IP Telephony Contact Centers Mobility Services FACT SHEET Avaya Global Services Avaya Equipment Certification Policy: Ensuring Your Equipment The Avaya Equipment Certification Policy is a process that helps insure that your telecom equipment is in good operating condition. Certification verifies that your equipment meets environmental, technical and cosmetic requirements as well as minimal release standards. Certification also identifies faulty equipment that can negatively impact your system and, through standards testing, helps extend the life of your used equipment. And just as importantly, the Certification process enables Avaya to deliver the highest level of service and maintenance for your communications systems. When Certification is Necessary Certification is required prior to concluding an Avaya Maintenance agreement when: • The equipment has been out of warranty or without a Maintenance Agreement for more than 90 days. • The equipment was not installed by Avaya or an Avaya Authorized BusinessPartner. • The equipment is moved from a site without a Maintenance Agreement to a site with a Maintenance Agreement. • The customer is requesting the addition of used, refurbished/remanufactured equipment to their Maintenance Agreement. When Certification is Not Required Certification is not required for an Avaya Maintenance Agreement when: • The equipment has been installed by Avaya or an Avaya Authorized BusinessPartner. • The equipment has been moved from one site to another site by Avaya or an Authorized BusinessPartner. • Expiration of the warranty or Maintenance Agreement is in less than 90 days. • The equipment was purchased or leased from Avaya or an Avaya Authorized BusinessPartner. Refurbished/remanufactured products do not require certification if purchased from Authentic Avaya. Authentic Avaya equipment is pre-certified. In all cases, it is advisable to retain a copy of the receipt or record of sale. Who is Authorized to Perform Equipment Certification Avaya direct technicians are the sole party authorized to perform equipment certifications. What is Required to Meet Certification In order to meet Avaya certification standards, voice terminals must: • Be in working order. • Have an original Avaya serial number. • Not appear on the Product Correction Notifications with problems that will not be supported with certification. • Meet original FCC and UL requirements (no product modification is required) • Meet minimum cosmetic criteria: – Be clean, in good condition, not have any major defacement and/or no painted components. – Have color coordinated parts and appear as a complete set (a working set made of scavenged parts will not be certified). – Have no gouges, deep scratches, casing crack or impact marks. – Have no stickers covering the buttons, lights or special features. Certification Process When you add new equipment to your Avaya Maintenance Agreement, you need to notify Avaya and present a copy of the sales receipt. Avaya should also be notified when you move or install systems, so that your records can be updated. Customer-installable equipment such as terminals, non-critical circuit packs and all small business equipment (excluding Avaya MERLIN LEGEND® and Avaya MERLIN MAGIX® Systems) do not require certification when purchased new from Avaya or an Authorized BusinessPartner. Any equipment purchased (new or used) from a non-authorized reseller will not be covered under an Avaya Maintenance Agreement, under any circumstances. The cost of certification will be waived if the equipment is found eligible for maintenance coverage and is added to a new or existing maintenance contract within 15 business days. Specific Requirements for Used Equipment • Circuit Pack Certification: The circuit pack must be in working order and must meet circuit pack certification requirements and be on the minimum vintage list. • Carrier Certification: Carrier Certification will be done five business days after customer installation to allow a one-week burn-in period. Avaya-installed carriers will be certified immediately. An Avaya technician must perform all product certification on site. • System Adjunct Certification: System adjunct certification for products such as Avaya DEFINITY® Server, Avaya INTUITY™ AUDIX® Messaging Systems, or Avaya INTUITY Conversant Systems require an on site service call. In the case of customer-installed systems, these service calls will take place five days after installation and notification to allow a one week burn-in period to verify that the system is in full working order. If the system passes the adjunct certification tests and other equipment tests, the system will be eligible for Avaya Maintenance Agreement coverage. • Small System Certification: Avaya PARTNER® ACS and Avaya MERLIN MAGIX Systems must be certified as operational before they are eligible for Avaya Maintenance Service Agreement coverage. All equipment considered part of the system, including terminals, must also pass the certification standards for that product. • Large System Certification: Avaya DEFINITY Servers, Communication Manager and Avaya IP Office, MERLIN LEGEND and MERLIN MAGIX Systems must be certified as operational before they are eligible for an Avaya Maintenance Agreement. All equipment considered part of the system, including terminals, must also pass the certification standards for that product.
