Direct Shot Distributing Distribution Receiving Specifications

SECTION I. General Information and Guidelines

1.

Purpose

The purpose of Receiving Specification is to: a) Provide our suppliers with our receiving requirements, hours of operation and helpful information with respect to making a delivery to our facilities. b) Establish repeatability, consistency and standardization to help us better serve our customers. c) Open communication channels and partnerships with our customers, suppliers, and vendors. d) Reduce errors and receiving time while improving our operating efficiency.

Items that do not meet the stated requirements may be returned, reworked, or subjected to additional handling, rework and shipping fees.

Receiving Requirements and Locations

Appointment Requirements

Appointments are required 24 hours in advance of the delivery if a standing appointment time is not already predetermined (ie. FedEx Freight, USF Holland).

Each truck requires a separate delivery appointment.

Any truck arriving without a delivery appointment will be given a lesser priority than deliveries with scheduled appointments.

Any truck arriving before or after their scheduled delivery appointment will be given lesser priority than deliveries scheduled and on-time.

Leaving a message does NOT designate an appointment.

Only Direct Shot Distributing can assign delivery appointments.

Receiving is occasionally done outside normal receiving hours (due to demand). Please call for information if you have any questions.

The BOL, ASN (if applicable), and purchase order numbers.

SECTION II. Finished Goods Requirements

Item Requirements

General Barcode information

Direct Shot Distributing Distribution Centers use the following barcodes during our processes: UCC-

128, UPC-A, UCC-12, and SCC-14. It is the responsibility of the suppliers to meet the barcode specifications described in this text. The specific barcode requirements for the product (item), carton, and pallets are addressed in parts 6 – 8 of this text.

UPC Barcode Specifications – see figures 1 and 2, UPC Barcode.

The UPC Bar Code box should measure 1

½

" wide by 5/8" high. The background must always be white and the actual height of the UPC Bars themselves should be 7/16". This leaves a white clean area to facilitate the scanning and reading of the UPC Bar Code. It should be positioned on the Tray Card/Liner so that it is not closer than 3/8" from the perforation and 1/8" from the bottom of the package.

Barcodes must be a series of black on white solid parallel bars (color barcodes are not acceptable.)

Overall shape of the barcode must be rectangular, not truncated.

Barcodes may be in ladder or picket fence orientation (no diagonal barcodes).

Barcodes must meet ANSI Grade C or better quality standards (see ANSI X3.182) for each of the following categories: edge, reflective minimum, symbol contrast, minimum edge contrast, modulation, defects, decode, and decodability.

Barcodes must be free of obstructions (permanent marker/ highlighter marks, stickers, etc.)

Every barcode must have matching human-readable text above or below it.

Barcodes are required on each item to identify the product.

All barcodes on the item must be equal.

If the barcode has additional identifiers (ex: UPC+2), the additional identifier bars must be the same height as the base barcode.

Wrap requirements

Direct Shot Distributing requires wrap or polybags to preserve the integrity of the item. Items larger than

4½” X 9 ¼” may be poly bagged

.

Wrap should conform to the shape of the unit without obstructing the text or graphics.

Wrap seams must be sealed to prevent damage through normal handling and automation.

Torn wrap, pinholes larger than ¼”, or welds protruding from the unit > ¼” are unacceptable.

Carton Requirements

Carton Labeling Requirements (figure 3)

Direct Shot Distributing requires product labels on all finished good cartons. The label must be centered on the outside of the smallest side of the carton and contain the following:

UCC128 Barcode identifying the part number in a large font (at least 6mm or ¼”)

UPC-A (or UPC+2) Barcode identifying the item’s UPC number

Assigned site name or ID

Carton count in large font (10mm or 3/8”) and UCC128 barcode.

SCC14 barcode identifying the item.

Product Orientation Requirements

Every item in the carton must be oriented in the same direction, with the title facing toward the carton label.

Partial Carton Requirements

Cartons containing other than the standard carton quantity must be identified by a sticker on the carton near the label. The sticker must read “Partial” and must display the actual quantity.

Partial cartons must be located at the top of the pallet.

No more than 1 partial carton is permitted per item per order.

Master Carton Requirements

Master cartons must not exceed 50 pounds.

A pack list must accompany each master carton.

All inner cartons must contain a carton label (See Figures 3 and 4).

Other Carton Requirements

All cartons must contain one title per carton. Mixed product is not acceptable.

The carton size, quantity and stacking pattern must remain consistent for each item for all shipments.

Pallet Requirements

Pallets for all sites must be 42” x 42” stringer style. No block-style pallets of any type are allowed.

Each pallet requires a container sheet that identifies the product on that specific pallet.

The maximum height must not be greater than 50”.

Carton barcode labels must face the outer perimeter as much as possible.

Pallets containing more than one item require a “Mixed Pallet” label.

The carton-stacking pattern must be interlocking to prevent spills and damage.

Pallets must be constructed of wood.

Overhang of product on the pallet is not acceptable.

The pallet wrap must be applied complete and tight to minimize tearing, shifting and tampering of the product during transportation.

Container Sheet Requirements

At a minimum, the following information must be included on the Pallet/ Container Sheet:

Ship From: Name, Address and Telephone number

Ship To: Name and Address

Customer Purchase Order number(s)

Unique pallet identification number encoded with a UCC-128 barcode

Item and UPC numbers

Item Description

Quantity per title on Pallet

Quantity per carton on Pallet

Total quantity on Pallet

# of cartons

# of pallets (1)

The container sheet must be securely attached to the pallet and visible as the container is unloaded from the truck. The pallet/ container sheet must be legible and contain all of the requirements listed above.

Hand written changes to the skid count or carton count are not acceptable.

Order Level Requirements

Pack List Requirements

Each order must contain a pack list which is visible and securely attached to the associated pallet along with the BOL. Hand written changes to the pallet are not acceptable. Pack list information must include;

Ship From: Name, Address and Telephone number

Ship To: Name and Address

Pack List Number

Date pack list was created

UCC-128 barcode with the Customer Purchase Order number (or ASN, if applicable)

Customer Purchase Order number(s)

Carrier Name

List of all pallet identification numbers that are associated with the pack list

Item and/or UPC number(s)

Item description

Quantity per carton

Total quantity per title

Quantity per pallet

Total pallets

Total quantity per Purchase Order

Bill of Lading (BOL) Requirements

At a minimum, each truckload requires a BOL. Hand written changes to the skid count or carton count are not acceptable. A master BOL is required if there are more than 1 BOLs for a truck. The BOL must contain:

BOL number

Ship from name, address, and telephone

Ship to name and address

Seal # if the truck was sealed

Customer P.O. number

Total pallet count

Total carton count

Total item count

Signature of shipper and carrier

All pack list numbers associated with the BOL

Product Name: 1X30 Cartons

Manufacturing and Returns product that is in a 1X30 carton should be 24 to a layer and 7 high on a 42X42 pallet. Carton labels should face out as much as possible.
