LAUNCH OF ALUMNI CHAPTERS
TERMS OF REFERENCE
1.0
Chapters Formation
The College/School/Institute shall be eligible to form its own Alumni Chapter upon fulfilling
the following conditions:
Recruitment of at least ten (10) Life Members who are either faculty/staff members/alumni
from the college/school/institute working in the industry.
The categories for Life Members of the Alumni Association are:



Gold Life Members – Kshs 100,000
Silver Life Members – Kshs 50,000
Bronze Life Members – Kshs 25,000
* The members can pay through cash deposit/cheques or check-off systems
The College/School/Institute life members shall appoint the Chapter Chairperson, Secretary,
Organising Secretary, Treasurer and six (6) members (full duties of the positions
responsibilities can downloaded from the UONAA Constitution in http://alumni.uonbi.ac.ke).

Alumni Champions
Upon the formation of the Chapter, the Chapter members shall nominate at least two (2)
Alumni Champions who shall be our liaison persons at college level. The Alumni Champions
must be passionate, committed and driven by desire to see the University of Nairobi Alumni
Association is providing leadership role in the advancement of the University through alumni
contribution. They must be visionary, self-driven, personal sacrifice, energetic and with
character and capacity to execute alumni relations activities. The Alumni Champions shall be
inducted and trained on Alumni Relations, Fundraising, Marketing and Communications.
Once the Chapter is formed, and the forms (Form 1A) with Chapter Officials returned to the
UONAA Office before the stipulated date and time, the UONAA Office shall officially
launch the Chapter by inviting all the alumni from the college/school/institute for a cocktail
in a venue/location to be agreed upon by the college and the UONAA office. ***The Chapter
can be named in line with the discipline e.g. Education Chapter, Agriculture Chapter etc

Chapters Roles & Responsibilities
The Chapter shall be responsible for:

College/School/Institute’s needs assessment that alumni from that Chapter can
support
Selecting projects or activities that the Chapter can undertake with their alumni for the
advancement of their Colleges/Schools/Institutes.
Fundraising and resource mobilisation for the chapters (targets to be agreed annually
between the chapter and UONAA)

Recruitment of alumni members for the Chapter (targets to be agreed annually
between the chapter and UONAA)
Working with college/school/institute students to develop alumni-students mentorship
programmes.
Organising alumni re-unions days for the college/school/institute at least once a year.
Identify the best alumni for the award of annual “Distinguished Service Award”. The
alumni shall be awarded during the graduation ceremonies.
Provide quarterly progress reports to the UONAA Office on a quarterly basis
(including photos, videos documentaries)
The Chapters shall develop publicity materials e.g. brochures, CDs, DVDs, websites
linked to UONAA website tailored to their alumni members
The Alumni Champions from all chapters shall attend meetings at least once in every
three months to discuss project plans and progress for the Alumni Association.
The Alumni Chairperson/Alumni Champion shall present progress report during that
meeting on behalf of the Chapter.
UONAA Office Roles & Responsibilities
The UONAA Office shall be responsible for:

Organising trainings and capacity buildings for Alumni Champions on Alumni
Relations, Fundraising, Marketing and Communications in partnerships with world
class Universities e.g. Harvard, Stanford, Boston, Iowa, Illinois etc
Developing publicity materials for the Alumni Association and Chapters e.g.
brochures, banners, t-shirts, shirts/blouses, pens, notebooks, lapels, car stickers,
memorabilia etc
Organising for quarterly meetings will all the Alumni Champions from all the Alumni
Chapters
Promote annual activities that brings all alumni together e.g. Annual Alumni
Conference, UON Alumni Open Day and Annual General Meeting (AGM)
Provide an interactive website that allows alumni to network amongst themselves and
with the Alumni Association, website updates, announcement and communications
with chapters
Provide an integrated Alumni Information Management System (AIMS) that allows
the college/school/institute’s alumni officers to upload their alumni activities, photos,
videos and can be centrally accessed.
Production of the bi-annual newsletters highlighting the UONAA and chapters’
activities and distributed to all our alumni
Developing a Strategic Plan that guides the Association’s and Chapters’ Operations
Driving the fundraising and resources mobilisation agenda for the Association and
University’s infrastructural development e.g. Alumni Centre, Talents Academy,
Research & Innovation Centre, Students’ Hostel, Lecture Theatres, ICT Networks,
renovation & rehabilitation of University’s facilities etc
Recognise and award the ‘Best Alumni’ and ‘Best Chapter’ every year.
