44th Annual Jaycees Independence Day Celebration: Festival & Fireworks Hosted by the Greenville Jaycees in partnership with the City of Greenville Zambelli Fireworks Sponsored by Hastings Ford Event Description: For 44 years, the Jaycees have provided the community with a place to gather and celebrate Independence Day. Beginning in the afternoon hours on Friday July 3rd, this family-friendly, large scale event provides opportunities to feature talented musical performances while participants indulge in a variety of delicious food and beverages, frosty treats, and festival specialty foods. Local merchants are invited to attend as well. Activities include inflatables, family games and contests, and on-site attractions. A Veterans Recognition Ceremony is planned to thank those who have served and continue to serve our country. At dusk, we enjoy a premier fireworks display; one of the largest in Eastern North Carolina. The event is held in the Greenville Town Commons and along First Street – rain or shine. In recent years, the crowd estimates were confirmed between 15,000 - 20,000. The exposure and awareness gained from attending this large-scale, family-friendly holiday celebration is an incredible opportunity that your group will not want to miss! This year is no exception for the Greenville Jaycees to give back to our communities. For the July 3, 2015 event, proceeds will benefit local charities. Vendors must arrive on-site at the Greenville Town Commons on Friday July 3rd- time-TBD. Activities will run from approximately 3:00 PM until dusk. Vendors must cease sales at 9:00PM. Greenville Police will end lines at exactly 9:00PM. The fireworks display will start at approximately 9:15PM. No sales can occur after 9:00PM or following the fireworks display. This is a rule with Greenville Police Department. It is strictly enforced. No rain date is scheduled, per request by the City. Notification will be provided at least 24 hours in advance should inclement weather be expected. This event will occur rain or shine. Make checks payable to THE GREENVILLE JAYCEES. Checks will be deposited upon receipt. Refund checks will be issued for those vendors not accepted. Check returned for insufficient funds are subject to a $50.00 handling fee. Selection & Notification: Notification will be sent to selected vendors by Thursday June 18, 2015 via email. Decisions are final. The City of Greenville authorities (including, but not limited to the Recreation and Parks Department, the Police Department, and the Fire and Rescue Department) and Pitt County Environmental Health have the ability to remove any vendor for violations or procedure. Vendor sites are assigned after fees are paid in full. The number of available spaces may be limited. No special location request is guaranteed. On the day of the event, the Greenville Jaycees as well as the Recreation and Parks staff have final decision on vendor sites. This is not negotiable. Vendor site locations may differ from past Independence Day Celebration events. Event Site & Logistics: Display Surface: Greenville Town Commons (grassy area) Display Size: 10’x10’ booth spaces (overall size) Attendance figures from precious years is 15,000-20,000 Vendors will be selling food and merchandise for a longer duration of time this year. Additionally, we have added various on-site activities throughout the afternoon to increase attendance and offer more time for exposure to your business and sales. The Greenville Jaycees Insurance policy does NOT cover vendors. Vendors are responsible for obtaining adequate insurance for this event and their protection. Booth Space: Booth spaces are up to 10’ x 10’ max Vendors will be asked to keep all noise (including radios, background music, played instruments, etc.) at an absolute minimum in consideration of others. Equipment: Booth fees do not include tents, tables or chairs. Vendors must provide all equipment they require. Generators are not permitted at the Greenville Town Commons. If necessary, special permissions may be given to use a Honda generator, but vendor will need prior written approval from the Greenville Jaycees and Recreation and Parks. Please plan to have appropriate weights for your display in the event of excessive wind. Sales Tax: Event sponsors receive no commission on sales. Each vendor is responsible for the collection of NC sales tax during the event. To apply for a Sales Tax and Use Tax Account Number visit www.dor.state.nc.us and chose NC-BR. For additional information about NC sales tax, please contact the NC Department of Revenue at 1-877-252-3052 General Sale Requirements: Raffles, drawings and free activities, and contests must be pre-approved by The Greenville Jaycees Only approved food vendors are permitted to sell food and/or approved beverage items at their booths. No one is permitted to sell or giveaway sodas or water. Jaycees sell those items to pay for the event. All merchandise must be visibly priced. Distribution of literature or samples must be related to the exhibit. Vendors must remain in place until the end of the event. Cancellation/Inclement Weather Policy: The City of Greenville authorities (including, but not limited to the Recreation and Parks Department, the Police Department, and the Fire and Rescue Department) have the authority to cancel the event. Vendors should be prepared to set up and exhibit in the case of light rain. In the event of heavy rain or inclement weather, the Greenville Jaycees Independence Day Celebration Committee will consider the hazards and needs to event participants before making any decision associated with canceling or suspending the event. The Greenville Jaycees will not be held responsible for loss of sales due to weather. No refunds will be given. However if the entire event is rescheduled, all vendors will have the opportunity of participating at no additional cost.
