GP Student Ambassador: ● The GP Student Ambassador shall lead their respective GPSN local club and will undertake their role for one year. If the ambassador wishes to undertake another year, the student must be nominated, either by themselves or by another member of the committee, and be voted in at the club’s AGM ● The GP Student Ambassador shall endeavour to promote general practice and GPSN through university events and shall be responsible for the coordination and reporting of these events ● The GPSA shall act as the liaison between GPSN and their GPSN local club on relevant matters ● The GPSA shall liaise with the Going Places Regional Coordinators when organising events ● The GPSA shall implement strategies to promote GPSN and disseminate information ● The GPSA shall network with all internal and external stakeholders ● The GPSA should attend GPSN conferences and take part in GPSN meetings by email or teleconference and shall organise a proxy if unable to attend and also produce a report for each National Council meeting ● The GPSA will present a report of council proceedings at the next GPSN local club meeting ● ● GPSA must ensure that an AGM is held towards the end of the calendar year The GP Student Ambassador must provide an effective handover to the next GP Student Ambassador when they are selected. They must also inform the GPSN Executive of this selection and provide the new contact details The GP Student Ambassador shall be responsible for informing new candidates for the positions before the selection process The GP Student Ambassador must supply the GPSN Executive with updated lists of the Executive Officer and Secretary of their respective GPSN Local Club in addition to Medical Dean and Faculty contact details. This should be done through the National Secretary. The National Secretary should be kept up to date with any relevant changes to GPSN Local Club information ● ● GPSN Executive Officer ● ● ● ● ● GPSN Executive Officer shall provide constant operational and management support to the GPSA GPSN Executive Officer shall be responsible for appropriate use and management of GPSN expense card GPSN Executive Officer shall be responsible for the account keeping and management of their respective GPSN local club finances ○ Submit month finance report and expenses receipts every month GPSN Executive Officer shall be extensively involved in coordinating events for GPSN in conjunction with GPSA GPSN Executive Officer shall manage all marketing and communication campaigns on behalf of the GPSN Local Club in conjunction with the GP Student Ambassador ● ● ● ● The Executive Officer shall engage with local business and/or organisations to enhance the operations of the GPSN Local Club where relevant. This should be done in consultation with the GP Student Ambassador The Executive Officer shall endeavour to attend Breathing NEWLIFE into General Practice Conference and other GPSN funded conferences wherever possible The Executive Officer shall deputise for the GP Student Ambassador if they are not available to fulfill any particular aspect of their role The GP Student Ambassador must supply the GPSN Executive with updated lists of the Executive Officer and Secretary of their respective GPSN Local Club in addition to Medical Dean and Faculty contact details. This should be done through the National Secretary. The National Secretary should be kept up to date with any relevant changes to GPSN Local Club information GPSN Secretary ● ● ● ● ● ● ● ● ● ● GPSN Secretary’s primary role is to coordinate membership logistics for their GPSN Club and assist with communication initiatives of the club The Secretary shall maintain and regularly update the GPSN Local Club’s membership database and notify the GP Student Ambassador of any changes. This will include in particular, those changes, which may need to be relayed onto the GPSN Executive by way of the National Secretary GPSN Secretary shall assist their Ambassador and Executive Officer with all direct communication to members, specifically via email GPSN Secretary shall be responsible for all internal and external GPSN meetings coordination Notifying all GPSN Local Club members of subsequent meeting dates ○ Organising the meeting venue ○ Recording minutes of all GPSN Local Club meetings ○ Distributing minutes of the previous GPSN Local Club meeting prior to the subsequent meeting GPSN Secretary shall assist with coordinating events for GPSN, in conjunction with the GP Student Ambassador and GPSN Executive Officer GPSN Secretary shall manage all correspondence received by the GPSN Local Club GPSN Secretary shall deputy for the Executive Officer if they are not available to fulfil any particular aspect of their role GPSN Secretary shall deputy for the GP Student Ambassador if both they and the Executive Officer are not available to fulfil any particular aspect of their role The GP Student Ambassador must supply the GPSN Executive with updated lists of the Executive Officer and Secretary of their respective GPSN Local Club in addition to Medical Dean and Faculty contact details. This should be done through the National Secretary. The National Secretary should be kept up to date with any relevant changes to GPSN Local Club information Extra New Roles GPSN IT Officer: GPSN IT officer shall assist in resolving IT problems during events. GPSN IT officer shall assist with coordinating events for GPSN, in conjunction with the GP Student Ambassador, GPSN Executive Officer and GPSN secretary GPSN Event Manager: GPSN Event shall assist with coordinating events for GPSN, in conjunction with the GP Student Ambassador, GPSN Executive Officer, GPSN secretary and GPSN IT Officer. GPSN Event Manager shall make sure all the events run smoothly. GPSN Event Manager is in charge of the publicity of the events.
