Call to Order & Introductions – Cara Radoll The meeting started with everyone introducing themselves and what team or committee they represent to the room. 2. Coaches Corner / DSA Report – Nancy Melnick Nancy gave a brief tutorial on how out of season practices work according to NVHSL rules. She explained that the rules of out of season practices were established to encourage 3 sport athletes. o Teams are allowed 12 days of practice out of season during the school year and 10 days of out of season practice during the Summer. o Red weeks (weeks where no out of season sports can have practices) are during tryout weeks of the in season sport. o The calendar is available on line. o Coaches do not get paid for these extra practice days, nor does their insurance cover any injuries that occur during this time. o Coaches may only coach a club team that consists of 1/3 or less of their high school players. Nancy shared that the husband of Jackie Anderson, a longtime registrar at Fairfax, has recently passed away. In lieu of flowers, the family requested that money be donated to either a cancer research group or to Fairfax High School Athletics. o It was decided that Nancy would find out about sending our condolences and a thank you for the donations. On Wed, November 11 from 5-8 in the cafeteria, there will be a Senior Grad Fair for seniors to purchase/order cap and gown, announcements, etc. It was determined that we would like to sell spirit wear. On Monday, November 16, 2015 we will have a Winter Sports Meet the Coaches Night in the Gym with break outs for each sport. Cara will be there to talk about athletic boosters. Nancy reminded all representatives to remind their coaches and parents to complete a fundraising form (found on line), get on the school calendar and get approval before announcing a fundraiser. Nancy announced that on Wed., November 9th and Wed., November 16th several students will be signing letters of intent to play a sport in college. There will be another celebration in the spring for others who sign to play in college later in the year. If parents would like to hold a celebration earlier, please reach out to the athletic office. FHS is currently looking for a Girls LAX coach. Girls Basketball will be hosting a tournament on Dec. 28, 29 and30. They would like boosters to run concessions during the tournament. 3. New Business – Cara Radoll Cara asked Nancy if we could see about moving the sheds on the football field to the other end of the field to open up a line of sight to the concessions stand. It may encourage more people to go to and work in concessions if they can see some of the game while there. Also, it would benefit the track team since the sheds interfere with the track. FHS Athletic Boosters Monthly Meeting 2 o Nancy will check into the possibility of moving the sheds. Jay asked about the possibility of having the sports banners in the gym updated. o Nancy will see about having the banners updated. There was a brief discussion of some items that are under discussion for the budget cuts in the county. These included the elimination of freshman sports teams, indoor track, pools for swim and dive, and the reinstitution of the sports fee. 4. Old Business - Board Members Cara moved on to Old Business by addressing open action items. Boy’s basketball team needs a booster rep. Cash Box Forms – April will be creating a new form to be placed in the cash boxes to simplify and clarify deposits from cash boxes. o New procedures include counting money at the beginning and end of each game o Making one deposit per week for concessions o April will make a draft of the new cash box form and will distribute for suggestions to the board. We discussed the idea of teams that don’t have concessions being assigned a game to work concessions. Committee Reports Membership – Kathy Snyder o Sales are slowing down. o Kathy will sell at Meet the Coach’s Night o We discussed reducing the price of the pass in the Spring. Spirit Wear (Spirit Merchandise) – Beth Intermill o Beth ordered some new spirit wear. o We will sell at Meet the Coach’s Night o We will be selling merchandise at some of the basketball games. o Concessions – Beth Intermill o We will be moving everything up from football concessions to inside concessions and doing an inventory soon. o Cara will be calling the Coke people regarding replacing the cooler to the far right in the football concessions that is broken. Brick Campaign – Pam Hammond o Pam has agreed to head our brick campaign. She has reviewed and organized the binder. o We have 41 bricks sold. o We discussed a possible change to paving the grassy area between the trees by the band entrance and the girl’s locker room. It was thought this might be cheaper and easier to change/switch out new bricks. FHS Athletic Boosters Monthly Meeting 3 o Nancy will contact the Fairfax County Architect to request design input for the newly suggested patio area. o We will sell bricks at the Senior Night event. Sponsorship – Cara Radoll o We have a new potential sponsor. Cara will forward the information to Chris. Golf Tournament – Cara Radoll o We are still looking for a volunteer to head this committee. o Cara will contact Amy Craig about securing the golf course for the tournament. Financial Review – April Kestyn o April handed out the Booster club Revenues and Expenses Statement. o April handed out the financial statements for the individual teams and said she was available for questions regarding individual accounts if needed. 5.
