MINUTES FROM THE PATIENT PARTICIPATION GROUP MEETING HELD AT
HAWTHORN SURGERY, WORTLEY BECK HEALTH CENTRE, RING ROAD, LEEDS LS12 5SG

1. WELCOME AND INTRODUCTIONS
MH agreed to Chair the Meeting, and the introductions were made.
2. PREVIOUS MINUTES AND MATTERS ARISING
Since the last Meeting, continued efforts had been made to attract new members. Two new
people applied to join the Group – one wishes to keep in touch by email; the other was not a
patient of Hawthorn Surgery and therefore unfortunately not eligible to join the Group.
AN reported that at the latest Wortley Beck User Group Meeting, the problem parking in
the deceleration lane had been discussed and the Landlords had agreed to put up some
notices. SH reported that the local police had also been informed of the problem and have
been patrolling the area, and handing out fines to people parking in the deceleration lane.
ACTIONS; AN to inform Lower Wortley Primary School, and raise at the next Wortley
Beck User Group Meeting.
Posters to be put up advising patients; “The Patient
Participation Group wish to bring to your attention that police patrols are being carried
out. If you are found parking in the deceleration lane from the Ring Road into Wortley
Beck Healty Centre, you may be fined.”

The number of wasted appointments had increased over the last three weeks. This was
partly due to the fact that there have been extra surgeries every day, therefore an
increased amount of appointments. The Group feel this is still unacceptable.
ACTION: The Practice is to look at sending appointment reminders by text.
The Hawthorn Surgery Walking Football Team for the over 50’s is now in it’s fifth week, and
has turned into something quite different from the original proposal. It has proved to be
more successful when patients come along with family members. The age range of the
current team is from 8 years to 73 years, and there is a regular turnout of enthusiastic male
and female players. However, the patients who would benefit most are still not coming
forward. The scheme will continue to run for the agreed 8 week period, then it will be
evaluated.
Hawthorn Surgery patients again did the Practice proud in the knitting stakes! There have
been a variety of banners, knitted triangles, crochet squares, bunting, a montage of knitted
figures, young and old, showing “Hawthorn Surgery Here For All Seasons and All
Generations”, and even Dr Shevlin, Dr Gibbs and Dr Devitt have been immortalised in double
knitting wool!
ACTION; AN is to upload photographs onto the surgery website and add a note of
thanks to all those who took part.
3. EXTENDED ACCESS UPDATE
HD confirmed that the Practice’s Business Case to provide extended access has been
approved by Leeds West CCG. The plan is for the Practice to be open to patients from 7am
until 7pm from April 2015 in a phased approach. From now until the end of February 2015,
i.e. the winter period, there will be extra surgeries every day over lunchtime. These will be
manned by three of our regular Locum GPs. These surgeries are being held earlier in the day
so that any admissions to hospital can be arranged sooner in the day. Locum doctors can be
very expensive so alternative arrangements need to be in place after February 2015, and the
Practice may look for a more permanent doctor. By providing early and late appointments,
the GPs hope to increase access to people of working age. These appointments will need to
be managed and the Practice will monitor how they are used and will feedback to the Group.
Leeds West CCG will also be evaluating the scheme and checking that the Practice is
delivering the outcomes set out in the Business Case.
The Group were pleased that the needs of working people were being addressed but were
concerned about the pressure that this could place on family doctors and small practices.

4. FRIENDS AND FAMILY TEST
The Friends and Family Test was introduced in GP Practices from the 1st December 2015.
Patients are being asked to fill in a simple survey, answering the question; “We would like you
to think about your recent experience of our service. How likely are you to recommend our GP
Practice to friends and family if they needed similar care or treatment” There are six
responses to choose from, ranging from Extremely Likely to Extremely Unlikely”. Patients
can also add a free text comment to the survey. The survey is also available on the surgery
website; www.hawthornsurgery.com.
Attached is a summary of responses received between 1.2.14 and 11.12.14.
5. DEMENTIA IDENTIFICATION SCHEME
HD explained the new Government incentive scheme to encourage GPs to identify patients at
risk of dementia. A computer software program can be run at the Practice which will pick up
risk factors and identify those patients who are at risk. There is a payment of £55 for each
test carried out. The scheme received a very bad press, but here at Hawthorn Surgery the
GPs feel that dementia is likely to be a very expensive healthcare problem in the future, and
anything that will help early intervention will result in better care and services for patients.
Patients who are identified as being at risk can be referred to hospital and the multidisciplinary Team in the community for support. The Practice has therefore signed up to the
Dementia Identification Scheme.
6. ANY OTHER BUSINESS
TD had recently benefitted from a public health based scheme at Pudsey Leisure Centre and
asked whether the scheme was still running. HD confirmed there was now a free scheme,
provided by Leeds City Council, which was available at local leisure centres. Patients have to
meet certain criteria, and referral to the scheme is via the Practice Nurses.
The following suggestions were made by Group Members;

Future Agendas should have more information on what is actually going to be
discussed, rather than just give the title of each item to be discussed. (GG)

Future meetings could have discussion topics relating to younger patients (MH), e.g.





childhood obesity,
chronic diseases such as asthma,
Child Protection,
family support schemes
The National Institute for Clinical Excellence (NICE) Guidelines on how
to promote child care for patients

Have a TV monitor in the waiting area showing videos with healthcare messages (SH)

Have a set of weighing scales and a blood pressure monitor in a quiet part of the
waiting area so that patients can check their weight and BP privately, and can print out
the results so that medical records can be updated (HD)
The above suggestions are to be added to the next Agenda.
7. EVALUATION OF THE MEETING
All present agreed the Meeting had been informative and useful. Thanks were given to MH
who again did an excellent job as Chair of the Meeting.
8. DATE AND TIME OF NEXT MEETING
The next Meeting will be held on Thursday 12th March 2015, at 1pm.
