Residency Coordinator’s Duties (some to be shared with residency secretary) Accreditation: 1. Learn family medicine accreditation requirements 2. Maintain records to meet these requirements a. Special attention to number of visits in the resident continuity clinic b. Special attention to documenting deliveries and other procedures 3. Attend AAFP annual meetings for residency coordinators to keep up with changes and bring new ideas to the program 4. Attend GMEC monthly meetings Recruiting 1. Treat medical students in a manner that encourages them to train with us 2. Plan and attend recruiting meetings for local and regional medical students 3. Help maintain the residency web site 4. Schedule interviews and coordinate visits for out of town applicants Care of residents 1. Vacations: Keep track of days off and schedule with chief residents 2. CME trips and books a. Monitor funds for each resident b. Order books c. Coordinate CME trips and complete travel requests 3. Clinic schedule a. Schedule residents in their continuity clinic to best accommodate their rotation schedule. b. Communicate changes in the schedule with clinic nursing and clerical staff 4. Rotation schedule a. Develop annual schedule that meets requirements and coordinates resident activities b. Work with the office of medical education for PGY1 schedule and upper level rotations at LSUHSC 5. Evaluations a. Request evaluations monthly from rotation preceptors and quarterly from clinic preceptors b. Have 360 evaluations for each resident at least once per year (self, other residents, clinic staff, patients, faculty) c. Keep evaluations for all required conferences 6. Monitor resident absences and tardiness a. Keep sign-in sheet for all required conferences to document attendance b. Maintain records of absences or tardiness on rotations c. Notify the program director of any excessive absences or tardiness. 7. Interact professionally with preceptors a. Monthly letters or emails to preceptors b. Phone calls to preceptors or their clinic staff as needed
