Grants Analysis Officer
Reporting to

Purpose of Post
To be a proactive member of a team that provides a quality
financial service to the Liverpool School of Tropical Medicine
and its subsidiary companies
The job will involve a range of duties including the position of
residuary for all Finance Section information on grant matters,
submission of grant claims, production of periodic summary
statements, advising on best practices, the co-ordinating of
information with the Funding Bodies, maintaining the integrity
of the system and the vetting of transactions against agreed
budgets providing reasons for variances and all revenue related
activities.
Key Activities
The Research & Business Professional Services (RBPS) provides a service to the senior
management, grant programme co-ordinators, finance-related committees and the central
administrative department.
Specific Responsibilities
1. Responsibility for all stages of the grant process cycle including Intention to Submit,
Proposal, Application, Award and Post Award. More specifically:
2. Submission of accurate grant claims on a timely basis
3. Advise project/programme co-ordinators on best practice in grant applications and
ensure the integrity, accuracy and appropriateness of the financial information
4. Communicate clearly to negotiate the most favourable period of claims with funding
bodies
5. Ensure that the expenditure undertaken is appropriate with the purpose of the grant and
funding body terms and conditions
6. Verify appropriateness of UK and international transfers for payment and ensure they are
within budget limitations
7. To be responsible for the processing of grants to ensure financial accuracy, the
maintenance of grant records and the creation of cost centres in accordance with
contracts received
8. To monitor the use of the grant cost centres, the integrity of the financial ledgers and
reconciliation of balances
9. Production of regular periodic financial statements for project/programme managers
comparing actual results to budget figures and to produce financial forecast information
10. Coordination of grant contracts with UK and overseas partners on collaborative grants
11. Advising senior finance staff of the appropriateness of funding streams for staff salaries
12. To maintain all financial records and contract documentation relating to grants, evaluating
its correctness
13. Liaison with Grant Holders to ensure required reports are submitted on a timely basis
14. Integration of ‘top-up’ grant awards to existing grants into the research database and
financial accounts
15. Production of year end debtor and creditor figures for final accounts
16. Communicate potential debit balances to managers and agree other streams of funding
to compensate for any shortfalls
17. Assist the Financial Compliance Officer in the processing of all Sales invoices and other
revenue generating activities
18. Liaise with the Sales Ledger Clerk on credit control issues
19. To carry out such other duties reasonably consistent with the foregoing, as may be
required
