Guidelines for Courses and Programs offered through Mizzou Online College of Arts and Science Authority for course set-up in myZou resides with the academic unit. If the academic unit would like Mizzou Online to complete the set-up of the courses in myZou, by October 1 it will notify Mizzou Online and request that the Registrar give Mizzou Online scheduling authority. This process must be renewed each academic year. Mizzou Online will receive a list of the schedulers of courses (SOCs) for each academic unit from the Registrar’s Office. Each October, Mizzou Online will send chairs and directors a list of all online courses—both semesterbased and self-paced—offered by the respective academic unit in the previous summer, fall and spring semesters. This is the schedule that automatically rolls over in myZou. This process will be known as the Annual Course Approval process. Changes to the schedule should be communicated to Mizzou Online. If the AU completes course set-up in myZou, Mizzou Online will make corresponding changes in its internal database. If Mizzou Online has been asked to complete course set-up, it will make the requested changes in myZou and its internal database. Academic units will be asked to confirm details of courses to be offered prior to their opening in myZou. To maintain accuracy of information, each semester academic units will communicate details on each of the following: Change of instructor Change of enrollment cap Exam proctoring needs Any change in enrollment requirements Mizzou Online will communicate details of any new or revised self-paced course opening (per signed MOA) after the October annual approval mailing to chairs and directors. Academic units will communicate any change in course title or number to Mizzou Online. For semester-based online courses, instructor will work with designated individual from ET@MO, as appropriate, regarding Blackboard course site requests. Online Scheduling Process Semester Based Authority and responsibility for the hiring and compensation of online semester-based instructors reside with academic unit. For AU‘s handling own online semester based course scheduling (and ordering textbooks). 1. 2. 3. 4. Location Code: MZONX (will show as Mizzou Online Off Campus) Instruction Mode: EL ( E-Learning 100% online) Room: EL Attributes: a. Summer Semester Only: Select MZON in first box. Select MIZZON in second box. This notifies students that the course is a semester based online course. b. If course has proctored exams: Select PREX (will show as Proctored Exams-Supervision Rqd). 5. Caps: a. Fall and Spring Semester: If reserving space for distance students; set an overall cap and email to Our Schedule, requesting a reserve cap amount for distance students. Generally the courses have been capped at 25 overall with a distance student reserve cap of 10. b. Summer Semester: Does not require reserve caps for distance. Set one cap for course. 6. Class Notes: (When the myZou schedule is open to SOCs, the following class notes can be selected from the menu. If the schedule is closed, these must be requested by email) a. If using a reserve cap, select/request Note #0075 be placed in Class Notes . i. Course Note 0075 says: This course has a number of seats reserved for distance students and a number of seats reserved for campus students. If you have attempted to enroll and received the following error message (“You are unable to enroll in this class at this time. Available seats are reserved and you do not meet the reserve capacity requirements.”), the available spaces for your group have filled. Any remaining seats will be released one week prior to the start of the semester. Check back in myZou on or after that time for possible enrollment. b. If course has proctored exams, select/request Note #0046 be placed in Class Notes. i. Course Note 0046 says: Exams are proctored and require students to locate a qualified proctor and facility. Proctors must be confirmed/approved with Mizzou Online a minimum of 10 business days prior to the first exam date. If the course is designated writing intensive, AU SOC will work with the CWP to ensure that the WI notation is included on the online sections. Mizzou Online will process documentation related to the hiring process. See document on Identification, Development and Renewal of self-paced courses. For AU‘s handling own online self-paced course scheduling (textbooks handled by Mizzou Online). 1. Session: a. For 9 month self-paced course: Choose OEE (Self-Paced 9 mnth max to finish) b. If course is a self-paced 16 week course: select S16 c. If course is a Fall or Spring self-paced 8 week course: select S8 d. If course is a Summer self-paced 8 week course: select SP8 2. Fees: In first box, choose Fees (will show as Special Fees); in second box choose ADMFEESP (will show as 25$ Admin Fee Mizzou Online Self-Paced). b. Financial Statement: i. In first box, choose MZON; in second box choose START1A (will display as STUDENTS MUST DECLARE A START DATE FOR THIS CLASS) c. In first box, choose MZON; in second box choose START2A (will display as AS IT MAY IMPACT ACADEMIC AND FINANCIAL POLICIES) d. Select MZON in first box. Select 9SELF PACE in second box. This notifies students that the course is a self-paced 9 month online course. i. Do not use this attribute for the 16 and 8 week self-paced courses. e. To denote proctored exams: Select PREX (will show as Proctored Exams-Supervision Rqd). f. Caps: Default enrollment caps for most OEE session codes are initially 200 in myZou and adjusted per any AU requests. Caps can be changed by academic unit’s scheduler at the AU chair’s request. g. If reserving space for distance students; set an overall cap and email to Our Schedule, requesting a reserve cap amount for distance students. 6. Class Notes: (When the myZou schedule is open to schedulers of courses, the following class notes can be selected from the menu. If the schedule is closed, these must be requested by email) a. For OEE classes: please select/request #0015. Will display as “This is a self-paced course” (min 6 weeks, max 9 months). Check for advisor approval. Will display as This is a selfpaced, semester based course that must be completed by the end of the current semester. c. To denote proctored exams, select/request Note #0046 be placed in Class Notes. i. For OEE 9 month self-paced graded courses: Select SP (This will show as Graded-SP) b. For OEE 9 month self-paced S/U courses: Select SPS (This will show as S/U-SP) 8. If the course is designated writing intensive, AU scheduler will work with the CWP to ensure that the WI notation is included on the online sections. 9. New courses: New self-paced courses cannot be set up in myZou until the course development process is complete. When a student enrolls in a self-paced course through myZou they are also automatically added to the self-paced course site therefore course development must be completed before the course appears in myZou. When course development is complete, Mizzou Online will notify the AU so the scheduler can set up the new course in myZou. Once a self-paced course is scheduled, it is important for Mizzou Online to be updated on these changes: 1. Instructor changes: Instructor paperwork can take up to 1 month (for US citizens) or longer (for international students). Extra compensation paperwork and approvals may also be required. To ensure that instructors are set up in payroll (if needed) and prepared to grade student lessons when they are submitted, we must have advance notice of instructor changes. 2. Course title and number changes 3. Course closings or cancellations; if the AU closes a course or zero caps it to existing enrollment, the course will need to stay open in myZou until all the students have completed their work. 4. Enrollment requirement changes; the AU should determine who students should contact for permission to enroll and the scheduler should add class notes with their contact information. 10/22/13
