Job Title: Director of Athletic Giving FLSA Status: Exempt Incumbent: None Approved Date: Reports to: Labor Grade: N/A Vice President of Philanthropy Approved by: President SUMMARY The Director of Athletic Giving directs all facets of the Athletic fundraising program, assists the Vice President of Philanthropy, and works with the development team and Association staff in carrying out the fundraising policies and programs established by the Board of Directors in a professional and competent manner. ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned. Direct efforts towards carrying out the purposes of the Association as reflected by the Constitution and By-Laws, and any other rules, regulations, policies and resolutions provided by the Board of Directors under the immediate supervision of the Vice President of Philanthropy. Grow the Athletic fundraising program under the banner of the Bear Club raising funds from alumni, parents of cadets, parents of alumni and friends of the Academy with annual giving programs and targeted team appeals involving direct mail, emails, Bear Club e-newsletters, social media, Association magazine, and more coordinated with the Development team and other fundraising efforts. Work effectively with the Executive Director of the Bear Club (V.P. of Philanthropy), CGA Athletic Director and their designees and with the Development Team to plan effective Bear Club activities. Responsible for planning Bear Club membership drives and working with the Development team to execute timely membership and fundraising appeals as well as membership fulfillment mailings with Bear Club members. Plan and coordinate appropriate Bear Club events or involvement associated with team competitions and athletic department events in a way that supports both men’s and women’s teams. Manage the Bear Club Ambassador volunteer program effectively to provide volunteer support to programs, support for teams and assistance on Bear Club events. Play a principal role in capital campaigns by cultivating, soliciting and securing commitments from individuals as well as any other campaign responsibilities as directed by the Vice President. Develop strategies to increase donor retention, donations from current donor base, and donor acquisition in all athletic giving programs. The director will have a portfolio of assigned prospects to manage, cultivate, and solicit for annual and major gift support. Director of Athletic Giving August 25, 2015 Direct annual Otto Graham Golf Classic and the Bear Club Golf Open with the assistance of key volunteers. Contract with venues; solicit corporate, foundation, alumni, and private donors. Develop, plan and in coordination with the Development team execute mailings and emails to solicit donors and participants. Manage all aspects of the event including golf registration, catering, and ceremonies pre-event, on site and post-event. Develop give-aways and other event-specific marketing tools. Establish a plan for growth in event sponsorships and net revenue. Plan and execute any Club Sports fundraising as directed. Provide detailed analytical reports on athletic giving programs and their status as well as comparisons based on industry standards and metrics appropriate to the projects. Write feature articles and other communications for The Bulletin Association magazine and the organization’s E-Newsletters as directed though not necessarily for each issue. Provide material to the Communications staff for use in appropriate social media and web site on a regular basis. Ensure that the annual lists of Bear Club donors and Ambassadors in our Annual Report in print and online are correct before publishing. Maintain professional client/employee/vendor relationships with a strong commitment to client service. Ongoing administrative duties including but not limited to one’s own filing, letter writing, editing, copying, calendar management, data entry & coding within database, mailing executions, travel and event/project reports, phone calling, and more. Insure conformance to vision, mission and values of the United States Coast Guard Academy Alumni Association. MARGINAL DUTIES AND RESPONSIBILITIES Include the following: Maintain housekeeping standards and meet safety standards Conduct and attend appropriate training/meetings as required. Assist with other organization events and projects. Represent and conduct the business of the Development organization in the absence of the Vice President of Philanthropy when directed, subject to the immediate supervision of the Association President. Develop, design, and maintain on-line event registration and email blasts. Coordinate with Member Services to incorporate appeals/direct mail designed to increase and maintain membership levels where appropriate. Incumbent must have 3-5 years of related experience. Demonstrated project management and event planning and charity golf tournament planning experience is required. Volunteer management experience also required. Multi-tasker. Ability to work independently and as a team player in a collaborative environment. Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to prepare and deliver routine reports is essential. The applicant must have exceptional interpersonal skills and ability to interact with people at all levels. Good presentation skills and a willingness to cultivate and solicit support. Analytical Skills: Intermediate math skills are needed to calculate figures. The applicant must have intermediate computer skills with the ability to navigate the Internet for prospect research. The applicant should have direct experience using MS Office (Word, Power Point and Outlook) as well as excellent proficiency in Excel’s capabilities. Proficiency in Raiser’s Edge or a comparable fundraising database software; the ability to build queries and reports is also required. Reasoning Ability: Ability to solve practical problems and complete significant multitasking responsibilities.
