Yearly Action Plan – 2015-2016 Goal 1 – Remain Financially Sound. Recommended Actions 1. Continue to review investment results of the College Foundation, as presented semiannually at Board Meetings by the Foundation. 2. Review the fiscal operation of the physical and virtual bookstore annually. Conduct a physical inventory on a monthly basis utilizing a rotating schedule so that each item is inventoried twice a year. Explore sales growth opportunities in both physical and virtual bookstores. 3. Present itemized monthly income and expense reports to the Executive Committee. 4. Review the current dues and life members benefit structure and create a benefits package – such as bookstore discounts, affinity programs - to increase dues and the number of annual and life members. Develop a membership card or other medium that shows the specific benefits of becoming active in the Alumni Association. The Strategic Planning Committee is recommending an increase of $5 to the cost of yearly Alumni Dues. 5. Establish a Finance Committee for recommendations regarding budgeting, dues and how the Association Reserve Account funds are spent and reported. 6. Investigate the cost of a new point-of-sale e-commerce system that will be able to handle the increased volume of sales more effectively. Goal 2 – Cooperate And Coordinate With The College Foundation To Advance The College. Recommended Actions 1. Investigate new opportunities to raise additional funds through the Annual Golf Tournament, such as additional contests and expanded raffle prizes. Establish a committee for this action and to assist with the implementation of new ideas. 2. Investigate new opportunities to raise funds for Alumni Scholarships. (ex: more affinity programs, alumni trips). 3. Continue to solicit the 50 year class for a 5-year class gift campaign. 4. Work with the Foundation to coordinate Centennial Campaign Donor thank you events. 5. Participate in at least one event each year in conjunction with the Foundation. For the 2015-2016 fiscal year, the event will be the Centennial Campaign Donor thank you events. 6. Actively participate in all Foundation Board and Office of Development meetings. 1 Goal 3 – Increase The Visibility Of The Alumni Association Through The Publication Of The Newsletter, An Increased Presence On Social Media And Other Communication. Recommended Actions 1. Review, create and implement a more visually stimulating E-Newsletter. 2. Continue to expand the Alumni Office Twitter followers and increase posts on Facebook. 3. Working with the Communications Committee, review the Alumni News for content, quality, new topics/sections, alumni profiles, scholarship winner profiles, alumni achievements, etc. 4. Continue to publish 2 issues of the Alumni News and 10 issues of the E-News. 5. Facilitate more “discussion topics” with alumni on LinkedIn. Goal 4 – Increase Alumni Recognition, Especially Those With Outstanding Achievements Recommended Actions 1. 2. 3. 4. 5. Submit profiles of outstanding ESF alumni for recognition on the SUNY website. Increase the number of Alumni Profiles on the College Web page. Highlight achievements of alumni in the Alumni News. Establish alumni advancement section in the Alumni News. Identify and report Graduates of Distinction (including the new Incipiens Quercu (beginning oak) award for younger alumni), Outstanding Service Award winner and other recognition of alumni and students in the Alumni News and E-newsletter. Goal 5 – Maintain An Up-To-Date Database of Alumni As A Basis For Communications And Action Planning. Recommended Actions 1. 2. 3. 4. Perform an annual review/comparison of the Ranger School Alumni database. Investigate services to append/increase the number of alumni e-mail addresses on file. Send out monthly emails to those alumni who are coded “Lost” but we have a viable e-mail. Investigate and report back on the possibility of an on-line directory. 2 Goal 6 – Increase the Engagement of the Alumni Association and Alumni With Students (both prospective and current), the Office Of Student Affairs And Student Organizations. Recommended Actions 1. Promote and drive the Alumni Ambassador Network. 2. Enlist more alumni to represent ESF at College Fairs and to participate in recruitment effort on campus. 3. Plan and host at least two networking events on campus for students and alumni, one in the fall and one in the spring. 4. Plan and host a “Welcome” event for alumni, current students and incoming freshman/transfers students from the local area. 5. Review annual scholarship disbursements to determine if current amounts are appropriate and make recommendations for adjustment if deemed necessary. 6. Engage students to participate at annual CNY dinner meeting – e.g.: music groups, athletics, clubs, etc. 7. Work with the Office for Student Affairs and/or the Department Chairs to create an Alumni Mentoring database to assist with procuring internship opportunities for current students. 8. The Executive Committee will create guidelines for students requesting special funding from the Alumni Association. Students must submit a written proposal to the Executive Committee who will determine which proposals the Association will be able to fund and to what extent. Proposals must be submitted by a specific date at the beginning of each semester. A maximum amount per semester will be allocated for this within the budget. Goal 7 – Create A Leadership Framework Of An Actively Involved Alumni Board And Alumni Population. Recommended Actions 1. Provide Orientation Training for new Board Members prior to the start of their term. Term begins at the annual meeting held in conjunction with Alumni and Family Fall BBQ Weekend. 2. Provide a yearly overview of board responsibilities for each current Board Member and have them sign a re-commitment letter at the June Board meeting. 3. Profile Alumni Board Members in the Alumni Newsletter. 4. Form a By-Laws Committee to review Alumni Association guidelines set forth by SUNY. 3
