We missed our AGM in March and instead held an Extraordinary General Meeting on 23rd April. We started from a low membership level in 2012 of only 38. We realised that we had to significantly uplift membership and awareness of the club if we were to continue our ambitious redevelopment plans. We therefore o Held an Open Day on 27th April – attended by over 150 people o Started a club website – www.musselburghtennisclub.org.uk o Initiated Junior coaching across three age groups on Saturday mornings o Ran adult 'Tennis Express' coaching on Thursday evenings o Started a Facebook presence o Hosted a National Mini-Tennis Week – culminating in another Open Day on 15th June attended by over 180 people o We held our own Junior Tennis Summer School – 12th – 16th August We ended the year with an increase membership of 116. In addition to that we had over 70 nonmembers involved in the coaching. This leaves an available Bank balance of £4,394.37. The significant increase was due in part to a) The introduction of a half-year membership – for those starting beyond August b) Profit generated from the coaching of £1,421 There is an unexplained element, a surplus of £233. The most significant component of this is believed to be an unpaid cost for food purchased by Tim Price for the June National Mini Tennis Week Open Day. However there is no receipt. Ian Coulter has agreed to complete an independent audit of the accounts – however this is yet to be completed. It was also observed that, due to the coaching, there were considerably more transactions in cash last year. Ian Coulter will also make some observations and possible procedural recommendations to help manage that in 2014. The Accounts for the 2013 season were signed off Proposer – David Stott; Seconded – Ian Hunt 5) Amendment of Musselburgh Tennis Club’s Constitution There was only one modification to the club’s Constitution since they were signed off in 2013 – this is an amendment Rule 20 (re-written below) RULE 20: DISSOLUTION The Club is a non-profit making organisation. All profits and surpluses will be used to maintain or improve or develop the Club's facilities or to carry out the objects of the Association to which it is affiliated. No profit or surplus will be distributed other than to another non-profit making body on a winding-up or dissolution of the Club. There was public thanks for Malcolm’s 16 years of service on the Committee and we look forward to welcoming him as a club member in 2014. Bill is currently completing Level 2 qualifications with a view to completing Level 3 by early 2015. Page 3 of 5 Musselburgh Tennis Club – 2014 Annual General Meeting Thursday 13th March 8) Membership Fees and Methods of Payments After healthy discussion the following membership fee structure was proposed and agreed Adults £55 Juniors / UB40 £30 Minis (U9) £25 Family £110 Social £10 Membership subs are payable by 30th April (unless joining for the first time) – otherwise an additional cost (£5 as in 2013) will be charged for late payment. Guest fees were agreed at £5. This includes guests playing with a member outside the club allocated booking periods. It was agreed that after a maximum of three guest visits that person would be invited to become a member. Any ensuing membership charge would be less the guest fees already paid. Further consideration would be made for the 2015 season regarding a Senior Members category. Clarification would be gathered on the court charges by enjoyLeisure for the public. It was noted that the timetable for court availability to Club Members should be included with the Membership Forms as well as on the website. The Membership fees were signed off Proposer – Tim Price; Seconded – Clare Morley Clarification was made that the target opening date for the courts is Friday 4th April. Should the court redevelopments progress as planned the season would close early, at the end of August, to enable commencement of the works. This would enable a Winter Season to run from late 2014. 9) Leagues, Club Competitions and Open Tournament Bill Fleming agreed to manage entrance to the East Lothian League and the necessary co-ordination of the team. Malcolm Reid agreed to arrange the Club Tournaments. One reason for setting the Membership Fees date at 30th April (from 31st May) was to enable to Club Tournament draw to be made earlier. There will also be set dates by which matches in each round must be completed by. 10) Wimbledon Ballot The Ballot was made for Wimbledon tickets – it was agreed that Greg should be in the ballot in addition to those who had already expressed their interest. 1st selection – Tim Price 2nd selection – Louise McNaught 3rd selection – Greg Walker 1st reserve – Ryan Hunt Page 4 of 5 Musselburgh Tennis Club – 2014 Annual General Meeting Thursday 13th March 2nd reserve – Clare Morley 11) Any Other Competent Business Positive Coaching Scotland: Tim has had some discussions with Stuart Brown, the ELC Tennis Coordinator and Positive Coaching Scotland Lead about the club becoming an early adopter for this scheme – in fact the first in Scotland. This was widely supported and Tim will pursue. National Mini Tennis Week: After the success in 2013 the club has been asked again to support an Open Day associated to the National Mini Tennis Week. Last year this was in mid June. We agreed that we would be delighted to support this. The meeting’s formal business closed at 9.00pm Wimbledon Ballot The ballot for Wimbledon tickets was also made during the evening.
