Approval of Minutes from Last Meeting: Louise moved to approve minutes from last meeting. Larry
seconded. All were in favor, motion passed.
OFFICER’S REPORTS:
Treasurer’s Report: Mary-Ann advises that, with a deficit of $1643.94, the Trophy Fund is in the best
shape it’s ever been although those numbers will change somewhat after the engraving bill is paid.
COMMITTEE REPORTS:
Health Committee: Committee submitted a preliminary response to initial questions the Board asked,
but has not had time to give a complete response to all questions. Discussion tabled until committee
gets back with complete response to questions.
Membership Committee:
MOTION: Jane moved that we approve active membership for Brian Lorek. Mike seconded.
All in favor, motion carried.
Ad Hoc Committee for Monthly E-mail:
Motion: Jane moved that The Topline ad hoc committee become a full committee with the oversight of
the Corresponding Secretary and Jane Fenton as editor. Louise seconded.
Discussion: There were comments as to whether this committee would fall under Publications or the
Corresponding Secretary. Regardless of who it falls under, there would be oversight.
All in favor, motion carried.
National Specialty: Per Jane, everything is on track. Louise has prepared Trivia Quiz, Maggie finished the
‘Glens on the Map,’ the quilt is just about finished. Trophy Comm is on track. No one has contacted Mike
about rides to banquet.
OLD BUSINESS:
Revised Breeder and Contact List: Jane has posted 3 documents: 1) Breeder and Contact List
Information which appears in Members Only 2)The consolidated application which would be used by
breeders or contact people also in Members Only 3) A mock-up of what the Breeders and Contact List
would look like on the Public Page of the website.
MOTION: Larry moved that we accept these 3 documents in order to consolidate the Breeder and
Contact Lists into one. Louise seconded.
All were in favor, motion carried.
Establishment of a Budget and Finance Committee: Deferred to next meeting.
Input from Health Committee and Submission of Health Survey: The Health Committee had a long list
of questions submitted to them by the Board. After they were submitted, there was a change of Chair
for this Committee. The Board had hoped for response to our questions so this information could be
presented to the membership at the AGM as well as potentially be used in create a tool to better
educate the overall membership. We had hoped to do all of this in advance of the AGM. Various Board
members expressed concern about the way this discussion might go at the AGM since we did not had
not been able to get the responses we needed. Possibly the best approach is to explain to those present
at the AGM our plan of action. Input from AGM may help us to refine a questionnaire that might be
submitted to the general membership. We are looking for input from membership but we also need to
make it clear that the Board is responsible for making the ultimate determination on this matter.
NEW BUSINESS:
Refund of fees or portion thereof to Breeders currently appearing on Breeder’s List:
MOTION: Mary-Ann moved that we do a pro-rated refund of fees to breeders on Breeders List using the
end date of Sept 1 to return any unused portion of the 12-month fee they would have paid. Gary
seconded. Only two people are actually eligible for a refund. Two members who joined in 2013 did not
renew in 2014.
AMENDMENT: Mary-Ann moved to refund Breeders Directory members who still have active time paid
left on the website the full amount paid 2014. Larry seconded.
All in favor of amended motion, motion carried.
Jane will contact the current members of Breeders Directory to ask them if they wish to be listed on the
combined Breeder and Contact List. Since documents are already complete, they will be submitted to
Marty for publication on website as soon as possible.
Protocol for Updating the Website:
Since at some future date, the Publications Chair may not necessarily be a member of the Board, items
which should appear on Members Only Section, or on the public portion of the website, may not
automatically be placed on site. It was suggested that within some limited parameters, other people
might be given access in order to place items such as the Board Minutes on the website. Corresponding
Secretary might also find it practical to load updated Membership directly to the M.O. There was some
discussion as to whether it would be more practical to have those identified as having access go directly
to Fall Hallow and request publication or to learn Word Press and post necessary input themselves. We
felt it was important to wait for a decision on this until the Corresponding Secretary and the Chair of
Publications were present.
Amendment of Previous Motion to Include Minimum Age for Elbow Radiographs:
MOTION: Louise moved that we amend the motion concerning elbow radiographs to read: Our Code of
Ethics strongly recommends elbow radiographic evaluation of all dogs over the age of 2 years to be used
for breeding. OFA, Penn-Hip or the equivalent organization in a foreign country may be used. Mary-Ann
seconded.
Discussion: Since dogs may be used to stud at 18 months, there may be a bit of a loophole here which
needs to be re-visited if the CoE is changed from “strongly recommend” to “require” at some later date.
All were in favor, motion carried.
Identifying and Accepting a Current Copy of the Code of Ethics to be Placed in the GITCA Board Files:
Consideration of whether there should be a primary repository of important documents such as the
Code of Ethics and our By-laws and if that repository should be the GITCA Board files or, alternately, the
Members Only Section of the website. If we designate the Board files for this, we could retain historical
copies as well as most current revisions. What is the linkage between the Board List and the Members
Only website to insure they are both current? We need a master copy and historic record.
MOTION: Louise moved that we establish a Master Copy of the Code of Ethics and By-laws on the GITCA
Board site as well as keep an historical file, updated copies to be provided for the website. Jane
seconded.
All were in favor, motion carried.
Process to Ensure that Further Updates are Logged and Kept Current on the Website and Board Files:
MOTION: Louise moved that we assign the Corresponding Secretary the duty of ensuring that further
updates to the Code of Ethics are logged and kept current on the website and Board files as well as
ensuring that CHIC is notified of any changes to our Code of Ethics regarding testing that would be
posted on the CHIC website.
AMENDMENT: Louise moved that this be pending acceptance of the assignment by the Corresponding
Secretary. Larry seconded.
In favor: Louise, Larry, Jane, Mary-Ann, Mike. Abstain: Gary
Motion passed.
Acceptable Procedure for Voting on Urgent Matters Between Board Meetings:
One suggestion was to arrange an conference call if there was a need for an urgent vote. If, as much as
possible, committees do their work and present us with us with concerns in a timely matter, we may be
able to avoid this as much as possible.
Our last response from Frank Murphy, an attorney in our state of incorporation, was that use of email
for the Board would be acceptable. Our by-laws indicate we can communicate and vote through email
and simple quorum is allowed for these votes. Additionally, we could also ensure everyone is ‘listening’
by asking everyone to confirm this: Using a roll call, for example. It was also stated that anticipated
budgets on the part of committees going forward may eliminate the need for many emergency votes.
Return to Quarterly Meetings:
Motion: Larry proposed to resume quarterly meetings beginning in the November meeting. Gary
seconded.
All were in favor, motion carried.

BREEDER AND CONTACT LIST INFORMATION
The purpose of the GITCA Breeder and Contact List is to provide a list of GITCA members having
experience with Glens and interest in various Glen performance activities, conformation and/or
breeding as a resource to a person interested in the breed or wishing to meet a Glen.
Members who apply to this list will have the information obtained from the Breeder and Contact List
Application form published on the GITCA website. Members’ names will be listed along with their
preferred method of contact. In addition, applicants may list any interests applicant has participated
in with Glens such as breeding, conformation, agility, or earthdog. Any applicant who meets the
definition of Breeder, as defined for the purposes of this list, MUST list breeding as an interest in
order for member to be included in the Breeder and Contact List (See definitions of Breeder and
Contact, below). Members will be listed by region; they have the option of listing the state in which
they reside as well.
Members will be listed on the Breeder and Contact List until they request to be removed, are no
longer a member or a member in good standing of GITCA, are required to be removed due to
extenuating circumstances, or are removed for failure to comply with any of the requirements herein.
DEFINITIONS
Exclusively for the purposes of the Breeder and Contact List, the following definitions shall apply:
CONTACT
A member having a minimum of three years’ experience in the breed and a minimum of two years as
a GITCA member.
BREEDER
• Breeding any 2 years out of 3 consecutive years (including supplying a sire or leased dam).
• Having bred a current litter for sale or intending to breed a litter for sale within 1 year from the date
of application.
• Having plans to provide a sire or providing a leased dam to another breeder within 1 year from the
date of application.
REQUIREMENTS TO BE LISTED ON THE BREEDER AND CONTACT LIST
Requirements for all members of the list (both Contact or Breeder):
1. A member must have a minimum of three years’ experience in the breed at the time of
application.
2. A member applying to be a Contact must be a GITCA member in good standing for at least two
years. A member applying to be identified as a Breeder must be a GITCA member in good
standing for a minimum of three years.
3. Member must make a commitment to respond in a timely manner to inquiries, even if
member is identified as a Breeder and does not have a litter available.
4. A member who was not a Breeder (as defined herein for the purposes of this list) when added
to the Breeder and Contact List, and falls within the breeder parameters defined herein during
his/her tenure, is required to identify him/herself as a Breeder by resubmitting the Breeder
and Contact List Application with all required Breeder information completed. Failure to do so
will result in removal from the Breeder and Contact List entirely. At no time shall a member
that meets the definition of Breeder as defined herein appear on the list without being clearly
identified as a breeder.
Additional requirements for members identified as Breeders:
1. Members identified as Breeders should include a GITCA membership application as part of the
breeder’s puppy packet.
2. Members identified as Breeders must obtain CHIC numbers on any dogs that they own and coown in advance of any anticipated breeding where they will be listed as a breeder of record.
If a non-CHIC certified dog is used from another owner, then the breeder must submit
documentation of all testing required by the GITCA Code of Ethics.
3. Members identified as Breeders when applying to be listed must include the CHIC number for
at least one of his/her dogs. This information will appear with the member’s entry in the
Breeder and Contact List.
4. Intentional failure to comply with these requirements will result in removal from the list
entirely.

September 23rd Trophy Committee Report

All mementos for the National Specialty have been ordered from Simon Pearce. Susan Blum will be
picking them up before the show from the manufacturer. We have e-mailed two requests for additional
volunteers to help with show set-up and distribution of trophies. Jody is coordinating the volunteers.
We are in the process of revising a form for those who wish to take home the engraved trophies,
describing their responsibilities.

Monthly Email Ad Hoc Committee Report – September 2014

The first edition of GITCA’s monthly email, The Topline, was issued on September 12 to 134 individual
email addresses, 15 of which were shared by two members. Three members do not have email.
As of this writing, seven were undeliverable and have been resent. Delivery issues are being pursued.
Since the Topline is being used to notify members of new applicants for active membership, any
unresolved email delivery problems and members not having email will be followed up by postcard or
other form of mailed notification.
I have received 18 unique responses to The Topline, all with very favorable feedback.
The Topline is published using Benchmark Email’s Benchmark 2000 plan, which allows for up to 2,000
contacts and 14,000 emails/month free of charge, which obviously far exceeds our needs. After an
email “campaign” has been sent, Benchmark provides a continuously updated report of emails sent,
undeliverable emails, opened emails, and links clicked on, to name just a few statistics. I thought you’d
find the Benchmark report for the September edition of Topline interesting (if you’ve never seen one
before) so I’ve included images of it below and on the next page.
As you can see from the Benchmark report, the most popular links in the email were the YouTube link to
hand stripping and the link to the grooming blog. Next in popularity was the “Where does your Glen
sleep?” poll, followed by hits to the Members Only section of glens.org and Quilt Raffle information. The
Benchmark statistics will be very helpful in trying to provide content that is of interest to club members.
The next issue of The Topline will come out in October after the National Specialty.
Board Action: The ad hoc committee requests that The Topline become a full committee under the
oversight of the Corresponding Secretary with Jane Fenton as editor.

Health Committee: Response to Board Questions September 2014
The following responses to the Board questions to the Health Committee were provided by Maura High,
the new Committee Chair:





What is the incidence of PCDU among all respondees to the Glen Health Survey? (Mary's article
says 5% of over 275 responders report PCDU, which would be approximately 13.75 dogs) 332
total responses 16 or 4.8% reported PCDU
What is the incidence of any elbow issue among all responders to the GHS? 0.9% have elbow
dysplasia
Is there currently enough data to be able to determine that Glens have a propensity toward
elbow issues, in general, based on the GHS/any another health survey? Yes
For the sake of perspective, how does the incidence of PCDU compare to the incidence of PRA
based on the GHS/any other health survey? Of 332 dogs,16 have PCDU and 9 have PRA

Again for perspective, for dogs that have been tested for both, how does the incidence of all
elbow issues compare to the incidence of poor hip dysplasia scores based on the GHS/any other
health survey? Not enough data to correlate

Do health surveys outside of the United States help to identify specific rates of occurrences of
any particular or all elbow issues as a whole in the Glen? Rate of PCDU is about 12 % in Finland

Is there any additional information (articles/publications/links) the committee is aware of that
will help increase the understanding of the committee's two recommendations? As of now the
Glen Health Survey results are enough to warrant a proactive strategy, which includes testing of
the elbow through OFA and making it mandatory that all test results be recorded through OFA

Along with published information and the specific data requested, does the Health Committee
have any additional remarks that would help our members better understand why changes the
committee has proposed are beneficial and necessary to our breed? PCDU is not a new health
concern. It has been around for at least 20 years. Considering our small gene pool it will not be
long before it will be affecting many of our Glens. To put things into perspective when research
was started for PRA it was because of one Glen being diagnosed. It took 15 years to be able to
find the marker for crd3 ,our form of PRA. We have many more reported cases of PCDU than we
had of PRA. We need to be proactive about PCDU we owe it to the breed that this club is
suppose to protect Straight from our By-laws a) To encourage and promote quality in the
breeding of purebred Glen of Imaal Terriers and to do all possible to bring their natural qualities
to perfection i) To safeguard and promote the improvement of the health of the Glen of Imaal
Terrier.
