Board of Trustees Meeting Minutes October 15, 2014 In Attendance: Thomas Kelly, Thomas Hoban, Terri Fewell, Luis Valdes, Sue Adams, Caig Buchanan, Lon Carlson, Jeff Cymbaluk, Kurt Daviscourt, Cathy Dire, Millie Judge, Larry Moore, Shannon O’Kelley, John Olson, Duane Schireman, Pat Sievers, Sandy Smith, Bruce Stewart, T.C. Dennis Kelly, Denise Jannusch Absent: Talia Alcantar, Roman Miller, Tom McDonough, Jeff Shober The meeting began at 6:00pm with prayer led by Matt Schambari. Roll Call - Terry Fewell Approval of August 2014 Minutes: A motion to approve the minutes was made by Jon Olson, seconded by Millie Judge and approved unanimously. Approval of Draft Audit for 2013-2014 fiscal year – Motion to approve by Tom Yetman, seconded by Shannon O’Kelly and approved unanimously. Ad Hoc Committee to Investigate Tuition Pricing Strategy – Matt Matt would like to assemble an ad-hoc committee to determine cost strategy for tuition and where we go from here and into the next 3-5 years. People from marketing and development prospective would be ideal. This committee would report back to the board and present findings. Matt will develop objective and boundaries for this committee. If you are interested, contact Matt. Motion to add ad hoc committee to start research was made by Shannon O’Kelly, seconded by Millie Judge unanimously approved by all board members. Committee Reports: Governance Report – Matt reported that there will be a spiritual report added to our monthly board meetings. AMHS Athletics - Erick Streelman Erick reviewed school mission Catholic – Our athletic department is Catholic and represents the virtues of Christ. Goal is that our coaches and athletes strive to reflect the message of the gospel and model of Christ. Success = Enrollment = Souls College Prep – We mold our programs after what students will experience at the next level. We provide opportunities for student athletes to be recruited and guide them through the recruiting process. NCAA Information nights are available at school. Full Development of Gifts – Every athlete is unique, and we seek to provide a valuable experience for all athletes We are now a part of WHSBLA – Boys Lacrosse A Value for Diversity The student athletes at AMHS represent an incredibly diverse group. This speaks to our brand and our reach. We do not actively recruit student athletes. We do actively recruit excellent young men and women. Working with Parents Erick and coaches have an open door in regards to all matters of the athletic program. Team meetings are held at the beginning of each season. Striving for Excellence – How do we define excellence? Unselfishly giving your best every single day! Student, parent, and athletic department evaluations of coaches and programs. Surveys are given to parents and players. Christ-Like Leadership – Humility ~ Endurance ~ Overcoming ~ Obstacles and Teamwork! People who live like this will change the world! Injury prevention – Erick reported that training in the off season helps prevent many injuries. The Archbishop Murphy Microsite – Matt Schambari What can we do to keep the legacy of Archbishop Murphy alive in our community? This document organically grew into an impressive online piece and is an interactive timeline. It is a virtual museum to the life and ministry of Archbishop Murphy. It has approximately 1100 pieces of his archived homilies’, speeches, and columns that he wrote. Idea brought forward - We could share with feeder schools so they can use in their religion classes. This is tangible evidence of our Catholic identity and a source of recruitment for the school. Special thanks to Eric Downing, Christine Wollin, Shannon McCann and Brian Murphy for making this happen. Finance – Tom Kelly Discussion at finance meeting centered around tuition going forward in future years. This month’s task for budget – to determine assumptions ie; what are items that can hit the budget, salaries etc. In terms of financials we are doing well. Collecting more than we anticipated and collecting outstanding collectables. Next month finance committee will refine assumptions. The challenge is the budgeting process and spreading out tuition across 12 months. Moving off of accrual and moving to cash basis. Looking to simplify report and will now move to a one page snapshot on finance performance. Operations – Steve Schmutz Committee discussed results on study of gym sound. Meeting has been scheduled with group for strategy points. There will be a report to board next month. Grant request submitted to Tulalip Tribe for electronic door system. We are applying to Fulcrum Foundation for computers on wheels. Transportation concerns – Buses have lots of miles on them and have numerous service needs. Parking – Getting bid to pave gravel in lower lot for next year. This will allow more spaces. There is potential access for parking at Vision Quest. They are also, a possible resource for expansion of off season conditioning programs. Updates in the future. Classroom work Areas - Enrollment will go up with smaller class graduating in 2015. We may need to look at faculty sharing rooms and other areas we can access. Housing sub-division next to gravel parking lot, wooded area 10 feet south of the parking lot needs to be fenced. Some of this property is ours. Can we sell it? Could use for storage. There are options and we should explore these. We should consider renting a temporary fence or get a bid for raw materials. We should speak to the developer now. Advancement – Eric Downing New Chair – TC Thacker The committee reviewed tactics that were agreed upon last year. What are goals and strategies for the future and how can board members can help? How can board connect with parent community? How do we keep connection with parents and how we differentiate with other schools? Sending a check-in letter to parents will open the door, a gesture. This will be a one page letter that starts with mission statement and sent electronically and hard copy. Also discussed creating individual/Board of Trustees email account/s with AMHS email. Debrief golf tournament – Thank you for your involvement. Not as successful as last year but from a support/spirit standpoint – a homerun! Not a great ROI. How do we package it? How does it fit in our portfolio? It is a touch point! Need to promote the memorial part of it. How do we memorialize Archbishop Murphy? Get rid of nickel and diming and have ask at the meal. Freshman retreat – The freshman class traveled to downtown Seattle partnering with Catholic Community Services. Kids got to see up close and personal the service element. Students packed one extra lunch for someone in need. They finished the day by walking to St. James Cathedral and visiting Archbishop Murphy’s grave. Admissions – Christine Funnel and projections – We are now at 245 inquires, top of funnel. Early application deadline is before Thanksgiving which will give us solid application number. In order to hit a class of 140 freshman we need to get to 400 inquires. Early open house and Murphy night helps a lot 3 projections – 512- low 542 – mid 557 – high The 245 inquires are 8th graders and there have been interactions with each inquiry. Inquires are new and existing families and out of the 245 inquires, two thirds are coming from our main partner schools. The junior class has highest percent of public school students. Access to public schools is not there. Open Discussion - We are hosting the Taylor Hooton event on November 3rd which promotes awareness and education about performance enhancing drugs. We have reached out to the community such as little leagues etc. Are we watching ballot measures? Don’t fall though the cracks, a lot of opportunity there.
