Checklist for Exchange/Study abroad Students
Receive your Acceptance Letter and Invoice
Step 1
APU will send you a soft copy of your Acceptance Letter and invoice for accommodation
fees by email. The original letter will be sent to you later with your Certificate of Eligibility
(COE) once we confirm your payment.
Complete APU Buddy Matching Survey
APU Buddies are a student group who assist study abroad/exchange students adjust to

life in Beppu and APU. Students who requested a buddy are asked to complete this
survey to help us match you with your buddy. After we have matched you with your APU
buddy, APU will notify you so you can start corresponding by email prior to arrival.

Beginners: Start studying Japanese hiragana!
Studying Japanese is optional for exchange/study abroad students. If it is your first time

to study the Japanese language, study and learn the basic Japanese hiragana alphabet
prior to classes starting! You can start by visiting the Survival Japanese website (go to
Syllables under the tab “Simple Japanese”)
Submit Enrollment Documents
Complete the following Enrollment Documents to APU (send by e-mail to
inbound@apu.ac.jp by the deadline)

Student Information Card (Excel) (Sample) - You will also be asked to complete
this form in your own handwriting at orientation on September 18

Acquire a Certificate of Eligibility (COE) and College Student Visa
Step 5
APU will apply for a COE on your behalf to the Japanese Immigration Bureau. This will
be issued and will be sent to you after APU has confirmed your payment of
accommodation and other fees.
Once you receive this COE, you will be able to apply for a College Student Visa through
a Japanese Embassy. Please see page 4 of the Program Guide for further information.
If you need the COE to be sent directly to you instead of your home university, please
inform us by email (inbound@apu.ac.jp) and provide us with your mailing address and
telephone number. Please make sure to copy your home university coordinator when
informing us by email.
Complete the survey for “Notice of Scheduled Arrival and Request Arrival
Assistance Service”
Step 6
Once you have finalized your flight plans, response the survey for “Notice of Scheduled
Arrival and Request Arrival Assistance Service”. Please do not forget to attach a copy of
your flight itinerary.
Prepare for Course Registration and complete Course Registration Request Form
Courses offered at APU are offered in English or Japanese depending on the semester.
Students can differentiate which courses are offered in English and Japanese by looking
at the Subject Code. It is an English course if the number is followed by an “E” as in “EA”
and a Japanese course if the number is followed by a “J” as in “JA.”
The finalized course timetable will be released on the Academic Office website one
month before semester begins.
Exchange/study abroad students will register for courses during the designated Course
Registration Period after arriving at APU. Registration at APU is done on a first come,
first serve basis and there is a possibility of some courses filling up very quickly. If there

are courses you need to register to meet graduation requirements at your home
university, please complete the “Course Registration Request Form” with your home
university’s coordinator or advisor signature and submit it to the APU Student Exchange
Coordinator after arriving. (Note that this does not guarantee a place in the course.)
Only for students who plan to study Japanese: Exchange/study abroad students who
are placed in the Japanese Foundation levels will be required to take the designated
classes (Japanese Foundation I DX, Japanese Foundation II DY, Japanese Foundation
DZ). If these classes clash with another subject you need, you will need to decide which
class to register as students cannot register for more than one course offered in the
same day and period.

More details regarding arrival and check-in will be made available at a later date.
Participate in orientations after arrival
1) Attend mandatory Orientation for all exchange/study abroad students and
Japanese Placement Test and Oral Interview (Part 1). (Some students may be
asked to take further placement tests on another date.) These Japanese placement
tests are only for English-basis students who wish to register Japanese at APU.

(Japanese-basis students who wish to register English language classes will take
the English placement test)
2) Attend Entrance Ceremony (dress code: national dress or formal clothing)
3) Attend other orientation sessions and mandatory health check along with freshmen
students entering APU. A detailed schedule of orientation week will be given at the
orientation.
Register Courses
Students will receive further instructions about course registration at orientation. There,
you will also be receiving an APU user account and password which you will need to

register for courses. Exchange/study abroad students are required to register a
minimum of 10 APU credits per semester. Make sure to also check with your home
university if they have any other requirements.
