Apple Computer Equipment – New Procurement Process
On May 31, 2014, Apple will discontinue their Higher Education Reseller agreements across
Canada. As a result, Apple’s Campus Store Program at the University of Manitoba Bookstore
will expire today.
Effective Monday, April 28, 2014 Computers on Campus will no longer be permitted to place
orders for Apple computers and iPads.
This will have a significant impact on the way that the University acquires Apple computer
devices. These new practices will also affect the IT Procurement Centre’s PC Procurement
Program, IST’s Help & Solutions Centre, and Departmental Computer Representatives.
More details are as follows:

Apple Consulting Services Discontinued
Neither Computers on Campus nor the IT Procurement Centre (ITPC) will have central
representation offering formal Apple technical consultation. Clients should consult with
Deskside Support at the IST Help & Solutions Centre or their Departmental Computer
Representative. The IT Solutions Consultant at the ITPC may also be contacted for
assistance. In addition, the local Senior Technical Consultant for Apple may be contacted if
a higher level of technical advice is required.
Moreover, Apple computer devices will not be on display any longer. If the “touch and feel”
experience is desired, we are referring clients to an authorized retailer location – preferably
the Apple Store (Polo Park).

How to Buy Apple Computer Equipment for Institutional Use
On-campus inventory of Apple computers and iPads can no longer be maintained.
However, Staff and Faculty members may continue to purchase Apple accessories (i.e.
carry cases, batteries, adapters, cables and Apple TV) through the BookStore.
All orders for institutional Apple computers and iPads must be channeled to the ITPC via an
EPIC purchase requisition using the University’s e-procurement system. Direct retail
purchases using University purchasing cards or personal credit cards (for Concur expense
reimbursement) are not permitted without the express approval of the ITPC and Financial
Services.
The ITPC will channel all purchase orders to either Apple Canada or the Apple Store (Polo
Park). While other retail locations may be authorized to sell Apple computers and iPads to
consumers, they are not obligated to offer the educational price discount for institutional
orders, nor do they have order/payment arrangements in place with the University.
Step 1 – Create your Apple Quotation
1. Go to the Apple Phoenix online store (http://apple.ca/go/edudirect).
2. Search by Province (Manitoba) and School Name (University of Manitoba).
3. Browse as a Guest at the University of Manitoba online store to build your quotation.
Your online quote will:
3.1 Show your educational price discount.
3.2 Offer special pricing for 10-packs of iPads or software.
3.3 Offer bulk discounts on large quantities.
3.4 Show typical delivery leadtime of 8 to 10 business days for both standard orders
and configure-to-order (CTO) orders.
3.5 Include delivery costs.
4. When complete, save your quotation as a PDF file.
Step 2 – Create your EPIC Purchase Requisition
1. As this equipment is not currently included in the EPIC catalogue, you must complete
an EPIC purchase requisition.
2. Include the product description, quantity and pricing information from your Apple
quotation.
3. Upload your Apple quotation and attach it to your EPIC purchase requisition.
4. Determine whether purchase will be classified as standard or configure-to-order (CTO).
Typically, almost any variation on the standard Mac computer configuration will result in
your purchase being classified by Apple as CTO. You can confirm this by checking the
Apple order number – standard orders start with the letters MD or ME, and CTO orders
start with the letters Z or ZD. Note that CTO orders are considered final and returns
will not be accepted by Apple.
5. If your purchase is classified as CTO, complete the PC Procurement Program (PCPP)
Computer Hardware Exception Request form. Upload your completed form and attach
it to your EPIC purchase requisition. (The form is an attachment to this memo and will
also be available on the EPIC system and the Purchasing Services website.)
6. If your purchase is classified as CTO, the order can usually only be fulfilled by Apple
Canada and delivery leadtime is typically 8 to 10 business days. Select Apple Canada
as the vendor on your EPIC purchase requisition. The ITPC will check if your order
can be filled by the local Apple Store and if yes, will change the vendor name.

If your purchase is classified as standard, the order may be fulfilled by the Apple Store
(Polo Park) if equipment is in stock and delivery leadtime is typically next business day.
Select Apple Store as the vendor on your EPIC purchase requisition (Note: The Apple
Store is currently being added to the EPIC vendor list and should be completed next
week). The ITPC will check if your order can be filled by the local Apple Store and if
no, will change the vendor name to Apple Canada and delivery leadtime will be 8 to 10
business days.
Ensure the delivery location reflects the address where your device will be prepared for
installation (i.e. your Departmental Computer Representative or IST’s Help & Solutions
Centre) rather than your office address.
Complete the PCPP Commissioning Information form. Upload your completed form
and attach it to your EPIC purchase requisition. (The form is an attachment to this
memo and will also be available on the EPIC system and the Purchasing Services
website.)
Identify whether regular delivery is satisfactory, or whether the order is urgent. If your
purchase is urgent, classified as standard and in stock at the local Apple Store, the
ITPC can make special arrangements for you to pick up your purchase, but this is not a
standard Apple service offering for institutional orders.
Finalize your EPIC purchase order and it will flow through the electronic approval
process to the ITPC for order placement.
Upon receipt of delivery, it is recommended that original packaging be retained if
needed for any return process.
Note: The two PCPP forms provide valuable information to the ITPC and IST’s Help &
Solutions Centre or your Departmental Computer Representatives. They are vital to
our understanding of new equipment coming into the University environment, as well
as ensuring installation and maintenance of your new device is handled efficiently.
What is Different Between Apple Canada and the Apple Store?
1. Educational Price Discount - Apple Canada (Phoenix online store) provides your
educational price discount on the quotation. The Apple Store (Polo Park) will honour
that pricing when your quotation is attached to the purchase order.
2. Special Pricing - Apple Canada will offer special pricing for 10-packs, bulk discounts on
large quantities, or CFI discounts (via Apple Finance). The Apple Store is not
authorized to offer that pricing if approached directly for a quotation, but will honour your
Apple Canada quotation when it is attached to the purchase order.
3. Delivery Leadtime - Apple Canada typical delivery leadtime is 8 to 10 business days for
both standard and CTO orders. Apple Store typical delivery leadtime is next business
for standard orders that are in stock. They usually cannot fulfill CTO orders.
4. Shipping Costs – Apple Canada includes delivery costs in their quotation. The Apple
Store will not add any extra delivery costs if the purchase order is channeled to them.
5. Return Policy – Apple Canada will not accept returns on CTO orders. What about
standard orders? The Apple Store has a 14-day return policy on standard orders.

How to Arrange for Institutional Computer Repair
Computers on Campus is closing its Service Department, which currently undertakes Apple
warranty services and service repairs. This closure will not have any impact on the
warranty service or service repairs for Dell computers in the PC Procurement Program.
If you have purchased the AppleCare Protection Plan for your device, you have access to
the AppleCare support line (1-800-263-3394).
For all other warranty services and service repairs, you should contact Deskside Support at
IST’s Help & Solutions Centre or your Departmental Computer Representative and they will
draw upon the Apple Retail Store in-store service following these steps:
1. Email the Apple Store (Polo Park) Service Repair Reservation Link:
http://concierge.apple.com/reservation/ca/en/techsupport/ and make a service
appointment.
2. Backup and wipe (or encrypt) your hard drive as it will be going off-campus for service.
3. Bring your equipment to your service appointment at the local Apple Store.
4. An in-store technician will troubleshoot and undertake a diagnostic check (usually takes
15 minutes).
5. Note: There is an option to ship your equipment to the Apple Store, but we have been
cautioned that it may take longer for assessment since the in-store technician cannot
interact with you and may not be able to reproduce the problem.
6. If part replacement is required and the part is in stock, in-store service turnaround is
typically one day.
7. If the required part is not in stock, turnaround is typically 3 to 5 days (including part
delivery and in-store service).
8. The technician will provide an estimate for service turnaround.
9. Pick up your equipment at the local Apple Store when service has been completed.
At this time, the Apple Store does not dispatch technicians for on-site repairs. The ITPC
will continue to investigate other options from external service providers.

How To Obtain Quotes for Canadian Foundation for Innovation (CFI) Use
Apple will continue to provide in-kind contributions for CFI projects. However, this special
pricing cannot be obtained from Apple Canada or the local Apple Store. Please follow the
steps outlined in “Step 1 – Create your Apple Quotation” to build your quotation. Note that
you must select the AppleCare Protection Plan for all potential CFI purchase. Email your
completed Apple quotation to the ITPC, who will work with Apple Finance and then provide
a revised quotation with additional discounts to you.

How to Make Personal Purchases
Computers on Campus in the University BookStore will continue to fulfill personal
purchases via their educationally-priced online webstore, which can be found at
http://umanitoba.ca/campus/bookstore/computers/.

Staff will provide consultation and assistance in building computers and placing orders.
Credit card payment is required for personal purchases, and orders will be delivered to your
home.


equipment from Computers on Campus at the University BookStore to the ITPC.
Due to the short notice from Apple Canada, some of these processes require further refinement
to make ordering easier for you. For example, we will work toward putting Apple computer
equipment into EPIC as catalogue items so that one click will populate your purchase requisition
– rather than requiring you to key in the produce description.
