Welcome Back, Students! We are a function of the Office of the Dean of Students. The Student Center Assistant Managers handle the campus logistics for ALL student sponsored, on-campus events. Make sure your organization is registered with the Student Activities Office. Make sure your organization is recognized by the Student Government. All requests for campus space must be submitted online, using the reservation system, Book-It! @ TCNJ. Executive Effort - communicate amongst the members of your executive board Planning o It’s never too early o Spaces book quickly Thinking o The details are important Understanding o TCNJ is a “special place” Tier 1 - Minimum of 10 business days notice required • Event outside of the BSC that DOES NOT require additional furniture. • An event or a vendor table in the BSC. Tier 2 - Minimum of 20 business days notice required • Event outside of the BSC that DOES require additional furniture. • Event taking place in a venue that requires a separate “permission.” Tier 3 - Minimum of 30 business days notice required • Events taking place in a performance theatre (Kendall Hall, Music Building). • Major events defined as a large scale event requiring use of multiple campus services and/or venues. Are there any fees associated with the location? Can your organization afford them? Can the location accommodate the type of event you want to host? Is the location Outside or Inside? handicapped assessable? Are there any restrictions on the location? Is the location handicap assessable? Is this a location that people would want to come to? Room capacities? Are there other groups doing something during the same time? When are your guests likely to be available? Will students be around? Does your event fall during an academic break or holiday? Weekday vs. Weekend? Evening vs. Morning? Will the venue you want be available during your date and time? Do you have a vegetarian option? What about religious restrictions? Does your program title offend or exclude specific groups? Does your holiday party exclude certain students? Is the location handicapped assessable? How does your program align with your organization’s mission? Sending out invitations? Send them out early and don’t forget anyone! Is the admission or ticket fee affordable? Understanding your confirmation notices: Confirmations are sent via email. Email confirmations are the only way to know for sure that you have the things you requested. Keep copies and bring one to your event. Be proactive and informed: Get to your event early. Common event “hiccups.” Communication will be sent to your TCNJ email account.
