Manuscript Delivery Checklist Edited Volume TEXT CHECKLIST Double space the manuscript throughout, including table of contents, captions, lists, notes, bibliography, extracts (block quotations), and all other elements. Double space within as well as between entries in the notes and bibliography. Do not put extra space above or below subheadings and block quotations. Leave generous margins for the copyeditor’s notes. Except for italics, do not style the text in any way (i.e. boldface, various fonts, etc.). Supply front matter (half title, title page, dedication, table of contents, acknowledgments, etc.) numbered with roman numerals. (For a model, see the sample provided with the Author Guidelines or the Chicago Manual of Style) We will supply the copyright page and series page if necessary. Please make sure that the front matter is included in the files that you send us. Make sure the titles of chapters and contributors’ names on your table of contents agree exactly with what appears at the chapter openings themselves and in the Notes on Contributors. If there are part divisions, supply pages in the text with part numbers and titles to reflect your table of contents. Supply a Notes on Contributors section at the end of the manuscript. There should be a brief biographical sketch of each contributor, listed in alphabetical order. Omit publisher names for previous publications. Don’t forget to include yourself in this section, and make sure everything is double spaced. Number the manuscript pages consecutively in a single sequence beginning with the introduction or first page of the text proper. Endnotes should follow each chapter and be included in the consecutive numbering sequence. Make sure that each element (chapters, part dividers, front matter, etc.) has been saved as a separate documents. Send the electronic version of the complete and final manuscript (all elements) directly to your acquiring editor as email attachments or through Dropbox or another file sharing site. We suggest sending all image files through Dropbox or another file sharing site. Provide us with a cover letter indicating the word count for the full manuscript (all elements including notes and bibliography, if you have one). If there are any peculiarities (for example, capitalization or spelling) that you want to alert us to, please include that information on a style sheet for the copyeditor. NOTES CHECKLIST Use arabic numerals for the notes. The notes to each chapter should follow the text and be headed as “Notes.” The numbering of the notes should start over for each chapter. 1 All contributors should use the same note style. Make sure that the style is consistent across chapters. If the style is unusual or deviates from the Chicago Manual of Style or commonly used style sheets, spell out those differences in a memo to the copyeditor. CHECKLIST FOR IMAGES Have all images and necessary permissions in hand. The manuscript is not complete if any images or required permissions are missing. Number the images clearly and consecutively by chapter (1.1, 1.2, 2.1, 2.2, etc.), and be sure that the image numbers appear in the names of digital files. Do not use “a” and “b” sequences; give each image its own number. Indicate pairings or combinations clearly ("pair 1 with 2") on the copies. Any reproduced images, charts, graphs, etc. need to be submitted as individual high resolution art files—in TIFF, EPS, or JPEG format. Do not embed images within Word documents. For more detailed instructions on digital image preparation and resolution requirements for different types of images, see the Digital Art Requirements for Submission, which can be found in the “Additional Forms and Guidelines” section of the Author Toolkit online. If images are to be interspersed throughout the text, key their ideal placement on a line of their own, not bolded. Ex: {~?~Fig. 1.1 near here}. Make two sets of photocopies of the images and mail them to your editor. These should also be clearly numbered on the front of each photocopy. If images need to be cropped in some way, indicate that on the photocopies. Supply captions (double spaced) for images—photos or figures or tables or maps—keyed correctly to the numbers on the images themselves. Include credit lines in the captions and/or List of Illustrations if needed. Supply a List of Illustrations (double spaced)—or tables or figures—if you need such a list to appear in the beginning of the book. See the full Author Guidelines for instructions on tables and figures. Most books do not require such a list (ask your editor if you are unsure). Please note that the Press needs two photocopies of all documents related to the images (captions, credit lines, List of Illustrations if necessary, and, of course, the images themselves). PERMISSIONS CHECKLIST Make sure you and your contributors have cleared all necessary permissions for the book arranged by essay. See the Permissions Guidelines. Fill out and enclose the permissions tables for the text and images. Be sure to attach copies of final supporting correspondence granting permission. REMINDERS If you have not already done so, be sure to submit the completed Acquisitions Questionnaire with the manuscript. The Marketing Questionnaire should follow soon after. If you have not already done so, be sure to submit your completed Jacket/Cover Information Request Form, along with suggested art. Keep a copy of everything for yourself.
