Dear Student
We are delighted to announce the date for your 2011 Graduation Ceremony to celebrate
gaining your Foundation Degree or Honours Degree.
This year’s ceremony for your course will be held on Tuesday 12th July 2011 at Newcastle
Civic Centre and this is your opportunity to celebrate your hard work and achievement with
friends, family, members of your course and college staff.
The ceremony is free to you as a Newcastle College student. There is a small charge of £10
per ticket for each guest, which will include light refreshments. Please note that initially a
maximum of three guest tickets per student only are available, although additional tickets may
be available in May 2011.
This is a formal ceremony so you will need to wear academic dress (gown, hood/sash and
mortar board) and details of how to order these are below. The formal part of the ceremony will
last for approximately one hour, after which refreshments will be served and you will have the
opportunity to catch up with friends and have any professional photographs taken that you may
have ordered.
As this is a formal ceremony of at least one hour it may not be suitable for babies and young
children, and we would therefore recommend that children under the age of 4 do not attend.
Due to the number of students graduating it is imperative that all students and guests arrive
promptly at the allocated time for registrations. Car parking is limited in the city centre, so
please allow for this when planning your journey.
If you would like to attend your Graduation Ceremony you now need to do three things:
1. Complete the form below and return by email indicating how many guest tickets (3
maximum) you require and email this back to graduation@ncl-coll.ac.uk by Friday 8th
April 2011. Please note we cannot guarantee attendance for any students replying after
this date. We would ask for your assistance in also replying to confirm if you do not wish to
attend.
2. Let us know of any arrangements we need to make for you or your guests i.e. accessibility
requirements.
3. Book your gown, hat, on the day photography and guest tickets by simply visiting
www.academygraduations.co.uk – please see below and overleaf for detailed
instructions.
How to book your gown hire, photography and guest tickets.
You will be able to purchase your guest tickets (maximum 3 per student) and order your gown
and graduation photography online with Academy. Please note that you will need to ensure
you have a debit or credit card available to complete this process and orders must be
placed by Friday 8th April 2011.
i)
Visit www.academygraduations.co.uk and select “Portraits, Gowns and Tickets”
from the menu at the top of the web page.
ii)
Enter newcastle in lowercase letters and select “proceed”.
iii)
Click on the qualification you are currently studying / or have achieved
iv)
Click on the ceremony that you will be attending (this will ensure that your gown will
be ready for you to collect before the correct ceremony)
v)
Choose the size of gown you require and then click “add to basket” and then
‘continue shopping’
vi)
Choose the size of hat you require and then click “add to basket” and then
‘continue shopping’
vii)
Choose whether you require 1, 2 or 3 guest tickets and then click “add to basket”
and then ‘continue shopping’
viii)
Choose which photography package you would like to purchase and then click
“add to basket”, please note it is advisable to order photography in advance as
there will be limited opportunity to book on the day.
ix)
When your order is complete click “view basket” and you will be taken to the
payment page, then click checkout before entering your address.
x)
Please enter all name and address details requested on the payment screen along
with your debit or credit card details and press “click here to pay”
xi)
Please ensure that you print out your receipt as you will need to present this on the
day in order to collect your gown and book your photography slot.
If you have problems accessing the website or placing your order then you will need to contact
Academy on 0191 251 8472. You will be asked for your student number and ceremony details,
so please ensure you have these to hand when booking.
Book early to win!
We are offering 5 lucky students the chance to win a free basic photography package
and a full refund on their gown hire. Simply book and pay for both of these items before
Monday 1st March 2011 and you will automatically be entered into this prize draw. The 5
lucky winners will be informed by email.
All guest tickets and your free student ticket will be posted to your payment address two weeks
prior to your graduation ceremony. If any extra guest tickets become available for your
ceremony you will be notified by email during May 2011. Please note that we will only notify you
if you specify an interest in purchasing additional guest tickets during the online order process.
Important points to note:
a) If you wish to pay for your gown hire, photography and guest tickets by cheque, then
please download the order form via the website and send your completed form and
cheque, made payable to Academy, to the address provided.
b) It is a good idea to dress smartly and we would recommend you wear something with a
button front to attach your graduation hood to.
c) Any students that have not paid their fees in full will be ineligible to graduate and will
not be sent their student or guest tickets and will be unable to attend the ceremony. As
per college policy as stated in your fee payment agreement and in your student
handbook, any qualification certificates and graduation entitlement may be withheld
pending full settlement of your fees.
d) Due to the length and nature of the ceremony we recommend that children under the
age of 4 do not attend, however please note all tickets regardless of guest age are
subject to the £10.00 charge.
e) Attendance at the Graduation is subject to satisfactory completion of your course. If you
do not pass your course the cost of your gown hire and photography costs will be
refunded, less a £5 administration cost, refunds must be requested from Academy by
7th July 2011 by telephoning 0191 251 8472. (Please refer to booking form for all other
conditions).
f) Guest tickets cannot be refunded under any circumstances.
g) If you have purchased your gown and photography online you must bring your receipt
with you on the day to be able to collect your gown.
