This position will be responsible for processing incoming and outgoing loans to include: packing, shipping and insurance. Incumbent is also responsible for preparing the Board of Regents’ reports as required by policy. This position will work closely with museum unit departments to prepare official and legal documentation to include: receipts, Deeds of Gifts and loan agreements, etc. Job Tasks include but are not limited to the following: Information Management Create and maintain paper and electronic forms and legal documents for: acquisitions, accessions, loans packing, shipping, loan condition reports, and insurance Create and maintain permanent collections catalog and files Prepare deaccession paperwork Catalog new History Collections acquisitions and recatalog old acquisitions Prepare Board of Regents’ acquisition reports Coordinate data input management of History Collections records Respond to potential donors considering donating artifacts to the museum Oversee Collections Management Coordinate the borrowing and lending of artifacts including packing, shipping, inventory, storage, loan condition reports, insurance coverage, shipping and security arrangements, and customs Monitor the legal and ethical implications of collection related transactions Track and monitor the location of artifacts from all permanent collections entering or leaving the museum or being transferred within the museum Transport artifacts with assistance from other staff members as required Develop and implement collections management policies Oversee retrieval of History Collections artifacts for research, public programs or exhibit purposes Respond to any emergencies impacting artifacts in storage or on exhibit Supervisory Supervise the Assistant Collections Manager and term position Supervise volunteers and interns Train volunteers if needed Conduct regular meetings to communicate, schedule and inform staff of current and upcoming events Exhibitions Attend exhibit meetings and serve on exhibit committee to insure proper coordination of loans and use of artifacts in collections Negotiate loans with individuals and other institutions Draft and review loan contracts Schedule shipment of local, state, national and international loans Supervise packing, shipping, condition reporting and object movement of all loans Coordinate object movement to and from storage, conservation lab, exhibit fabrication and galleries Assist with exhibit installation or deinstallation as needed Monitor humidity and temperature levels in exhibit galleries, work with building staff to maintain proper levels Decisions Responsible For Proper handling and packing strategies to insure the safe transport of artifacts Records management, care and maintenance of collections Collections Management Policy regarding loan activities, storage, and conservation functions for maintaining the integrity of the collections records Minimum Qualifications Associate’s Degree in Art History or other area of specialization such as Museum Studies, Museology, Conservation Science, Anthropology or History; and two (2) years supervised experience working with museum artifacts/collections. Depending on the Museum and the nature of the position, the hiring agency may modify the experience. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience.
