MEETING MINUTES FOR MAY 14, 2011

6:00 PM COMMITTEE MEETING

Jim D. welcomed all committee members!

ACS Update…

We’re at about 35% percent of our goal. We have 41 teams, very close to our goal. Luminaria is up. We’re going to have a very strong meeting. Keep it up!

Key Dates …

On May 18 (10am – 2:30pm) is the OVSD “Middle School Field Day” – This educates our youth.

They will be covering tobacco, alcohol, fitness, nutrition, sunscreen… and talk about it in a fun way. There will be six different activity stations for the students. Volunteers are needed for this event.

On May 19, “Paint the Town Purple” will be highlighted at the Boyertown Inn and other locations – Relayers should go to businesses and homes throughout the area to decorate in

Relay colors.

On May 19 (12-4pm) there is a car show at Boyertown Park – Sherry’s team is heading up the event. There is a survivor tent at noon. They are anticipating about 200 cars.

On May 20 (7am) volunteers will hang pole banners in downtown Boyertown. There are 15 pole banners made and more will be made. Volunteers will meet at Susquehanna Bank at 7am to put the banners up. There will be coffee and donuts provided to anyone who helps.

May 26-27-28 is Rita’s Relay Days and Relay participation will be Sat. & Sun. 4-8pm. – This is

Memorial Day weekend. They give 10% of all their proceeds to Relay for all of those days. –

During the Relay participation segment, we will be there serving hot dogs, sloppy joes, cold drinks and various fundraising items. Teams that volunteer during the weekend event will share in net proceeds.

On May 28 (9am) is the Memorial Day Parade – We will walk the route of the parade. Meet us in front of digital board at the Boyertown High School at 4 th St. Sign up if you can help!

On May 31/June 1-2 is the Fun Days at Boyertown Park. — Is anyone interested in heading up a table? They do not charge us. You could sell your team fundraisers and hand out event cards and brochures. Advise Jim if interested.

On June 2 (7pm) there is a worship service set for Good Shepherd UCC – This is not a relay sanctioned event, but all Relayers and the general public are welcome to attend.

On June 12 (10am-5pm) the annual Boyertown Sidewalk Expo will be held – Is there anyone interested in heading up a Relay booth? Get those names to Paula.

There are many new teams!

The Event Schedule to date is really coming together! Make sure you are signing up for the food and activities you are doing at your tent. We need all the teams to get their announcements to Michelle, the

DJ, very soon.

Links for a Cure…

We need more copiers to print more links. We should talk about it more and tell new teams.

This hasn’t been a big effort or priority with all of the other events going on. – All the money at the Oley Field Day will be turned into links, because their mascot is the lynx. They will try to get students to fold some in the classrooms.

Daniel Boone/Boyertown Opening Ceremonies…

We need ideas for both ceremonies. The superintendent wants to be involved as a competition. Ideas were given like to dress up as a mascot, like The Bears and Daniel Boone?

Individual Campsite Identification…

Committee members thought a simple sign at each campsite would be nice. Maybe just a number on each yard sign with a stake … then use them from year to year, because some members have team names on banners already.

Event Day Zumba…

On the event day at 11am, we need 2100 people to Zumba for an hour to break the Guinness

World Record. We will need a CPA (Sarah will give names to Entertainment). We were thinking of using bracelets or wristbands to track how many people are involved. This is a lot of people that would be on the field, but even 500 people would be satisfying. – People will be very hungry at 12. So people selling food should be ready.

Relay/ ACS Supplies Needed for Relay Event…

Amy needs to know everything that people need; do not assume that she knows. Please make a list and touch base with Amy.

The Luminaria deadline for printed placards is June 13 th .

Committee Updates…

ENTERTAINMENT: Meeting with Justin tomorrow about schedule. Andy is coming up with games for overnight at the event.

FUNDRAISING: Baby pictures are needed immediately. Please email them to Jenn.

LOGISTICS: Waste Management has given the OK for trash receptacles. – National Penn Bank banner has been received. — Scott met with school district personnel and they are very cooperative. They will be giving us a press box key.

ONLINE : There is an online fundraising contest! During May 15 th through June 8 th , the most number of emails sent through the website, and the most funds raised online will win $100 through relay team. Everyone who raises at least $20 will be entered into a raffle for a candle.

On June 11 th (at meeting) they will be given prizes.

PUBLICITY: Get the word out now! Weekly news releases are being prepared.

There will be a Wrap-up Meeting/ Picnic on Sunday, July 22, 2012.

We have 41 total teams currently! There is still time for more teams!

ACS Updates…

Team fundraising club awards were given out! There were Rising Star awards given to teams who raised $1000. They were given to: Seeds of Hope, Second Chance at Life, Boyertown

Redner’s – Friends of Hope, Up all Night, Celebrate Life, Chestnut Knoll, Because We Care, Livin’ for Jess, and Relay for Lisa. There were Bronze awards given to teams who raised $2500. There were: For the Love of Donna, Frederick Fundraising Feet, and Friends for Life. Silver awards were given to teams who raised $3500. Awards were given to Pam’s Little Angels, Save Sue’s Ta-tas, and Josh’s Angels. A Platinum award was given to the J-Walkers for raising $7500.

There is a total of $66,500 before tonight. We are at about 34% of our goal. Our numbers are very solid. Many categories are up compared to last year.

Team Fundraising…

Jim says to support team fundraising events. Stop in because it means so much to those teams.

Colors of Hope Theme…

The questions came up “What are we supposed to be doing with our campsite?” – You can decorate, fundraise, inform, and tell your mission. It’s totally up to you. Do not feel like you need to go above and beyond, because we understand having to pay for cost of decorations and so on. But you can too! It’s a good way to bond and have fun with your team. Tents and canopies may also go up.

Relay Announcements – Public Address and Digital Board…

Tell DJ all announcements as soon as possible, so they can be announced at appropriate times.

The Digital Board may also display announcements. Email Diane and they will be forwarded to the Wellness Council (Amy Clemens). Do not wait until the last minute. They can also do animation.

See food and activities boards for duplication, pricing, etc. Please keep all information updated. If changes need to be made, white out the board. Keep the pricing the same or close to, if duplicating food or activities. If there’s an issue, please let Jim know.

Zumba Hype…

We are trying to break a world record. We need to complete an hour of Zumba at 11am. CPA needs to come and count the number of people. We need to get the word out. Mona and Joan will handle overflow of people. They will use tennis courts below if too many people are involved.

Links for a Cure…

Last year we used dollar bills (over $10,000) in a chain that wrapped half-way around the track.

This year we made “Relay Dollars” to raise money. Any money that you collect can be turned into links. The OVSD Field Day money raised will be turned into links.

Relay Volunteers…

We need volunteers that are not part of a team to help with registration, parking, anything extra. – Do any teams need help? Do you need extra volunteers for a team fundraiser? Let

Committee Updates…

ADVOCACY: We will keep a raffle open for Daffodil Bears. There are forms available. – There is a banner that everyone can sign at main tent at event. There will also be a petition book. – We are collecting “change for a change” at each meeting.

MISSION DELIVERY: There is a Daniel Boone Relay/CPS-3 session on May 26 from 1-5pm.

LUMINARIA: At the event, at 9pm there will be lighted Luminaria bags around the track. They are $10 for a bag. They are to remember those that have passed, and honor those who beat this disease. The deadline for printed Luminaria placards is June 13 th . Everyone will be asked to go to the bleachers and there will be glow-sticks given to everyone.

FUNDRAISING: Mary Kay is giving 10% of any order from now until the event. On May 19 th

Miracles from Him is having a Car Show at the Boyertown Park from 12-4. – At the event, there is the 2 nd annual hot air balloon raffle. It’s $5 for one ticket or $10 for three tickets. A chicken

BBQ dinner will also be at the event. – There are Relay baskets for sale. They are $50 and $10 will go toward teams. Get more information from Mona. – There’s a relay bead for sale for $35.

There are multiple bracelet sales going on. – On June 2 nd at 9:00am Friends for Life is hosting a

5K run. – The J-Walkers are selling “big tickets” for the chance to win different items. – On June

15 th there is a Friendly’s Night in which they will give some of the proceeds to Relay. – Josh’s

Angels made a quilt out of old Relay shirts. There is a raffle for the quilt, $5 a raffle ticket. – On

Tuesday, June 12 th at Yellow House Hotel there will have a dinner that donates 25% of their profit to Relay. Friends for a Cause is in charge of the event. – For the Love of Donna is having a raffle for a TV. It’s $1 a raffle ticket.

ONLINE: Get all fundraisers to Diane through email or website so she can post them accordingly.

– There is an Online Challenge! It begins May 15 and runs through June 8. The most number of emails sent through website and most funds raised online. The winner receives $100 through their relay team. Everyone who raises at least $20 will be entered into a raffle for a candle. On

Jun 11 th (at meeting) the prizes will be given out. – The Online Tip explains how to fundraise through Facebook.

SPONSORSHIP: Email Amy for sponsorships to be on the relay shirt immediately (before

Wednesday) because they will be printed soon.

There will be a bank night at Hard Bean Café (Boyertown) on the patio on May 29 from 6:00-8:00pm.

This helps us submit our funds frequently.
