Getting started, organization, and effort
Appoint an individual/group to make the event environmentally friendly
Send a preliminary email to provide information about the green components of your meeting to attendees
Video Teleconferencing
Video teleconference whenever possible
Accommodations
Select accommodations that engage in green practices and policies
Select accommodations that are located by efficient transportation routes
Meeting Venue
Host all multi-session meetings at a central location to limit transportation needs
Choose a venue with an in-house recycling program (even better if there’s composting!) and encourage recycling
Food and Beverages
Encourage guests to bring reusable cups, plates, and utensils, or provide them to guests
If disposable service ware is used, look for utensils that are made from recycledcontent and/or recyclable materials.
Use cloth instead of paper napkins
Provide drinking water in pitchers or large reusable containers
Serve sugar, creamers, and condiments in reusable dishes or ceramic containers.
Select a caterer that uses local and organic food. Highlight these options to your guests.
Include vegetarian options in your menu
Communication
Allow attendees to register online and confirm registration by e-mail when possible.
Encourage the use of electronic presentations, such as PowerPoint
Share documents and handouts electronically via email or an online sharing site.
Printed Material
Print double-sided copies.
Set up a system for making photocopies on demand instead of over-printing materials.
Waste Reduction and Recycling
Reuse materials from previous meetings whenever possible
Ensure that trash, recycling, and compost bins are clearly marked with signs
