Organizational Relationships: Reports To: Director of Advancement and External Affairs Supervises: Work-study students, temporary employees, volunteers Coordinates With: Officers and Directors of the Law Alumni Association, Administrative Manager for Finance and Administration, Class Agents, Law School Alumni, Members of the Maine Bar, Law School Dean, Members of the Law School Faculty and Staff, USM University Advancement Office. II. III. Statement of the Job: This position assumes a key role in developing fundraising support and building alumni loyalty for the Law School. The position is expected to play a role in donor cultivation, stewardship efforts and assumes a lead role in working with leadership from the Alumni Association. In addition, this person will provide marketing support and other assistance to Law School departments. Essential Functions: 1. Development and Fundraising: a. Manage and expand annual fund leadership gift support and cultivate major and planned donor prospects. Develop annual projections and timetables for both activity and income while working with class agents in planning, preparing and insuring a successful campaign. Acts as the Annual Fund liaison with selected class agents and collaborates with the Annual Fund Campaign Chair on developing and implementing successful strategies. Selectively participates in donor cultivation and stewardship efforts. b. Coordinate recordkeeping and reporting to both internal and external concerns. c. Participate as an active member of the development management process in the development of cultivation, solicitation and stewardship strategies. d. Coordinate the cultivation, solicitation and stewardship of major individual prospects. e. Serve as a resource to the development of strategies for smaller scale annual corporate solicitations by working with the Dean and Advancement Team. f. Devise and supervise an aggressive calendar of events where the Dean, Advancement Director and select faculty meet with alumni and friends on/off-site, and where key prospects are systematically brought back to serve as advisors, guest speakers, etc. g. Influence the development of publications and advocacy materials which support key funding priorities and advance the public image of the Law School. h. Steward the identification, recruitment and involvement of external volunteers in the development process. i. Identify and involve student representatives wherever possible and appropriate in the cultivation of donor prospects. 2. Alumni Relations and Events: This position provides staff support to several committees of the Alumni Association including the Communications Committee, Special Events Committee, Road Race Committee and the Alumni-Student Relations. Assists with the development and support of regional chapters. The Fundraising and Alumni Relations Manager is also responsible for preparing materials for meetings of the Alumni Board of Directors. This person also organizes Law School alumni events, which may include the Annual Alumni Dinner, Annual Road Race, Class Reunions, Annual Scholarship Reception, 25th Reunion and Regional Events. Responsibilities will include working with alumni volunteers and the Mentor Mentee program. 3. Marketing and Communications: Maintains and enhances the Alumni Website and provides general support and assistance to other Law School departments who need use of the online i-modules site 4. Customer Service: On a daily basis responds to inquiries from alumni, students, faculty and staff. Insures timely response to all inquiries. 5. Interaction with Students: Provides occasional support to student organizations and serves as the primary contact with several student organizations. 6. Gift Processing: Receives and properly record gifts to the Law School. Need to be familiar with gift processing procedures. 7. Office Management: Shares in the responsibly for the orderly operation of the office including ensuring proper office procedures are adhered to and that manual and electronic records are maintained and secure. Supervises work-study students, temporary and volunteer workers. 8. Maintaining Alumni and Friends Records: Shares in the responsibilities for maintaining records on 2,800 Alumni, 500 law firms and businesses, and 1,000 other friends of the Law School in an specialized campaign database. Undertakes research on lost addresses. Prepares reports and mailing lists as required IV. Marginal Functions Participate and assist in prospect identification, screening, and management sessions relative to the fundraising campaigns at the Law School. V. Supervisory Responsibilities: Responsible for the training and supervision of student workers and for the oversight of temporary and volunteer workers. Demonstrates knowledge and experience in maintaining a safe working/learning environment. V. Budget Responsibilities: The Fundraising and Alumni Relations Manager must maintain familiarity with all University purchasing APL’s. VI. VII. VIII. Professional / Public Activities: Is expected to be knowledgeable pertaining to advancement and alumni development functions. Remains current with appropriate technology. Participates in relevant committees on campus and within the University of Maine System. Internal / External Activities: Internal Contacts: Works with and communicates with all departments and ranks including the Dean’s office, Career Services and Associate Dean’s offices. External Contacts: Communicates with general public, Law School alumni, legal community and related agencies. Knowledge/Skills/Abilities: 1. Proven Written and Verbal Communications Skills: This position requires the ability to prepare publications, web materials, email communications, business letters, memos and other communications. Good editing skills are critical. 2. Multi-tasking Skills: This position requires the ability to work on multiple projects simultaneously in a deadline oriented environment often with changing priorities. 3. Initiative and Ability to Work Independently: The position will work closely with the Director but is expected to assume the initiative on various functions of the office and complete assignments with minimum supervision. 4. Ability To Utilize Advanced Level Computer Database Technology: This position requires a high level knowledge of the Microsoft Office Suite including Word and Excel. Work routinely involves the use of mail merge techniques and the preparation of complex reports using Excel. Familiarity with Microsoft Publisher and/or other desktop publishing programs. Ability to learn and utilize Development Office and Alumni software systems. 5. Strong Interpersonal Skills: This position involves daily contact with volunteers, donors, faculty and staff. It requires good listening as well as verbal skills. 6. Availability to travel: Occasional in-state or regional travel may be required. 7. Possess an attitude that fosters a respectful, non-threatening workplace environment. 8. Knowledge of the greater Portland/Southern Maine philanthropic community preferred. X. Qualifications Required: 1. Thorough knowledge of fundraising practices and principles and a track record of success in managing gift prospects and in closing such gifts. 2. A four year college degree or equivalent education, training, and experience. 3. At least three years responsible professional experience requiring contact with the public and relevant work in legal environment, communications, marketing and/or development. 4. Excellent verbal, communication, editorial and writing skills. 5. The ability to use relevant computer technology. 6. The ability to work occasional nights and weekends and be available for occasional travel. 7. A valid driver’s license. Preferred: 1. Experience in an academic setting or non-profit organization working with volunteers. 2. Website development and maintenance experience. 3. Experience as a professional or volunteer working with an alumni association.
