Funds are typically matching funds; departments are expected to provide some funding for speakers. Typical funding is up to $300. Speakers who make multiple presentations or have particularly significant impact or broad appeal may be eligible for additional funds. The speakers may not be affiliated with Binghamton University, and visiting speakers who are funded through the Dean’s Speaker Series are not eligible for visiting speaker funds. Please note that this fund is modest; departments that plan to bring several speakers to campus over the course of an academic year should consider applying for funding through the Dean’s Speaker Series. Application Process Any faculty member may submit a request for funds, but requests must be endorsed by the department chair or program director. Funds are allocated on a rolling basis, beginning on August 1 preceding the start of the fall semester. If a department has already received visiting speaker funding during an academic year, decisions to grant additional funds may be deferred until later that year. Requests are reviewed by Associate Dean Florence Margai. They should by submitted via email to Diane Horvath at dmhorv@binghamton.edu. Event Publicity Sponsoring departments or programs are required to advertise the program on Dateline. For optimal publicity across the University, submissions should be sent to Dateline at least three weeks in advance of the program. International Visiting Speakers If your visiting speaker is not a United States Citizen or a permanent resident, please contact Kim Avery in the Personnel Office (x76953) or Patricia Marrapese in the International Student & Scholar Services Office (x72510) as early as possible. Both federal and state regulations are applicable and they change frequently. Failure to follow proper procedures with international visiting speakers may result in our inability to make payments to them. Processing Funds The Dean's Office (specifically, Nancy Baudendistel, x75282, nbaudend@binghamton.edu) will provide the sponsoring department with POETS information. It is the host department's responsibility to ensure that the appropriate paperwork is completed with the Business Office for processing the visiting speaker's travel reimbursements and/or honorarium payment. If you have questions on the forms to use or the procedures to follow, please contact Nancy Baudendistel. When you send the final forms to the Business Office for payment to the speaker, send a copy to Nancy Baudendistel, Harpur Dean's Office, and she will initiate processing of funds. Revised 08/2011
