Meeting Minutes
May 2, 2013
I. Meeting opened @ 7:30pm with a moment of silence followed by the Serenity prayer.
II. The Twelve Traditions and Twelve Concepts were read.
III. Administrative Body Reports

B. Chairperson Comments – Marty C.
1. Welcomed all to the May, 2013 ASC meeting
2. Welcomed new GSRs
3. Stated that motions must be submitted prior to the end of old business.
4. Stated that the basket would be passed for hospitality expenses during the meeting.
5. Regional Board of Directors (BOD) has paid down debt to NAWS and has made a payment plan
for the remaining balance. Literature orders are now back on track.
C. Secretary Report – Robin V.
1. Asked the body to review their perspective Group and Sub-committee reports for
errors and accuracy.
2. Previous month’s minutes were reviewed and accepted by the body.
3. Body was reminded and encouraged to refer to the Open Arms website for current and archived

6. Question concerning whether the Administrative Body has been meeting as per policy was
addressed by the Chairperson. He stated that they have not met at all this year, gave no explanation
as to why.

IV. Sub-committee reports
A. Ad Hoc Camping/Rafting
1. Meets every other Wednesday at the First Presbyterian Church, 142 Stage Road, Monroe @ 8:00
pm. Next meeting May 15, 2013
2. All positions have been filled
3. Tickets are available but sales are slow. Ticket sellers are needed – requirements are 3 years
clean and an income.

4. We will provide more fliers at the June meeting, meanwhile please announce this activity in
meetings. Flier is available on our website
Entertainment and Activities –Chairperson – Nettie H
1. We need support! Meet on the 1st and 3rd Tuesday of each month at the Avent House at 7:00 pm.
2. Speaker Jam/Dinner was held on April 27, 2013 collected $446.00, paid out $360.00, leaving a
profit of $86.00,
3. Current bank balance $546.00. Donated $46.00 to the ASC.

Helpline – Barry T., Chairperson

We have a staff of 6 members which includes 1 new member but still need support

We went over 300 messages this month.

We meet at Ebenezer Baptist Church, 76 First St. on the second Monday of each month at
5:30pm.

Supplied flyers that include new meeting space.
Hospitals and Institutions –chairperson – open Darren P., Vice-Chair reporting

Submitted new flyers with new address.

Had 8 members in attendance and 7 trainees. Will need to attend next meeting to be
orientated (as per policy)

Member has taken the Orange County Jail women’s facility commitment she was trained
in the procedure to have speakers in with her.

order.
7. Suggested that GSRs bring a bag with the group name already on it.
8. Suggested that GSRs bring a form with them to their business meeting to put your order
together. Forms can be printed from our web site.

Meeting lists and posters were given to the probation/ parole department, Department of
Social Services and Department of Motor Vehicle in Middletown

Also gave posters and meeting lists to Restorative Management, RECAP, Horton Familly
and ACCESS (formerly VESID).
