VENDOR INSTRUCTION GUIDELINES BPM 7.1/F/016/11:1 All vendors that performed work at GFM’s or site premises maintained by GFM shall comply with the followings: A General Requirements 1 All appointed workers must be insurance-covered and have valid permit (if foreign workers). 2 To send representative (at least Supervisor level) for the Tool Box/ Safety Meeting conducted by the GFM Site Office and/ or Headquarter if invited. 3 To be parts of Emergency Response Team (ERT) at site whenever required by the customer/ building owner. 4 To report any accident occurred (minor or major) to respective Site Safety Representative within 24 hours. 5 Penalty system to be imposed if the appointed workers are failed to comply with the safety procedures governed by the GFM and/ or client (refer to Penalty System Table). B Before entering the building premises/ site 1 Sign in at the guardhouse when entering and leaving premises (if any). Visitor Pass at all times during the work progress. Display 2 Report and sign in and sign off to GFM site Office when entering and leaving the building premises. 3 Apply and obtained Work Permit approval prior starting the work. 4 Provide valid and approved document by the tenants, client or GFM management. 5 Provide own Personal Protection Equipment (PPE) that suitable with the job requirements and approved by the manufactures and/ or authority. 6 All appointed workers to be briefed on Safety and Health Policy and other related SHE Work Instruction as required by work requirement (if necessary). 7 Provide/ apply Lock Out/ Tag Out (LOTO) devices from GFM Site Person In Charge for the any work that required isolation of the energy/ electricity such as Lift major repair / troubleshooting, MSB/ HT/ LV switching or repair, repair or troubleshoot of chiller, etc. 8 Declare/ inform to GFM Site Person In Charge before using any power tools C When in the building premises/ During Work Progress 1 For work involved chemical usage, ensure that all chemicals have Material Safety Data Sheet (MSDS). Only approved and registered chemicals are allowed to be used in the premises. 2 Do not smoke at all times when entering the building premises especially near any inflammable materials such as petrol, diesel, etc. 3 Use/ wear suitable and appropriate Personal Protection Equipment (PPE) as required by job requirement. The activities and type of PPE MUST be used but not limited to the followings: i) Safety shoes, gloves and appropriate uniform must be worn when performing any electrical work such as switching, genset/HT/LV servicing, etc. ii) Safety belts, harness and helmet must be worn and securely anchored at all times when performing external and high level of cleaning or other activities. iii) Protective gloves and Respirator/Mask must be worn when performing work that involved with hazardous materials/ chemical such as cleaning, cooling tower cleaning, pest control, landscaping, etc. iv) Protective Ear Plug/ Phone must be work when entering the noise boundary areas such as genset room (when genset testing), chiller plant room or any place that indicate signage “Wear Ear Plug/ Phone” displayed. 4 Do not endanger the customer, tenant and customer and/ tenant properties by fooling around while working. 5 Appropriate warning/ safety signage must be put or place at work areas to avoid any public accident. E.g. “Work In Progress” , etc. 6 Strictly comply with the building’s rules and regulations including any other safety, health and environmental requirements governed by the building owner and/ or GFM Management. 7 Do not place/ leave dismantled items / tools at common areas such as corridor, lift and cargo lobby, etc. 8 Movements are restricted to the floors/ areas stated in the Work Permit form and/ or Visitor Pass. D After Completion of Work/ Before Leaving the Premises 1 Clean the work areas and surrounding after completion of work. Do not leave unwanted materials such as rubbish, hand mark, and dismantled items at work areas. 2 Switch off all the electrical equipment or put/ tune back to normal position where applicable. 3 Report to GFM Site Office, Sign off the Sub contractor Book and/ or Visitor Book at GFM Site Office and/ or Guard House and return the Visitor pass to Guard House accordingly. 4 Place the appropriate signage if the work still not completed. Inform and brief GFM Site Person In Charge on the work status and new appointment date. To be completed and sign off by Vendor during the Vendor SHE Awareness Briefing I/ We confirm to observe all instructions as stated above and shall brief all my workers involved in all works assigned.
