Policy purpose: To provide a policy and plan for disposal of data.
Applies to: Life Span Institute at Parsons employees (faculty, staff, student employees)
and other covered individuals (e.g., affiliates, vendors, independent
contractors, etc.) in their handling of University data, information, and
records in any form (paper, digital text, image, audio, video, microfilm, etc.)
during the course of conducting University business (administrative,
financial, teaching, research, or service).
“Handling” information includes, but is not limited to, the following:
creating, collecting, accessing, viewing, using, storing, transferring, mailing,
managing, preserving, disposing, or destroying.

Policy statement: Employees disposing of electronic data should use KUs "Electronic Data
Disposal Policy
(https://documents.ku.edu/policies/IT/DataDisposalPolicy.htm)" and
"Electronic Data Disposal Procedure
(https://documents.ku.edu/policies/IT/DataDisposalProcedure.htm)" when
disposing of data that exist in electronic form.
Employees disposing of paper data should shred, burn, pulp, or pulverize
the paper records so that data is rendered unreadable, indecipherable, and
otherwise cannot be reconstructed.
Employees will consult Life Span Institute at Parsons technical liaison before
disposing of any data that is not electronic or paper.
Exclusion or Exceptions to this Policy shall only be allowed if previously approved by the
special Director of the Life Span Institute at Parsons and the Information Technology

Director of Life Span Institute at Parsons.
Consequences: Faculty, staff, and student employees who violate this Life Span Institute at
Parsons policy may be subject to disciplinary action for misconduct and/or
performance based on the administrative process appropriate to their
employment.
Students who violate this Life Span Institute at Parsons policy may be subject
to proceedings for non-academic misconduct based on their student status.
Faculty, staff, student employees, and students may also be subject to the
discontinuance of specified information technology services based on the
policy violation.
