Northumberland and Tyneside SEPARATED PARENTS INFORMATION PROGRAMME (SPIP) ADMINISTRATOR JOB DESCRIPTION 1) JOB TITLE Separated Parents Information Programme (SPIP) Administrator 2) PLACE OF WORK 3rd Floor, MEA House, Ellison Place, Newcastle upon Tyne NE1 8XS 3) HOURS OF WORK 20 hours per week, Monday to Friday with the flexibility to work extra hours as and when required during busier times. 4) ACCOUNTABILITY The SPIP Administrator is responsible to the Operations Manager 5) PURPOSE AND CONTEXT OF THE JOB The SPIP Administrator is responsible for ensuring an efficient and effective professional administration service in relation to the delivery of the Separated Parents Information Programme. 6) KEY TASKS Answer general SPIP enquiries Manage SPIP waiting list o Send reminder letters o Reporting back to Court Liaise with clients, course facilitators, courts, other course providers, and contractor Process SPIP referrals o Register clients on Excel database and in bespoke system o Send client letters o Create client files Client bookings o Book clients on to course o Register bookings in Excel database and bespoke system o Send confirmation letters and text Preparation of courses o Coordinate dates with course facilitators o Book rooms and venue o Create event on bespoke system o Ensure there are enough course supplies; handouts, booklets, stationery Recording and Reporting o Record client attendance/non-attendance in Excel database and bespoke system o Record referrals o Report to Courts client attendance/non-attendance o Process monthly claim and invoice to contractor o Provide data for management as and when required Archiving and filing o Close client files and courses in bespoke system o Archive client records Other tasks as deemed necessary by the Operations Manager NB: The requirement for confidentiality, concerning clients and the work of counsellors, is absolute and must be maintained at all times. Northumberland and Tyneside SPIP Administrator Person Specification SELECTION CRITERIA CRITERIA STANDARD Skills At least 1 years’ experience of general office administration Ability to communicate clearly (telephone skills, written, verbal, communication) Ability to prioritise Ability to multi-task Experience of working under pressure and to deadlines Highly organised IT literate, minimum of intermediate skills in Microsoft Office such as Word, Excel, Outlook Experience of using computerised diary systems, CRM systems, databases Attitude Commitment to work as part of a team Commitment to the aims and values of Relate Flexibility in working hours to provide cover for the service Discretion and ability to maintain confidentiality
