Friends of the Piedmont Valley Library, Inc – Board Meeting Minutes
January 12, 2015
The meeting was called to order at 11:35 AM by President Betty Bittner. In attendance:
Board members Bittner, Nadine Stromberg, Sally Mercier, Barb Morgan, Shirley
Whitney and Jane Abernathy. No guests or visitors.
The reading of the November meeting minutes was tabled to the February meeting.
FINANCE REPORT:
Nadine distributed the 2014 Year End report. Sally made a motion to accept the report,
seconded by Barb. All voted “Aye” and the motion carried.
Nadine notified the Board that although her term ends February 2017, she plans to
resign in February of 2016 at the annual meeting.
Jane outlined the list of items that she asked the Friends to support for the library in
2015. These items include: one new shelf for children’s books, a Brother color laser
printer, a flat-screen TV, a laptop, support for programs such as Summer Reading,
Guest Speakers, Artist Receptions, Lego contests, Teen nights, as well as library
supplies such as ink, paper, barcodes, tape, postage and books, movies and
audiobooks for the collection. Barb made a motion to approve the Friends spending up
to $5,000 in 2015 in support of the Piedmont Valley Library, seconded by Shirley. All
voted “Aye” and the motion carried.
Sally made a motion to approve spending up to $500 on Friends expenses in 2015,
seconded by Shirley. All voted “Aye” and motion carried.
NEW BUSINESS:
The Annual Membership Meeting was scheduled for SUNDAY, FEB. 22 with a social
from 2:00-3:00 followed by the annual meeting at 3:00. Advertising will be done by
email newsletter and phone calls to members; posters and handouts.
A mass mailing to advertise the library and Friends was postponed to coincide with a
planned Spring mailing by the City of Piedmont for an Open House.
The Benefits of Membership Policy includes a free bag of books at one book sale per
year. Instead of posting it on the membership card, there will be coupons to give to
everyone who joins or renews membership for that year. An additional coupon will be
given for attendees of the Annual Meeting for one free book at any book sale in 2015.
Refreshments: leftover cake from the December party in Jane’s freezer and we have
boxes of Girl Scout cookies. Lemonade and coffee will also be served.
Reminder to have handouts available: New member forms, Bylaws, Policies,
membership cards, receipt book, signup sheets for committees.
Agenda will include: Elections to the Board, 2014 Finance Report, Committee Reports
and appeals; Fundraisers and other requests for volunteers.
OTHER BUSINESS:
Nadine has been checking into ordering Friends of the Piedmont Valley Library t-shirts
to promote the group and as a fundraiser. Everyone would purchase their own
t-shirt. She asked Jane to check for prices online and Nadine will get prices at a store
in Rapid City, to include pricing for an initial order of 25 and subsequent orders. The
group favors navy blue with white lettering or light green with black lettering or sunflower
yellow with dark green lettering. Jane will also look at book bags with the same design.
Jane asked the Board for approval to open tax-free accounts at the following stores in
Rapid City: Shopko, Walmart, Books a Million and Office Max. She also would like to
ask if they would send invoices rather than require payment on site and inquire about
rewards programs. Shirley made a motion to approve those requests, seconded by
Sally. All voted “Aye” and the motion carried. Nadine will accompany Jane to visit those
stores.
Being no other business, Shirley made a motion to adjourn, seconded by Barb. All voted
“Aye” and Betty adjourned the meeting at 12:13 PM.
