College Student Employment Program (CSEP) Hiring Guidelines Hiring a student employee through the college student employment program (CSEP) If you require a CSEP job to be posted and you do not have a student in mind for the job you can either post your job on-line or e-mail a job description to the Employment Support Centre (formerly known as the Student Employment Office). Please click here to post your job on-line: https://mycareerzone.algonquincollege.com/home.htm STEPS TO HIRING A STUDENT: 1. The intended student employee must complete the CSEP budget form in ink and clearly indicate a financial need in order to be eligible to work in a CSEP approved position. If you require a CSEP budget form it can be obtained from the Student’s Association (E114), Financial Aid Services (C225), or the Employment Support Centre (E350). 2. When the student has completed the CSEP budget form, the student must forward the application to the Financial Aid Services for assessment; this will have a turn-around time of approximately 2 business days. 3. The Financial Aid Services will then notify the appropriate representatives in the Employment Support Centre and the Student’s Association of the student’s assessed status. The Employment Support Centre representative will then notify the student and the hiring departmental contact, if there is one indicated, of the student’s assessment. This will have a turn-around time of approximately 1 business day. 4. Once the student has been approved they can then confirm their acceptance with the hiring department, if applicable. The employer can confirm the date of the student’s CSEP eligibility with the Student’s Association or the Employment Support Centre. 5. The student can obtain a CSEP employment package from the Student’s Association (E114) or the Employment Support Centre (E350). The student must complete this package and return it to the Student’s Association for payroll purposes. The student’s hiring department must complete the “departmental data” section. It is within this section that the department must provide the date that the student became eligible for CSEP. Once the student and department have completed the required information, the package is to be returned to the Student’s Association. Note: step 5 must be completed prior to the student’s employment within any College department to be eligible under the College Student Employment Program (CSEP). 1 IMPORTANT POINTS TO REMEMBER: Students DO NOT qualify for the following reasons: - International Student - Second Career student - Student’s in Apprenticeship programs - Part-time students who are not presently registered in a full-time program - Students who do not demonstrate a financial need - Students registered and paying tuition fees through either University of Ottawa or Carleton University (collaborative programs) - If signature was done in pencil on the application form, it is considered incomplete • The student must complete the CSEP employment package from the Students’ Association or the Employment Support Centre at the beginning of each semester for payroll purposes. • The student must complete a CSEP budget form and submit it to Financial Aid Services for assessment each academic year to ensure eligibility for the program. • The department must indicate the date that the student was approved by the Employment Support Centre on the CSEP Payroll form. • Students are allowed to work a maximum of 24 hours per week during the academic year and 35 hours per week during the summer period (May – end of August). • In order to be eligible to work during the summer period, student must be returning fulltime into their existing program for the fall semester.
