Assistant to VP Marketing and Sales Job Description We require an organized, mature executive assistant to support our VP of Sales and Marketing by tracking, investigating, administering and maintaining customer service communications. The ideal candidate will have a minimum of ten years’ administrative and sales experience in a (non‐retail, non‐
consumer) big‐ticket capital equipment environment. Main responsibilities: Manage the receipt, handling and escalation of all sales inquiries ‐ Receive and coordinate all sales inquiries in line with the company’s sales process ‐ Monitor and track the status of all live inquiries, quotes and contracts to ensure actions are completed in a timely professional manner ‐ Ensure that all quotes and associated correspondence are appropriately acted on, linked and filed Administer preparation of quotes ‐ Liaise with sales team to capture all necessary information for quotes ‐ Manage dispatch of quotes to agreed time scales ‐ Assist in quote preparation and updates General sales support ‐ Organize and maintain schedule of all sales staff and representative communication ‐ Handle incoming and outgoing calls and emails regarding sales and customer service ‐ Provide quotes and assistance to new and existing resale customers ‐ Accept and record incoming customer orders ‐ Manage customer communications and liaise with customers/clients ‐ Maintain and assist with creating marketing plans, website and marketing materials ‐ Assist with product pricing and price list maintenance ‐ Attend sales and marketing meetings ‐ Other general administrative and customer‐related duties as required ‐ Provide information for issuing and managing invoicing The skills required for this position include: ‐ Excellent written and oral communication skills ‐ Must have knowledge of sales process from quotation and order implementation to delivery, payment and follow‐up ‐ Creative, innovative and willing to contribute ideas and professional opinions ‐ Ability to multi‐task in an often fast‐paced environment ‐ Proficiency in MS Word, Excel, Project ‐ Accounting software knowledge an asset ‐ French and/or Spanish an asset
