Call for Topics
Session Date: Wednesday, September 16, 2015
Location: Boise Center – Boise, Idaho
The Commercial Vehicle Safety Alliance would like to invite conference attendees to participate in the
forthcoming “Intelligent Transportation Systems Technology Forum” to be held during the 2015 CVSA Annual
Conference & Exhibition – September 13 – 17, 2015 – in Boise, Idaho. The ITS Technology Forum has become a
well-attended annual event at the CVSA Annual Conference & Exhibition. To fulfill the demand for
presentation time-slots, we are asking interested parties to complete the “Topics Proposal” form below.
Please complete and submit your topics by Monday, June 15, 2015. This year’s Forum will follow the same
pattern. We will be having a series of panel with Q&A sessions that are structured around several themes or
topics.
CVSA will review all submissions and will select the highest scoring ideas and designate them to the
appropriate time slot for the Wednesday, September 16th Forum session. Confirmation of acceptance and/or
rejection will be communicated via email on Wednesday, July 1, 2015. Once topics are accepted, CVSA will
develop a panel session which will be approximately 60 – 90 minutes in duration. In your submissions, we ask
that you provide recommendations for one or more session moderators/presenters/speakers from
government, law enforcement and/or industry that can share their experiences with the audience.
The ITS Forum aims to provide informational sessions on cutting-edge technology developments in
government and industry. The panel presentations will also provide an exchange of best practices by CVSA
member jurisdictions and associate members on technology projects, programs and related issues.
As a reminder, the ITS Technology Forum is meant to be an educational and informative session for attendees.
It is not intended to be a marketing campaign to sell products or services.

Your Audience
Forum attendees will be primarily mid and senior managers who bring a wealth of knowledge and technical
expertise to the table. People attending are from the government and enforcement community as well as
representatives from the trucking and bus industries who are interested in planning and executing technology
initiatives.
The technology landscape is more complex than ever and Forum attendees are looking for innovative, costeffective solutions. They need solutions at all levels from high-level strategies down to tactical level
implementation. Preference will be given to topics/proposals that focus on practical implementations, best
practices, innovative content and presentation methods.
Session Moderator/Presenter Expectations –
Please note that all accepted session presenters are expected to agree to all of the following items:
1. In fairness to all those who submit a topic/proposal, please note that we will likely not permit a
moderator/presenter to be involved in more than one session. Please take this into consideration
when submitting your proposal ideas and simply put your ‘best’ idea forward.
2. Meet ALL posted dates and deadlines.
3. Allow for interaction among the attendees.
4. Use the microphone when speaking.
5. Repeat all attendee questions asked into the microphone.
6. Understand that we take our session evaluations very seriously. We ask participants to rate the session
and the content leaders on a 1-5 scale (1=extremely dissatisfied/5=extremely satisfied). The goal is for
all moderators/presenters to receive a 4.0 or higher.
7. Upon acceptance, more information will be provided on moderator/presenter criteria.
As we always aim to offer exceptional learning opportunities with knowledgeable and skilled presenters please
note that we reserve the right to make adjustments to any session that does not meet these items above.
Registration and Travel Information
All session moderators and presenters must register for the conference and are responsible for all related
travel costs.
Selection Process
Submit your proposal by Monday, June 15, 2015. Each submission will be reviewed and you will be notified on
July 1, 2015 on the status of your submission. Proposals will be reviewed based on the following criteria:
 Is the topic innovative and relevant?
 Will the session appeal to members/associate members/attendees?
 Are the key takeaways of value?
 Is the session well organized and designed to meet the needs of this particular audience?

be a variety of expertise on the panel.

proposal. And, upon acceptance, this information will be used online and in the on-site program, so please

$150—Guest fee is reserved for spouses/significant others of registered Annual Conference attendees.
Guests may only attend event breakfasts, refreshment/networking breaks, and receptions, and may
not participate in any other Annual Conference related function.
Registration Cancellation Policy
All refunds, minus a $50 service fee, will be given if the cancellation is made in writing no later than
Friday, September 4, 2015. No refunds will be given after this date! CVSA regrets that refunds will not
be given for no-shows.
Name Badges
Attendees must wear name badges to participate in all meetings and events. Hotel staff will look for
name badges at all meal functions and ask that you leave the area should you not display one. If you
require assistance, CVSA staff may be identified by red ribbons attached to their name badges and can
be found at the registration desk. In addition, all CVSA sponsors will be identified with white ribbons
and exhibitors with maroon ribbons. Please take the time to thank them for their continued support
and commitment.
Consent to Use of Photographic Images
Registration and attendance at, or participation in, CVSA meetings and other activities constitutes an
agreement by the registrant to CVSA’s use and distribution of the registrant or attendee’s image or
voice in photographs, videotapes, electronic reproductions and audiotapes of such events and
activities.
