JOB DESCRIPTION Job Title: Alumni & Sponsorship Co-ordinator Grade: This post has been evaluated at Grade 4 Responsible to: Director of Learning Futures Date: May 2013 Job Purpose To manage the development and growth of an active alumni association to support student recruitment, and the future growth, reputation and prosperity of the University. To initiate sponsorship of activities undertaken by the University at a corporate and Academic School level to improve the cost effectiveness of such activity and to secure enhanced media profile and reputation for Falmouth University and the sponsor. The University takes Health and Safety matters very seriously. They also have a duty to comply with the University’s arrangements for Health and Safety. Staff with responsibility for others must ensure the proper enactment of University policy within their areas in line with levels of responsibility set out in the University’s Health and Safety Policy. Main Duties and Responsibilities a) To lead and manage the development and growth of an activity alumni association for the University to assist in student recruitment through advocacy, work placements and employment. b) To manage the active engagement of alumni with prospective students as part of the recruitment process in the UK and internationally in conjunction with the UK Recruitment & Outreach Manager and Head of International Office. c) To lead the transition of alumni from advocates to donors as part of a longer term strategy for fund raising from Strategic Project Officer. d) To manage the operation and development of an accurate and up to date alumni database to facilitate the growth and maintenance of alumni records to facilitate regular and timely interaction with them. e) To lead the organisation of University alumni events, exhibitions and reunions. Page 1 of 5 HERA/Initials/Reference/08-2013 f) To maintain a regular dialogue with alumni through a targeted communications programme to facilitate the delivery of agreed objectives. g) To promote the alumni association internally and externally in order to raise awareness, facilitate growth and further strategic objectives. h) To identify with the Directors of Business Development and the Director of Communications and Marketing the requirement and opportunities to seek external sponsorship of specific initiatives and events. i) To seek sponsors in support of specific activities and ensure the appropriate management of such sponsors in terms of the maintenance of accurate records of such sponsorships and the appropriate management and recognition of proactive relationships. j) To identify opportunities for Falmouth to undertake selected sponsorship of external events in order to raise its profile. k) To work within and ensure compliance with the Data Protection Act and any successor legislation. l) There is a requirement to work some anti-social hours, within the Working Time Regulations and travel connected to events. Page 2 of 5 h) Working within the Health and Safety at Work Act, the post holder has a legal duty to take reasonable care for Health and Safety both for themselves and others who may be affected by their actions. They are also required to undertake Health and Safety training commensurate with the level required by the post and to take part in risk assessment procedures and the implementation of agreed recommended work practices within the area. i) To undertake other duties not specifically stated above, which from time to time are necessary for the effective performance of the Universities business without altering the nature or level of responsibility involved. Health & Safety Requirements In relation to Health and Safety, you are responsible for ensuring that: You comply with safe systems of work in operation within your work area. You work co-operatively with other staff who have responsibility for Health and Safety Requirements. You report any health and safety concerns to your manager or other responsible member of staff as soon as these are identified. You attend training as appropriate to your role (see the relevant Health and Safety Training Grid for requirements). You may be required to undertake duties as a first aider (for which a separate allowance is paid). Page 3 of 5 PERSON SPECIFICATION Job Title: Attributes Education and Qualifications Experience and Knowledge Alumni & Sponsorship Co-ordinator Essential Requirements Desirable Requirements Educated to degree level, or with equivalent work based learning experience. A professional CIM qualification would be advantage. Experienced in a marketing role with an agency or client company the postholder will possess demonstrable skills in membership/affinity marketing. A background in an FE or HE institution or working with one would be desirable, but not absolutely essential. Evidence of events management will be required as will experience in researching, writing a publishing newsletters in print and online. Proven experience of having worked with individuals from a range of cultural backgrounds will be required. This role requires well developed networking skills and the ability to identify a range of opportunities to build loyalty amongst alumni for the benefit of the University. As the key point of contact for alumni the postholder will be able to work on Skills and their own initiative as well as to work collectively as part of the wider Personal Requirements Learning Futures and Marketing Team. Clear and concise report writing and presentation skills are required that allow the communication of information to a wide cross section of audiences verbally and in writing and a good eye for detail, including spelling and English usage. Page 4 of 5 A full Driving Licence valid in the UK would be an advantage but not essential requirement. There will be a requirement to work to tight timescales from time to time and there is a need to be able to prioritise workloads and plan delivery effectively. Fully IT literate with a good working knowledge of Microsoft Office, the internet and relational databases. Experience of web Content Management Systems would be an advantage. An ECDL qualification would be a good indicator of competence, although not essential. Ability to travel and move between campus sites. Page 5 of 5
