley; October 18 at SHS (Music in Motion) and September 26 is the Cavalcade of Bands at HHW. September 19 is the first home game. Game is at 12noon; report time will be 10:30. Budget for 2015-2016 school year was presented by Mary DeMonte. Based on previous years, and using conservative estimates, it appears we will be $1500 short in meeting anticipated expenditures. Mary reviewed the budget and noted that scholarship amounts carry over to the following year. Several ideas were discussed, including the possibility of taking over the 50/50 sales for the football games. We will check with the “powers that be” to make sure that we can do this and be sure that all parties are in agreement before proceeding. Mary requested that if you are a Committee Chair, you must speak with her first so that you are aware of your budget amount. A motion was made by Lynda Clifford and seconded by Tracy Crary to accept the Budget for the 2015-2016 academic year. Membership – Jennifer Gurgurich. Memberships are coming in. She reminded all that you must be a member of MUPA in order for your child to be eligible for a scholarship. Fundraising: Swal Dairy - Cindy Rhodes. Please pick up a flyer for our night at Swal Dairy. You must present the flyer in order for MUPA to receive credit. She also has Wawa shorty coupons. They are $4 each. We receive $1 for each coupon sold. Wawa coupon monies go to the General Fund. Coffee Fundraiser is ongoing and Jennifer Gurgurich is chairing that. Monies from the coffee fundraiser goes to the student accounts. Scrips – Stacy Gilbert handed out information sheets. You purchase a gift card for certain stores and a percentage comes back to MUPA, which is placed into the student’s account. This can be done online. Blocks – Lydia Kugler is our new artist. You may purchase these at any time. Candy grams & Air Grams – Kathy Merlo is chairing. She does need an assistant. Air and candy grams are $1 each. She will have a table at every game. Merchandise – Lynda Clifford. Lynda requested help at the Merchandise table. She also looked into the blankets that have been sold in the past and it is just too expensive. It would be in the $70/each range. We will be selling scarves at $10 each. Brad reminded all that snacks and water will be needed for Saturday’s game. You do receive 15mins (one shot deal, no multiple increments for multiple items) of credit for what you being. Remember no tree nuts of any kind, please!. Star Crew – Larry Specian. He needs help with props for the field show. Please see him for details. Anyone who can paint or help us create Mars and a Starship would be appreciated. Meet for Sat game is 10am at the containers on the field. Homecoming Breakfast – MUPA will be providing the sausage for the breakfast. Time is 9am at the school. The regular business meeting of the NMUPA was adjourned at 8:15pm. It is not considered part of our regular business meeting and all questions regarding this information should be directed to Mrs. Klek. Dates: May 22, 2016(leaving in the very early AM)-May 26, 2016. Days missed are considered excused absences. At this point, May 27 is a scheduled day off (may be utilized as a snow make up day). If the snow day is used, all students are expected to be in class. May 24th would be WDW parade day; May 23 is workshop day; May 25th is the Epcot dinner). Please note WDW can change these dates at any time. Please remember that May 30th is the Memorial Day parade. -Cost is expected to be $1300 per student. This includes accommodations (All Star Music; 4 to a room); shirt, park hopper tickets, airfare, transportation to and from NHS to airport, some meal allowances, and a buffet dinner at Epcot (Illuminations). First deposit is due Sept. 22 to Roz Szczepanski . Please refer to the information sheet that was part of the Band Camp packet regarding all payment due dates. All payments must be in the form of a check or money order. Checks are to be made out to NMUPA. No cash! We may be able to offer pricing that does not include park tickets for Annual Passholders only. No “piecemeal” ticketing arrangements will be offered. -No parent information is available at this time. -School Nurse, all Music Directors and our School Safety Officer Anne would be present on the trip. If your child requires medication on a regular basis, you will meet with the school Nurse to go over instructions. -Luggage must be packed and sent ahead of time. Inasmuch as this is a school trip, all luggage can and will be searched. Luggage will go down on the truck with instruments – drivers are Mike Fitzpatrick and Mark Delmonte. -Students must keep school ID’s for TSA security.
