If the relevant copies of insurance, food hygiene, LPG gas certificate and PAT tests are
not enclosed please forward these as soon as possible, failure to supply these documents
may lead to the withdrawal of your application.
Terms and Conditions
1.
We reserve the right to refuse or withdraw any booking at our discretion.
2.
Stalls will be provided by Bexhill Festival of the Sea Committee (BFOS) unless
otherwise agreed. The stall must not be moved from the position where it is sited.
3.
Traders must send a copy of their Public Liability and Products Liability insurance for
a minimum of £5 million and Employers’ Liability of £10m if employees are working at
the Festival. Failure to provide this will mean your non-participation in the festival.
4.
Electricity and water will be provided if you have indicated that you require it on the
booking form. The electricity and water supply will be switched off overnight. No
other equipment shall be provided by the BFOS committee.
5.
If using gas, the appliance must comply with the LP Gas Association Code of
Practice 24 (i.e. have a current LPG appliance certificate – a copy will be required.)
6.
If using electrical appliances, these must still be in warranty period (copy required) or
have a current PAT-testing certificate (a copy will be required).
7.
A schedule indicating set-up times for each stall will be sent out nearer the event. No
stallholder may set up or break down their stalls outside these times.
8.
24 hour security will be in place during the event supplied at no cost to stall holders.
This will be provided by the BFOS Committee (through a contractor) and will be in
place from 6pm on Friday 6th September through to 8am on Monday 9th September.

All Traders equipment not supplied by the BFOS Committee is the sole responsibility
of the trader (including hired equipment). The BFOS Committee will not be liable for
any loss, damage or theft, to any trader’s property or produce.
10. All Traders must agree to comply with regulations issued by the BFOS Committee or
their authorised officer (whether verbally or in writing) for the purpose of better
management of the festival.

Traders must not place goods beyond the boundaries of the stall, on the floor or
hanging.

Traders must keep their stall, any fittings and space below clean and free from litter.

Traders shall only sell/give away food, drink or other items as agreed at time of
booking.

All Traders must comply with the Food Hygiene (England) Regulations 2006 and EU
Regulation 852 2004 (copies available on request) and maybe expected to show they
have appropriate understanding of food hygiene (e.g. by having a food hygiene
certificate).

Traders refuse must be taken to designated collection area when required and
cleared completely by the end of the event.
16. There will be no on-site parking. All vehicles must be removed from site after set-up.
17. Cancellations made more than six weeks before the Festival will incur a 50%
cancellation fee, between six weeks and three weeks a 75% fee and less than three
weeks 100%. No refunds will be granted in the unlikely event of closure due to poor
weather conditions.
